Modernizing Maximo purchasing The Order Hub Modernizing Maximo purchasing Mike Popovic President, P2Insight FMMUG New Orleans February, 8-9, 2017

Introduction P2Insight is a relatively new company of Maximo veterans Although we know Maximo really well, we are not all things Maximo We focus on one thing: Improving the Procurement Process for Items and Services Using Maximo, whether through Purchase Orders or through Work Orders. We optimize the entire Procurement Process: communication, negotiation, updates, revisions, expediting, notifications, payments…. From beginning to end. Why the Procurement Process? Over the past two decades technology has changed the world drastically… © 2017 P2Insight Inc. — All rights reserved. Trade Secret Information.

Why the Procurement Process? …but many Maximo customers are procuring goods and services in mostly the same way that they did a couple decades ago… © 2017 P2Insight Inc. — All rights reserved. Trade Secret Information.

How are you using Maximo? Does your organization use Maximo Purchasing? Is your storeroom decreasing in size and volume, because you are buying more parts directly from Vendors, more frequently and on demand, when you need them? Are you purchasing more things, more frequently? Does your organization use Contractors? Is the use of Contractors increasing? Is the volume of work by Contractors increasing? If yes, are your tools getting better to help you handle all this extra volume? © 2017 P2Insight Inc. — All rights reserved. Trade Secret Information.

How are you using Maximo? How do you place orders for good or services? Fax it to the Vendor? E-Mail it? Anyone using anything else? How do you source/find the item you need, and where you can get it? Vendor Catalog on CD? Internet / Google Search? Staples, Grainger or other on line Catalogs Any other methods? © 2017 P2Insight Inc. — All rights reserved. Trade Secret Information.

How are you using Maximo? Do you ever send the Order to the Vendor/Contractor, and then wonder if they received it, are acting on it, will deliver? How do you resolve this? Do you ever get the price wrong, and have to correct the PO? How is this communicated to you? Do you ever approve with Vendor, but forget to update PO? Does the invoice ever come with a price that is different than the price on the PO? Does this take a long time to resolve? © 2017 P2Insight Inc. — All rights reserved. Trade Secret Information.

Procurement in the last 20 years WHAT HAS CHANGED? Everything! Maturity of the Internet Cloud computing Everything is connected and ‘smart’ Software Applications / User Expectations Computing Devices On Line Catalogs / Marketplaces Payment Methods Your requirements Your business processes © 2017 P2Insight Inc. — All rights reserved. Why do we focus on the Procurement Process? There was hope for a major change when IBM acquired OCI, the on-line catalog, but plans to offer it alongside Maximo were shut down in 2009 Maximo customers in general have incorporated a few changes…. More customers using Workflow for Automated Approvals More using Notifications Moved from Printing POs, to Manual Faxing, then to Automated Faxing, and now mostly e-mail. But, for many that is extent of procurement changes! © 2017 P2Insight Inc. — All rights reserved. Trade Secret Information.

Procurement in the last 20 years WHAT HAS CHANGED? Increased dependence on a reliable supply chain Organizations carry less inventory Fewer types of items Fewer quantities of each item Why? Cost of maintaining inventory on-hand is high Vendors more accountable and better at delivering on time Delivery time better and less costly Parts become obsolete faster Organizations outsource more work Specialized Expertise Peripheral services Shared services Core production Why? Flexibility with labor Specialist firms offer better service, lower cost Stick to core competency, all else outsource to specialists Lower cost, higher efficiency © 2017 P2Insight Inc. — All rights reserved.
