Booking a trip on I Travel BYU-Idaho

booking hotels, cars, and airfare 24 hours a day. The Purpose of I Travel I Travel is designed to provide BYU-Idaho employees with discounted pricing for their travel costs. I Travel allows the user to access these discounts while booking hotels, cars, and airfare 24 hours a day.

Sign in using your BYU-I USERNAME and PASSWORD Sign in using your BYU-I USERNAME and PASSWORD. Select LOGIN when you’ve entered those in.

You will be then taken to this screen while you are being logged in to I Travel. This make a take a few moments.

You will see three boxes with check marks next to them, labeled FLIGHT, HOTEL, and CAR. Make sure the necessary boxes are labeled.

Usually these are round-trip journeys, so the ROUND-TRIP tab should be selected at the top of the window. (For any other travel variations, select ONE-WAY or MULTI-DESTINATION).

In the *FROM box, type your departure point (in this example we will use Idaho Falls) and in the *TO box, type your final destination (New York). You can type the city, but you will get a selection of airports of where to fly in to.

*DEPART box should have the day you want to leave (07/05/16) and the approximate time you want to leave (8:00). In *RETURN box should have the day you want to return (07/15/16) and the approximate time of departure (Morning (8:00).

Make sure that it is set under 1 passenger, Coach, Lowest Available under the ADVANCED SEARCH OPTIONS. (This can be changed by clicking on the ADVANCED SEARCH OPTIONS and setting it to 2 passengers if you are traveling with someone who doesn’t have a T.A., i.e. spouse, child, etc.).

When finished, click on SEARCH.

Press the SELECT button when you find what you want. It may take I Travel a minute or two to give you some choices. After that, a screen showing several different options will appear. You can make adjustments to your DEPARTURE and RETURN times, as well as the PRICE on the left hand side of your screen. Press the SELECT button when you find what you want.

Press SELECT after selecting each seat. Once you’ve selected which flight plan seems the best, you then start choosing seats for you flights. You may make any selection you wish on a blank green square (some seats will have different symbols on them, such as a star. Please avoid those as they cost more money). If there are no seats available on a plane, select the SEAT SELECTIONS box at the bottom of the page. Seats will be assigned at airport upon check in. Press SELECT after selecting each seat.

Make sure your Check In and Check Out dates correspond to your plans. The search will usually look for a hotel within a certain distance of the airport from which you are flying into. Also, if you need more than one room, select the downward facing arrow and you can reserve up to 3 more rooms. When you find a hotel you like, click on VIEW RATES.

Look over which room option you qualify for, then select the green SELECT button next to your desired choice.

when you are asked about A window will appear, detailing hotel rates and cancellation policies. It will also have Special Requests for your room, if needed. Select NON-SMOKING when you are asked about any special requests. If there are any other amenities that you need, you can select from the options provided. When you are satisfied with your room choices click BOOK ROOM.

Now it’s time to book a rental car Now it’s time to book a rental car. Your pick up location will usually be at the airport. Make sure the pickup and drop off dates are correspondent with your dates of travel, as well as having the pickup and drop off times approximately 1 ½ to 2 hours before your flight.

Make sure that your car selection is on Intermediate, unless you are traveling with a large group which would then require a mini-van.

Select your car features here Request a non-smoking car under the Special equipment section, as well as any special equipment that is needed When finished, click on SEARCH.

You will be taken to this screen to select the best option (Prices include required insurance).

The total price for your flight is here. You will be taken to review your selections The first part will be your flight itinerary. It will display your departure and arrival times, your destinations of travel, flight and seat numbers. The total price for your flight is here.

Your HOTEL DETAILS are described here; they detail your room amenities, hotel address, your check in and check out dates and times. If you need to REMOVE or CHANGE your hotel selection, click either of these two boxes. Your HOTEL TOTAL is detailed here, with approximate taxes and fees included. Your AVERAGE NIGHTLY RATE is detailed here.

Your approximate total is here. The details of your car rental are explained here, including your pick-up and drop-off location, dates and times. You also have your car type (with amenities) and car company info. If you need to REMOVE or CHANGE your car selection, click either of these two boxes. Your approximate total is here.

DATE OF BIRTH and GENDER Below is personal information from your profile. Please add relevant missing information. If you would like the information prefilled, you will need to update your profile. NAME DATE OF BIRTH and GENDER EMERGENCY CONTACT

When it comes to billing your flight, make sure the BILL TO tab is selected to BYU-IDAHO DIRECT BILL (this is if you are flying by yourself).

Under the BILL TO tab, select TEMPORARY CARD. Input your personal credit card information, including CARD TYPE, CARD #, and EXPIRATION DATE. Put your billing address here; enter your address exactly as it would appear on your statement

If you already have a credit card on file, you will be able to select it in the BILL TO tab. The corresponding information will be inputted below. Under the BILL TO tab, select TEMPORARY CARD. Input your personal credit card information, including CARD TYPE, CARD #, and EXPIRATION DATE. Put your billing address here; enter your address exactly as it would appear on your statement When you pick up your car rental, your credit card information will be taken at that time.

Enter your full campus email address. Type your full name into this box Put your mailing address here Type in your most accessible phone number, preferably a mobile device.

Enter your 5 digit T.A. number here. Enter your 10 digit Account number here. Enter the department name you are traveling for into this box. If you’re traveling for another department type in the department name here.

If you want to have your travel itinerary sent to anyone else (secretary, travel companion, emergency contact, etc.) Enter their emails in here.

Once everything is in order, click PURCHASE TRIP to complete the transaction.

1 2 3 After checkout, you will be taken to this screen, confirming your reservations and providing a final overview of your purchase. You will also receive an email, confirming your reservations.
