Types of Banner Forms Menu Forms Application Forms Query Forms Validation Forms Control Forms Rule Forms Inquiry Forms Wizard Forms You will use the Menu, Application, and Query forms most often. Validation, rule and control forms are used to tailor Banner to the institutions procedural requirements.

Getting Around in Banner – Naming Conventions Banner form names, reports, tables and processes are seven characters long Position 1: Identifies the primary system owning the form, report, process or table. In the example below, the S denotes the Student system. Position 2: Identifies the application module owning the form, report, process or table. Position 3: Identifies the type of form. Positions 4-7: Identifies a unique four-character name for the form. Getting Around in Banner –Forms You can access forms many ways: Type the 7-character form name in the “Go To…” box and press the enter key on your keyboard. Select the file menu and Direct Access. Use this to open a new form from another form. Options menu to access related forms and/or blocks. Navigate through menus Use Object Search

Getting Around in Banner - Direct Access To open the Direct Access menu, select the file menu and choose Direct Access. Type the 7 character form name and press Enter

Getting Around in Banner - Object Search From the General menu: Double click in the Go To… text field Click the drop down arrow Press the F9 Key From any form, select Object Search from the File menu. From a drag and drop form, press F9.

Getting Around in Banner - Object Search Type search string in the Object Name or Description field. Remember to use “%” as a wildcard to make searches more effective. Execute the Query to begin the search (Press F8). Select the desired object and click the Start button. The requested object will be displayed. When searching for an object, keep in mind the naming conventions located earlier in this document.

Anatomy of a Form - Blocks The Key Block is the first block on most forms determines what is entered or displayed in a form cannot update information To return to the Key Block once you have moved out of it is by using the Rollback function. Information Block(s) contain related information on a form are usually separated from other blocks on a window by a line Check Navigation Frame Options for available blocks in a form. Getting Around in Banner - Query Enter - puts the form into query mode and lets you enter criteria. Execute - searches the database and displays any records that match the-search criteria. Cancel - cancels the query and takes the form out of-query mode.

Getting Around in Banner - Query To start a new query, press F7 or click enter query button. Enter the data on which you want to search. Enter as much of the search string as you know. If you are looking for Supercalifragilisticexpialidocious and do not know how to spell it, you can enter Super%. The ‘%’ is a wild-card indicator that means Super + anything else will match for results. To execute a query, press F8 or click execute query button.

Getting Around in Banner - Query D% in a last name field will find all persons whose last name begins with the letter D. Peters%n in a last name field will bring back those persons whose last name is Petersen as well as whose last name is Peterson. 004% in an ID field will find all Banner ID numbers that begin with the number 004. Search criteria entered Results returned after the query is executed

Getting Around in Banner - List of Values Double click in the field or press F9 when the cursor is in the field to display the List of Values List of Values (LOV) allows you to choose from a list of valid codes for a given field. Valid codes are defined in validation forms. LOV is indicated with a drop down arrow next to the field. Can be accessed using the List function (F9) when the cursor is in the field or by double clicking in the field.

Getting Around in Banner - Date Queries Date queries require all four digits for a year when you query on a date field. Incorrect: If you query using 01-JUL-16 you will receive an error message. Correct: A date query using 01-JUL-2016 will return query results if they exist. NOTE: In most date fields, if you double-click your mouse, Banner will display a calendar where you may select the date. Quick Tip: If you start entering the month and day, you can tab and it defaults the year for you. Quick tip, if you start entering the month and day you can tab and it defaults the year for you.

Getting Around in Banner - The Calendar Double-click any date field. If the date field has a value, the calendar highlights that date. If the date field is empty, the calendar highlights the current date. You can double-click a date on the calendar to return it to the calling form.

Getting Around in Banner - The Calculator Double-click a numeric field. If the numeric field has a value, the calculator shows that value. You can use the mouse, number keys on the keyboard, or the numeric keypad (if the NumLock is enabled) to make calculations. When you’re done, click the OK button to return the calculated value to the calling form.

Getting Around in Banner - Create a Personal Menu Type the Object Name Open “My Banner Maintenance” form (GUAPMNU) Or… 1. Type the Object Name and press the [Enter] key on your keyboard. 2. After you press [Enter] the name of the Object will appear here 3. Click Save icon on the toolbar

Getting Around in Banner - Create a Personal Menu Select From a List 1. Select object from menu. (To select multiple forms hold down the ctrl key as you select forms from the menu.) Selected objects appear blue. 2. Place cursor where you want to insert selected object. If you select an existing object, the object(s) will be inserted after that object and before the next object. 3. Click the right arrow icon to move selected objects to your personal menu. 4. Click Save icon on the toolbar.

Exiting SCT Banner 1. When Exiting Banner, Click the “X” button on the general menu before closing the browser windows 2. Next, close both Internet Explorer browser windows

Security Your Security Class determines which Forms/Screens will be visible from the main menu. If you type a form name into the “Go To…” box and receive an error message you may not have access. If you need additional access, send e-mail to AdministrativeSystems@bridgew.edu. Security classes/access are structured to provide access to the information you need to perform your job. Request for additional access must have a legitimate business reason and will require additional approvals.

Banner Term Codes Format of Banner Term Codes is better for sorting. First 4 digits of term code represent the year Last 2 digits of term code represent the semester 10 Starts in January (Spring) 50 Starts in May (Summer) 90 Starts in September (Fall) Term codes for this Academic Year are: Fall = 201690 Spring = 201710 Summer = 201750

Person Search

Search for a Person 8 digit BANNER IDs replaced using SSN as unique identifier. To comply with privacy laws, access to social security number is based on security class and specific job functions. Use Date of Birth, Address, Telephone Number to distinguish between two people with the same name.

Person Search Methods Search from any screen with ID/Person in the Key Block: Options: Enter ID in Key Block Enter Name in Key Block Click Drop Down Menu to go to Search Screen Use wildcards (%) to search on partial information

ID and Name Extended Search If multiple matches are found for the criteria entered in the key block, The ID and Name Extended Search window is displayed. Number of matches in top right box Choose person from drop down list Click Person Search Detail to go to directly to SOAIDEN Enter known info (For example: ZIP) to filter results Click in the top right corner of window to exit

General Person The General Person module is used to collect identification and demographic data about persons and non-persons. The person information is used in the Faculty Load, Admissions, and Recruiting modules.

General Student The General Student module provides a place for changing established data for students, such as changes in curriculum or residency. This information can be updated by Registration and Academic History.

Course Catalog The Course Catalog module defines the courses offered by Bridgewater State University.

Class Schedule Information about the course is transferred to the Schedule module, where it is used to build the schedule of classes. In turn, Schedule passes information on to Registration to create class rosters, to Location Management for room scheduling, and to Faculty Load for faculty workload analysis.

Registration The Registration module interfaces with the Schedule and General Student modules to create attributes for terms, and maintain class rosters. This information is then passed to the Academic History module to update the student's academic records.

How do I extract data? Select the Help menu then Extract Data The File Download window will appear Select Save Choose a directory and File Name Open the file in Excel Use Excel to reformat data to your needs Important Security Note: This feature may store confidential student information on your computer. Therefore, it is extremely important to delete files that are no longer necessary and prevent unauthorized access to your computer. Remember to shred printed material before discarding it.

How can I print updated course enrollment information How can I print updated course enrollment information? (Sec#, Instr, Avail Seats) You do not have to have a Banner account to access the Course Enrollment Report but you will need to be on campus or access the link by logging in to Cloud PC. Go to https://infobear.bridgew.edu/BANP/bsc_api_reports.run_wsrenrl Select the Academic Period and any of the optional categories Select CSV version or PDF version Click the Run Report button.
