Module 4: Structuring the District Implementation Team for Success miblsi.org

Outcomes Collectively agree upon a process for structuring DIT meetings: meeting roles, processes, and ways to organize the team for effective and efficient meetings Determine the format the team will use to document the MTSS Implementation Plan Determine the process for how the draft of the Implementation Plan will be developed and how the team will collectively review and monitor the plan’s activities on a regular basis

Use of Module Learning You will immediately use the information in this module as you begin to prepare for your first DIT meeting that occurs after this session

Organizing the DIT for success 1.0 DIT Start-Up Organizing the DIT for success

Getting the Team Started Meeting schedule for year Decision-making protocol Meeting roles (definitions, assigning primary and back-up roles) Team purpose Norms

Getting the Team Started (cont.) Agenda / meeting minute template Storing meeting minutes and relevant documents Pre-meeting sheet to record agenda items for upcoming meetings District MTSS Implementation Plan decisions Data coordination decisions

Resources to Assist Your Team MIBLSI has provided you with some resources to assist your team in organizing yourselves for successful meetings

DIT Start-Up Packet

DIT Meeting Agenda Template

Standard Agenda Topics Other district implementation teams have found there to be reoccurring agenda topics regardless of the time of year They also found there to be some agenda topics that are specific to the time of year based on things like data being collected or if the district is considering selecting a new effective innovation On the other hand, agenda items are more fluid from one month to the next

Agenda Topics vs. Agenda Items Broader areas of focus that allow for more specific, yet related things to be grouped together Topics tend to remain constant across meetings They tend to be easier for team members to remember More narrow in scope Provide more specificity Frequently change from one meeting to another

Reoccurring Agenda Topics Topics Based on Time of Year DIT Agenda Topics Reoccurring Agenda Topics Topics Based on Time of Year Deepening team knowledge Professional learning preparation Assessment, data system, data coordination Data analysis and problem solving Effective innovation review / selection process and alignment process Review agenda and previous action items Communication From (includes barriers) Communication To Meeting Wrap-Up

Organizing DIT Meeting Agenda Items Make it easier for the MTSS Coordinator to organize meeting agenda items from one meeting to the next Create something like a “Pre-Meeting Sheet” that includes the range of DIT meeting agenda topics and space for team members to add agenda items for topics There should also be a space to document barriers so the team can monitor progress on addressing the barriers

Example Pre-Meeting Sheet

Example Barrier Log

Implementation Plan Support for an effective innovation requires planning at the district and school levels An MTSS Implementation Plan will be developed and monitored on a regular basis at the district and school levels People will be identified to: Integrate relevant MTSS Implementation Plan components into the district and school improvement planning process Draft the plan and updates to the plan for team members to review

Implementation Plan (cont.) The District MTSS Implementation Plan will include objectives and activities / action items to: Improve the district’s capacity (knowledge, skills, and abilities) to support the effective innovation (integrated behavior and reading MTSS model) Scale-up MTSS across schools Ensure fidelity and improved outcomes for the behavior and reading MTSS components The district MTSS Coordinator is typically designated to work with DIT members to complete assigned activities and to update the plan on a regular basis

Accessing Sample Implementation Plans Your MIBLSI Implementation Specialist can provide you with examples of district MTSS implementation plans if you would like ideas for structuring your plan. MIBLSI also has an Implementation Plan template we can share with you if needed.

Activity 1.1 Your MIBLSI Implementation Specialist and MTSS Coordinator have done some initial thinking about how best to organize your team for success They will now share their thinking and propose some options to your team for how best to organize yourselves By the end of this activity, you should have agreement on items 1-9 of the checklist items in your DIT Start-Up packet

Module 4 Assignment Access the District Installation Checklist to review the activities assigned for Module 4 Make sure your progress is up to date on the previous module checklist items
