eCANS Webinar Presenters Kris Naylor Sean Allen Michael Scrivner OCOK Chief Operating Officer Sean Allen ACH Chief Analytics Officer Michael Scrivner OCOK Clinical Director Marie Clark OCOK Director, Care Management Wednesday, 8/31/16, 3:00 PM

Starting September 1, the State of Texas requires that all children in foster care, age 3 and up, receive a CANS assessment.

What is changing for OCOK providers? Previously … Starting 9/1/16 … CANS completed for therapeutic level children ages 6 and up CANS submitted to OCOK (e.g., through Evolv or PIX) Used same version of the CANS as MHMR (Texas Comprehensive) CANS completed for all children age 3 and up CANS must be entered in state’s new eCANS system Slightly different version of the CANS (Texas Comprehensive 2.0)

Question: Do I need to be re-certified on the new version of the CANS? Answer: No. Your certification is still good through its expiration date.

Question: What about children already in care on 9/1/16? Do we keep using the old CANS for them? Answer: No, the old CANS is going away. The next time the child is due for an assessment, you will enter their CANS in the new eCANS system.

Question: If a child under 6 years of age is already in care on 9/1/16, do we need to start doing CANS assessments for them? Answer: No – only children entering care on or after 9/1/16 are subject to the new mandate.

DFPS Contract OCOK Contract Initial assessment completed within 45 days CANS must be updated annually Must be completed by a licensed practitioner credentialed by Cenpatico Initial assessment completed within 21 days CANS must be updated every 90 days for therapeutic level children Can be completed by a non-licensed case manager who is CANS certified

Question: Can we bill Medicaid for the CANS assessment? Answer: Yes – but only for the initial assessment and only if completed by a licensed practitioner credentialed by Cenpatico.

Question: Do I have to “start over” when completing a follow-up assessment? Answer: No – when updating a CANS, the scores from the previous assessment will be pre-populated.

Information You Will Need In addition to case-related information, to start an assessment you will also need the following, which can be found on the Common Application: Child Identification Number (CIN) = The child’s PID number Family ID = Case ID (used to link siblings together) Case Opening Date = Date of Removal

How to get an eCANS account Email support@oc-ok.org Attach your CANS training certificate to the email You must have a current CANS certification in order to log into the eCANS system Go to canstraining.com if you need to be certified When your account is set up, you will receive an email with a link to verify your account and create a password.

Question: How do I log into eCANS? Answer: Go to ecans.org to log in.

How to Use eCANS Walkthrough of eCANS manual Two manuals tailored to two pertinent roles: Direct Care Worker – enters CANS Supervisor – approves CANS (and can manage staff accounts) Manuals will be available at oc-ok.org shortly (along with a recording of this webinar)

Question: If we run into problems with eCANS, where can we get technical assistance. Answer: Email eCANS2@chapinhall.org

Question: If an initial CANS is completed within 21 days, but a supervisor hasn’t approved it yet, are we in compliance with the 21-day requirement? Answer: Yes.
