The "Available For" group setting and Analytics usage data Introduction The "Available For" group setting and Analytics usage data Using the “Subscriber” for "Group Settings" information The Alma Analytics reports Summary https://slidemodel.com/templates/animated-rainbow-business-powerpoint-template/ http://image.shutterstock.com/z/stock-photo-business-hand-writing-blank-agenda-list-130255148.jpg

Introduction This presentation will explain how to combine the following two elements into one Alma Analytics report: The “Available for” “Group Settings” information The Usage Data from the COUNTER reports

Introduction The “Group Settings” defined in Alma allow the institution to define “Inventory Network Groups”. These might be a set of libraries, campuses, or (in the case of a consortium) institutions that have access to certain portfolios or electronic collections. For example, if a library purchases electronic resources and wants them to only be available for one specific library or at one specific campus, then the resources can be defined to be “available for” a specific group that contains only that library or group of libraries.

Introduction Here are sample inventory 'Available For' management groups

Introduction The campus called “Dunedin” then includes certain libraries and may also be restricted by IP

Introduction Here is a sample portfolio search showing the electronic resources and what groups they are available for

Introduction For more information about the Inventory Network Groups and the “Available For” functionality see: The presentation “E Resources - Group Settings for Electronic Resources.pptx” at https://knowledge.exlibrisgroup.com/Alma/Training/Extended_Training/Presentations_and_Documents The On Line Help at “Resource Management > Configuring_Inventory Management_Groups”

The "Available For" group setting and Analytics usage data Introduction The "Available For" group setting and Analytics usage data Using the “Subscriber” for "Group Settings" information The Alma Analytics reports Summary https://slidemodel.com/templates/animated-rainbow-business-powerpoint-template/ http://image.shutterstock.com/z/stock-photo-business-hand-writing-blank-agenda-list-130255148.jpg

The "Available For" group setting and Analytics usage data The Analytics usage data comes from COUNTER reports. For full details regarding COUNTER reports and the usage data subject area see these presentations: Analytics - Overview of Usage Data subject area.pptx Acquisitions - COUNTER report harvesting and uploading in Alma.pptx at https://knowledge.exlibrisgroup.com/Alma/Training/Extended_Training/Presentations_and_Documents See also the On Line Help at “Analytics > Usage Data”

The "Available For" group setting and Analytics usage data The COUNTER report does not contain data about IPs which accessed the resource, or the name of a specific library or campus which accessed the resource. It contains the name of the resource, the usage measures and the date period of the usage. It is a world-wide standard which is uniform for all systems which ingest COUNTER reports.

The "Available For" group setting and Analytics usage data When the vendor supplies the COUNTER report there is no indication of the “group settings” as defined in Alma.   The vendor has no knowledge of the Alma group setting.   COUNTER uses standards and the “group setting” is not one.  On the next slides we will see a real actual COUNTER report for type JR1 (a type of COUNTER report) for The American Chemical Society

The "Available For" group setting and Analytics usage data While the vendor does supply in the file additional information such as the ISSN, publisher, platform and data type, it does not supply the “group settings”.  As a result typically when the file is uploaded to Alma there is no way to “know” what it is. More specifically, there is no way to know which group settings was “utilized” when the resource was accessed.

The "Available For" group setting and Analytics usage data COUNTER report sample (part 1) The dates of the usage

The "Available For" group setting and Analytics usage data COUNTER report sample (part 2) The amounts of the usage

The "Available For" group setting and Analytics usage data The fields from the COUNTER report appear for display and retrieval in the Alma Analytics usage data subject area The fields in these folders originated in the COUNTER reports

The "Available For" group setting and Analytics usage data Introduction The "Available For" group setting and Analytics usage data Using the “Subscriber” for "Group Settings" information The Alma Analytics reports Summary https://slidemodel.com/templates/animated-rainbow-business-powerpoint-template/ http://image.shutterstock.com/z/stock-photo-business-hand-writing-blank-agenda-list-130255148.jpg

Using the “Subscriber” for "Group Settings" information Even though, as stated, the “Group Settings” does not exist in a COUNTER report, it is possible to achieve the same goal by Using the “Subscriber” for "Group Settings" information

Using the “Subscriber” for "Group Settings" information So we do not have the “Group settings” in the COUNTER report, but we do have the option of using a ‘subscriber’ when uploading the COUNTER report The subscriber can be used as both a filter and a display element when creating the COUNTER usage analytics reports.  In the specific case here the institution could tell the vendors what the criteria is when the specific “group setting” accesses a resource.

Using the “Subscriber” for "Group Settings" information For example the institution has a group setting “Canterbury”, and could tell the vendor, for example, that when “Canterbury” is used send the COUNTER report with subscriber “Canterbury”. The vendor may know that “Canterbury” is used because comes from a certain IP.  This IP information could be supplied to the vendor and then the vendor could supply one COUNTER report for American Chemical Society for group setting “Canterbury”

Using the “Subscriber” for "Group Settings" information Similarly the institution has a group setting “Wellington”, and could tell the vendor, for example, that when “Wellington” is used send the COUNTER report with subscriber “Wellington”. It too comes from a certain IP.  This information could be supplied to the vendor and then the vendor could supply one COUNTER report for American Chemical Society for group setting “Wellington”.

Using the “Subscriber” for "Group Settings" information The subscribers would be defined, for example, as follows: (Acquisitions configuration menu > General > Subscribers) The institution Subscriber for 1st “available for” group setting Subscriber for 2nd “available for” group setting

Using the “Subscriber” for "Group Settings" information The COUNTER report received from the vendor for each “available for” group setting is loaded according to the relevant subscriber. Subscriber “Canterbury”.

Using the “Subscriber” for "Group Settings" information The COUNTER report received from the vendor for each “available for” group setting is loaded according to the relevant subscriber. Subscriber “Wellington”.

Using the “Subscriber” for "Group Settings" information The files are uploaded according to the subscriber

The "Available For" group setting and Analytics usage data Introduction The "Available For" group setting and Analytics usage data Using the “Subscriber” for "Group Settings" information The Alma Analytics reports Summary https://slidemodel.com/templates/animated-rainbow-business-powerpoint-template/ http://image.shutterstock.com/z/stock-photo-business-hand-writing-blank-agenda-list-130255148.jpg

The Alma Analytics reports We will now utilize the subscriber field in analytics

The Alma Analytics reports In the first report we will filter by subscriber “Canterbury”. In the second report we will filter by subscriber “Wellington”

The Alma Analytics reports Here for example is the criteria tab of a sample report for subscriber “Canterbury” The report for Wellington will differ only in this filter

The Alma Analytics reports The library has created these three reports. One for each “Available for” group setting and another with both groups.

The Alma Analytics reports This corresponds to “Available For” Canterbury This corresponds to “Available For” Wellington

The "Available For" group setting and Analytics usage data Introduction The "Available For" group setting and Analytics usage data Using the “Subscriber” for "Group Settings" information The Alma Analytics reports Summary https://slidemodel.com/templates/animated-rainbow-business-powerpoint-template/ http://image.shutterstock.com/z/stock-photo-business-hand-writing-blank-agenda-list-130255148.jpg

Summary It is possible to use the “Subscriber” when loading Alma Analytics reports in order to differentiate between the “available for” group settings in Alma. This is done by providing the vendor with the relevant information for each group setting and then loading the files accordingly. In this way the library can see and compare COUNTER usage data according to each group setting.
