Top 10 Things to Use in MoversSuite This session will cover the top 10 things to use in MoversSuite. Ok, so there might be a few more then 10! Items covered will include: Bookmarking, Safety, Clips, Dynamics GP Order Inquiry, Tariffs and Rate Plans, Quotes, Invoicing, Account Profiles, Full Function Grids, and Tasks.

MoversSuite as a lot of modules and features.

#10 Bookmarking Word Documents

#10 Bookmarking Word Documents Bookmarks are predefined programmed fields in MoversSuite that transfer into a Word Document. Bookmarked letters and forms can be created by the company without MoversSuite assistance. Because the documents are created in Word they can be edited.

Bookmarking Word Documents Rules Users cannot determine which of the fields will be bookmarked. Creating new Bookmarks requires programming A bookmark can only be used once in a document. Document cannot previously been used as a Mail Merge document. Bookmarking only functions with Word. It will not work with Excel.

Bookmarking Word Documents Steps Step 1 – Create the Word Document Step 2 - Pull the List of available bookmarks from the MoversSuite Web Site as a bookmark source document and save. Step 3 - Copy and paste a Bookmark from the source document Step 4 - Save the document to the MoversSuite Shared folder in the Custom folder Step 5 - Make the letter accessible for testing by giving access with the MoversSuite Standard Administration tool by adding to Reports and Report Profiles Step 6 – Test the letter Step 7 – Repeat Step 5 to add the report to the Report Profiles for the other users

#9 Safety for Personnel and Equipment

#9 Safety Allows the user to track the safety information for the moving company equipment and personnel and then view that information from within the application. Personnel safety information displays in the Local Dispatch and Long Distance Modules. Equipment safety information displays in the Local Dispatch module There are reports for planning and results.

#9 Safety Indicators Clear - No Safety Date exists To view personnel safety information, select the Safety Indicator field next the individual’s name. The fields are color coded: Clear - No Safety Date exists Green - All Safety Dates are beyond 30 days from expiring Yellow - One or More Safety Dates is nearing expiration (within 30 Days). Red - A safety violation is in effect. One or more Safety Date has expired. Black – Administrative hold is effect. Users will not be able to assign these personnel or equipment to a service.

#8 Training Clips To answer user’s questions and to aid the user’s MoversSuite experience , tools have been developed. One of these tools is the MoversSuite clips. The clips are provided for MoversSuite version updates, Online training, and new implementations.

#8 Training Clips Each time that new version of MoversSuite is released, clips providing information regarding new features and administration requirements are made available. Prior to installing the release it is advised that the company’s users view these clips. To view these clips navigate to the MoversSuite website at www.moverssuite.com.

#7 Dynamics GP Order Inquiry

#7 Summary Tab Provides Posting Information Transactions that are created in MoversSuite are generated and imported to Dynamics GP. When they are imported into Great Plains and posted, they can be viewed in the MoversSuite application.

#7 Access Dynamics GP Order Inquiry By default the information is for the current order displaying. Other orders can be viewed by entering a different order number in the Order Number field and selecting Query. Query also updates the information presented if posting in Great Plains has been completed since Dynamics GP order Inquiry was first selected.

#6 Tariffs and Rate Plans

#6 Tariffs and Rate Plans Van line authority interstate and intrastate orders’, rates are tabled van line Tariffs. Individual states have regulatory authority. The company will register their tariffs’ rate with the state or states that they operate. Own authority rates are applied to an order manually or utilizing a 3rd Party applications. Own authority Tariff and Rate Plans can be tabled and then utilized in MoversSuite.

#6 Steps for Defining Rate Plans Step 1 – Name the Rate Plan in the MoversSuite Standard Administration Tool Name the Rate Plan Provide a description Indicate that it is a Local Own Authority Plan Leave the Van Line Code field blank.

#6 Steps for Defining Rate Plans Step 2 – Define the rates. There are two primary methods to define and table Rate Plans. If the determination of the rates are multi-dimensional, the rate based on miles and weight with break points, select the MoversSuite Web Administration Tool. Advanced Rating is a rate matrix.

#6 Steps for Defining Rate Plans Enter the X and Y Range such as weight and miles and define the range for each axis.

#6 Steps for Defining Rate Plans Enter details are entered the rates for each axis intersection and the applicable break point if any.

#6 Steps for Defining Rate Plans Step 3 - In the MoversSuite Standard Administration Tool in Rates>Rates> enter the billing items in the rate plan. Enter the Item Code selected in Revenue Entry

#6 Steps for Defining Rate Plans Enter the Rate for the item (a rate will not be entered if the rate is determined by the Advanced Rating Rate Matrix ) Enter an overtime rate only if Local Services Actuals are being imported into MoversSuite for calculating the billing amount for labor and equipment

#6 Steps for Defining Rate Plans Select the Rate Type (Rate Types created in the Rate Types table print on invoices). Select the applicable Rate Plan that was defined in the Rate Plan table. Select the Rate Matrix name if the rate will be determined by a predefined matrix.

#6 Steps for Defining Rate Plans Enter the Effective Start Date and Effective End Date. (If Rates in the Rate Plan change, the billing Items can be added documenting the dates that the rates are effective. Then based on the Load Date in the Order considering the effective rates the applicable rate will be used.)

#5 Quotes

#5 Quotes The Quotes module in MoversSuite provides the user with a tool to provide their customer with a Quote for the estimate cost of move services. MoversSuite has integrations with 3rd party estimating tools that provide the company a means to calculate the cost of a move. Those tools are primarily for domestic household goods interstate, intrastate, and local moves. Quotes in MoversSuite function as a method to provide a customer a Quote for an International, commercial, or other moves as the need arises.

#5 Quotes MoversSuite Quoting Tool has several features : The rates that have been tabled in MoversSuite can be used to create a Quote Several Quotes can exist for a single order One Quote in an Order can be copied to another Quote The standard Quote report can be attached to estimate package sent to a customer The Quotes for an order can be viewed in the Order Entry Modules and Revenue Entry Accepted Quotes can be imported into Revenue Entry

#5 Creating Quotes Quotes are created in the Quote’s tab. Step 1-Select The Tariff Rate on the Billing Information Tab

#5 Creating Quotes Continue adding all of the Billing Items and select a Status to save the Quotes

Quote Status are defined in the MoversSuite Web Administration Tool. #5 Creating Quotes Quote Status are defined in the MoversSuite Web Administration Tool. Accepted allows a quote to be imported in Revenue entry and is required Copy –copies an existing quote and is required Pending Rejected Estimate

#5 Creating Quotes Quotes can be displayed on a report by selecting Reports Letters and then quote. The report can be emailed or printed.

#5 Importing Quotes Accepted Quotes can be imported into Revenue entry. Select Revenue Import tab. Select the Quote to Import Select Import buttons.

#4 Invoicing

#4 Invoicing The ability to provide invoices to customers is an integral element of managing a company: Invoices in MoversSuite are considered a document. Items displaying on the invoice can be customized. Invoices can be viewed prior to creation. Once generated, each invoice will have a unique document number based on the order number of the order record. Invoices can be emailed or printed and mailed. Invoices can be viewed in Revenue Entry, Order Information, Special Services, and International Orders.

#4 Invoicing Features Aging by Invoice Predefining customers that invoicing is not Required-COD customers and the van line (MoversSuite Web Administration Tool) Company branch and van line logos can print on the invoices Messages can be predefined to print on the invoices (Invoice Terms) Revenue Items to include on the invoice can be predefined Address modifications per invoice Invoice line items can be excluded, line items can be added Prepayments can be noted 3 standard invoice forms are available Multiple invoices can exist per order Invoices can be emailed from Revenue Entry Invoices can be viewed in the Order Entry modules.

#4 Invoicing In the MoversSuite Web Administration tool invoice requirements by customer and branch.

#4 Invoicing Company branch and van line logos can print on the invoices as defined in MoversSuite Standard Administration tool Invoice Properties.

#4 Invoicing Revenue Items to include on the invoice can be predefined in the MoversSuite Standard Administration Tool Item Code Generation.

#3 Account Profiles

#3 Account Profiles Each time data is manually entered there is a chance of data entry error. Inefficiencies can be experienced if commonly used data has to be entered for each order. The MoversSuite Account Profile reduces errors and improves efficiencies and effectiveness of the data entry!

#3 Account Profiles VS The information entered in the Account Profile historically was kept in a file electronically, note book, sticky notes, or the Coordinator’s head.

#3 Account Profiles The features of the MoversSuite Account Profiles include but are not limited to: Account information and other default data will automatically populate a new sales lead or order Create data records for commonly referenced accounts: account representatives, national accounts, services, etc. Base new account profiles on existing profiles using the Account Profile Management New Account Profile Manage a list of account services that will display on each assigned order Account Profile tab grants non-managers access to account information; the ability to send emails to contacts, override defined services, and establish a primary contact for the order Automatic email notification will be submitted to account contacts when the load or delivery date has changed on orders to which they are assigned The order Account profile information can be seen in the Account Profile, Order Entry Modules, and Revenue Entry Modules

#3 Account Profiles Account Profiles Information can include: National Account Number Customer Number Contacts include those who will be notified automatically when the Actual Load and Actual Deliver dates are entered Services that are utilized by the accounts moves Task Definition, Sales Person, Coordinator, Revenue Clerk, Logistics Coordinator, Tariff/Rate, Contract, Valuation, Per Pound General Notes To utilize Account Profile there are three primary methods to associate an Account Profile to an Order Record. New Lead for Competitive National Account Orders or to Set predefined fields for a COD Salesperson New Account Order Associate the Account Profile to an existing Order

#2 Tasks

Tasks In the course of a move there are many services provided by the company. Services are related to booking, packing, loading, and delivering the order. These services will have different Tasks that are completed. From one move to the next some of these tasks based on the type of move are repetitive. In the MoversSuite Application Tasks can be customized to meet the different types of moves requirements by specific key personnel and can be customized.

#2 Tasks To Process Tasks: Step 3 In the Task Module maintain daily Step 1 Select the Task Definition as appropriate to the type of move Step 2 in the Order review and verify the tasks Review the tasks Mark Task Complete for finished tasks Mark Non-Applicable for any Tasks that do not relate to this specific order Change any due for any tasks that should be completed at another time Add any Tasks that are specific to just this move Step 3 In the Task Module maintain daily Sort grid to complete tasks by shipper Review the tasks Mark Task Complete for finished tasks Mark Non-Applicable for any Tasks that do not relate to this specific order Change any due for any tasks that should be completed at another time Add any Tasks that are specific to just this move

#2 Tasks To customize a Task Definition to meet a national account requirements or a type of move there are basic considerations: Is this definition unique to a specific account? Will the tasks associated to this definition be completed by a group? Is there a Task definition that is comparable with minor modifications? Once items 1 through 3 are answered a Task Definition can be customized. Name the new profile Copy a pre-existing profile that most closely matches the new profile Review the Tasks or add new tasks: -Description, Responsible Person, Dependency Date (verify dates are in implemented modules), Due Days , Before or After the Dependency Date, Activate (If the Task is inactivated it will not display in Tasks) If copying a pre-existing list, delete the tasks that will not be used in this definition The Task Definition can be associated to Account Profiles and orders.

Full Function Grids Throughout the modules of MoversSuite grids are utilized to present and process database information. ) Full Function Grids have advance sorting and searching capabilities. They can be identified by the gray area at the top of the grid with the statement “Drag a column header here to group by that column”.

In the gray bar along the bottom of the grid : 1. Select the Customize Button 2. Add the filter Conditions 3. For future use Save the filter.
