Making A Meeting Arizona Sports Competition LETR Relationship 19,000+ participants Arizona

Before The Meeting Be sure to have an agenda created to keep the meeting organized. Create Sign In Sheet for Meeting Attendees to sign in. Make Sure to have additional materials printed off that are covered on the agenda. Make sure you have a final number of attendees before the meeting. This will give you more confidence to conduct the meeting. If you are expecting 10 attendees and you have 20 that could be a little overwhelming to some people . Make sure to appoint a note taker for the meeting and who is going to lead the meeting beforehand.

During The Meeting Make Sure the meeting attendees introduce themselves, especially if there are new members to the group. Start meeting off with an icebreaker Be Sure to have snacks and water for Meeting attendees. Identify who the note taker is for the meeting. Make sure that all meeting attendees are engaged in the discussion, and are given equal opportunity to speak. Keep the meeting moving along, if you get stuck on one topic people might start getting bored. Make sure there are no side conversations going on. If this is a committee for an event where you will have more than one meeting be sure to schedule the next meeting before the end. The activities and opportunities provided through the program help to reduce bullying and exclusion, promote healthy activity and interactions, combat stereotypes and stigma, eliminate hurtful language in schools and engage people in social activities that lead to personal growth.

After The Meeting After The meeting make sure to send a follow up email to thank attendees and provide any resources. Make sure the note taker sends out the minutes to the meeting. Make sure meeting attendees continue to be engaged with the group through email or phone communication. Send out the next meeting location/date/ conference call number if applicable. Make sure a contact list is created for people who attended the meeting. This will help with the flow of communication. The activities and opportunities provided through the program help to reduce bullying and exclusion, promote healthy activity and interactions, combat stereotypes and stigma, eliminate hurtful language in schools and engage people in social activities that lead to personal growth.
