Just a Little Out of Control? Everyone is Talking At Once? What’s the Purpose Here? Usually we hear about bad examples of what happens at meetings. Any of these seem familiar? Feel a little woozy After 2 hours?
Agenda Discuss creating a good climate for effective meetings by: Preparing in Advance Starting the Meeting on Time Keeping the Meeting On Track Wrapping Up the Meeting, and Following Up after the Meeting Meeting Planning Application Activity
Preparing for a Meeting Be clear on the purpose of the meeting Plan for no more than 90 minutes Compose an agenda and distribute before the meeting Consider structure and Robert’s Rules – ex. will you need a quorum? Review action items from last meeting and assign roles if necessary for new meeting
Starting the Meeting Welcome people as they arrive Start on time and be assertive about the process Clarify strategies for discussion (pro-con list, time limit debate, consensus vs. vote etc.) Take time for housekeeping, find a minutes recorder Review agenda, revisit last meeting minutes Status report on action items?
Keep the Meeting on Track Be a good listener and facilitate, don’t dictate React calmly to whatever arises Encourage participation from all Ok to disagree and debate, just keep it on track Develop a “parking lot list” for items that come up to discuss at a later time
Wrapping Up the Meeting Summarize the discussion to wrap up Develop a list of action items to continue the work of meeting Adjourn early if done but definitely end on time
Follow Up After the Meeting Evaluate the meeting What went well and what did not What was accomplished What did you learn, how did you contribute and what do you do next Follow up on action items and offer support for those working on the items Follow up with those who did not participate and find out why, or how you could solicit their participation in the future
Meeting Planning Activity Campus-Wide Committee General Ed reform, learning assessment, distance learning Senate Sub-Committee Policy recommendation, program creation, technology implementation Departmental Meeting – Personnel appointment or RPT, curriculum revision, budget meeting
