Word offers a number of features to help you streamline the formatting of documents. In this chapter, you will learn how to use predesigned building blocks.

Creating a Resumé

Opening a Template Open Word. File | New and you see a list of templates—patterns Select Origin Resume If you don’t like this one when we are done, pick another from online templates Each template has boxes, called Building Blocks, which contain Suggestions of what fields to use. These are called Content Controls Placeholders (words) to tell you what values to enter Placeholders disappear when you enter actual text We will see how to use Building Blocks to replace items that don’t work for you

Building Blocks Building Blocks are reusable pieces of content or other document parts that are stored in a library. Pick the Building Blocks you need to create your resume. You can also modify an existing Building Block.

Entering Information In the name field, type your name: First name, middle initial, last name is customary. Don’t use nicknames. What you type replaces the content control Type in your address, phone, and email address If you have a Web site, enter the URL. If you don’t, highlight the Website line and backspace or click Delete to delete it. Can remove extra blank lines by clicking on the horizontal line and moving it up

Objectives For the long term, your objectives are what you want to do as a career ; for example: To become a neurosurgeon and solve the problem of Alzheimer’s disease. To become a teacher of mathematics at the high school level. For the short term, your objectives can be tailored to the kind of position you for the specific job for which you are applying: To work as a stock supplier at a major retailer. To become an apprentice at a landscape design firm. To work part-time as a receptionist.

Education List your education, in REVERSE order, from college down to high school. What to enter on first line is unclear from the template. Enter name of degree, major, college or school. If not obvious, include the city and state as well. Font will change. If your degree is in progress, list the expected completion date and say “expected” in front. Accomplishments: If you have any, list them. Otherwise, delete the line of content control To enter another accomplishment, press Enter at the end of the line. Add another Education Building Block for each degree.

Using the Quick Parts Gallery Building blocks are contained in the Quick Parts Gallery To find Quick Parts Gallery, go to Insert | Text | Explore Quick Parts (second item in top row) Click on More button First visible are Sections: Name, Name with Photo, Education. To find subsections, click on More button next to the section you want. Click More button next to Education Section.

Inserting an Education Subsection After your last entry under Accomplishments (or after the entry for your degree, if you have no Accomplishments), press Enter. To remove indent, press backspace twice. Go to Insert | Text | Explore Quick Parts. Click on Education subsection to insert it into the text. Type your information in the content control. Associate’s degree, like college High school : degree is Diploma.

Experience List jobs in REVERSE order, with most recent first If you have never had a job, consider babysitting, lawn-mowing, dog- walking, whatever you have done that might show initiative and responsibility For each job, enter title, years, company, address, responsibilities To add another job, go to Quick Parts Gallery, click More button, and scroll down to find Experience Subsection Click in Experience subsection to add it Fill it in

Skills Show off what you know, but don’t lie List your best skills pertinent to the job (you may be a great window washer, but don’t list that unless you are looking to work in maintenance)

What Else? You can insert another Building Block, such as References You can replace an existing building block (replace Skills by References) To insert another, go to end of current block, press Enter, backspace twice, go to Explore Quick Parts, and select desired Building Block: pick References and click it to insert Supply Name of reference, relationship to you, email address (if possible), and phone number

Removing Blank Paragraphs Each chunk is a cell Right-click on bottom cell and choose Delete Cell BUT, the entire second section after Name section is a single cell. If it runs onto a new page, you can’t treat the overflow as a separate cell Can back-space and remove extra lines.

Replacing a Building Block Highlight, delete or backspace Insert new block OR Type different words – Type Interests over Skills

Recommendations Unless you have been in business for many years, many jobs, keep your resume to one page Spell-check and grammar-check your resume

More Uses of Building Blocks/Quick Parts In Header and Footer Tools, Design Tab, QuickParts, can get Quick Parts to put into header or footer. Can get Quick Parts for Index or Bibliography: go to Building Blocks Organizer and examine the available Building Blocks. Can SAVE items as Quick Parts to reuse. Open new document Type in

Save as Building Block You can save items to Quick Parts gallery to reuse them later Open a new document. Name it Qptest. Type in your home address, on two lines. Make sure to capitalize the street name, the part like Ave. or St., the city. Use two letter abbreviation for state. Save document Select the address. Go to Insert | Text | Explore Quick Parts, and scroll to Save Selection to Quick Parts gallery. Give it a short name, like Adr. Decide what category. Save.

Retrieving Your New Quick Part Move insertion point to new location Go to Insert, Text, Explore Quick Parts Items you’ve saved are listed at top. Click Adr, and your Quick Part is inserted into the text.
