GRADES Ro-103 Grades Grade Modes Letter Grades Enter grades in BanWeb Grade Changes Grade Replacement Policy Student Classification GPA and Academic Standards

GRADE MODES Ro-103 Grades A – Audit G – Graduate Standard Letter N – Undergraduate Standard Letter S – Satisfactory/Unsatisfactory Grade Modes are determined at the Course Level. If the grade mode needs to be changed for a course, please speak with your department chair as soon as possible. Updating grade modes after registration has occurred, requires dropping and re-registering students for the section. Grade Modes of N & G will allow instructors to issue the following grades at the end of the term: A-F or I for Incomplete. A Grade Mode of S will allow instructors to issue an S or U grade at the end of the term. Instructors cannot issue grades of W or WF.

Ro-103 Grades LETTER GRADES Grade Quality Points A Excellent 4 B Good 3 C Satisfactory 2 D Passing 1 F Failing 0 I Incomplete 0 K CLEP, AP 0 V Audit 0 Instructors can assign grades A-F, I, S, or U at the end of the semester depending on the grade mode of the course section. Grades of F or I will require a last date of attendance entered during the grade submission. I grades or incompletes indicate the student was doing satisfactory work, but for non-academic reasons, was unable to meet the full requirements of the course. An undergraduate student must complete the course requirements during the next semester of enrollment or within one year, whichever comes first. One year deadline for graduate students and eCore classes. It is the responsibility of the student to seek the instructor or department chair regarding the work to be completed. K grades - This grade indicates the student was given credit for a course via credit by examination (CLEP, AP, etc.) V grades - This grade a student was given permission to audit a course. If a student is auditing a course, no grade can be entered during grade submission. The student will automatically receive the V grade.

Ro-103 Grades LETTER GRADES Withdrawal Grades W – Withdrew WF – Withdrew Failing WM – Withdrew Military W grades – Indicate the student withdrew before the midpoint of the session. W grades are not included in GPA calculations, but will appear on student transcripts. WF grades – Indicate the student withdrew after the midpoint of the session. WFs are included in GPA calculations as an F. WM- This grade indicates the student was allowed to withdraw at any point in the semester for military service.

Entering Grades: A Few Things to Keep in Mind Final grades cannot be entered in CourseDen. The last date of attendance (for I, F grades) must be between the start and end of the session. Faculty receives email notifications about grade submission.

Grade Appeal Review and Decision Process Ro-103 Grades Grade Appeal Review and Decision Process Student Initiates the Grade Appeal process and submits all paperwork to the Department Chair of the department in which the course is taught. Department Chair consults with the student and with the faculty member involved. The Chair examines the available evidence and renders a decision: either grant the appeal and change the grade, or deny the appeal. The Chair notifies the student of his/her decision. If the appeal is granted, the Chair submits the grade change in writing to the Registrar’s Office for processing. If the appeal is denied, the student can accept the decision or appeal to the Dean.

Ro-103 Grades Grade Replacement Policy A student may repeat a course taken at West Georgia in order to replace an earlier grade earned in a course taken Fall 1996 or later. Grades earned in courses taken at other institutions cannot replace grades earned at UWG. In courses with variable course titles, the repeated course must have the exact same title in order to allow a grade replacement. Beginning Summer Semester 2001, students can repeat XIDS 2001, 2002 and 2100 regardless of the titles of the courses taken. The academic standing and graduation GPA will be based on the last attempt at all courses taken. For Honors, all grades regardless of the repeat policy are included in the GPA. If a student repeats a course and receives a W in the last attempt, the previous attempt will count. For example, Spring 2015 a D is received then Summer 2015 a W is received in the same course. The student will receive the D grade. (Wolf Watch will update to count the D after the end of the semester). If a student repeats a course and receives a WF in the last attempt, the WF will count.

Student Classification Ro-103 Grades Student Classification Freshman 0—29 earned semester hours Sophomore 30—59 Junior 60—89 Senior 90 or more Student classification is based on the number of earned semester hours of academic credit.

Ro-103 Grades Academic Standards Students will be evaluated each semester of enrollment on the basis of cumulative grade point average and the total number of hours attempted. Hours Attempted Grade Point Average 1-30 1.8 31-60 1.9 61+ hours 2.0 Hours transferred to UWG will be included in determining the total number of hours attempted, but the cumulative GPA will only include UWG coursework (Institutional GPA in SHATERM) When reviewing a students Academic Standing history, it is important to consider the repeat policy/grade replacement policy. The academic standing is not adjusted when a course is repeated during a later semester and the first grade earned is removed from the calculation of the GPA. The Registrar’s Office can update academic standing due to grade changes for the term immediately prior to the current term. Our office will notify Colleges of updates for undergraduates and request review by Colleges for Graduate students.

Ro-103 Grades Academic Warning All students who fail to meet academic standards will be on Academic Warning the next semester of enrollment. There are three possible outcomes from a semester on Academic Warning. (1) A student who raises his/her institutional grade point average to meet the Academic Standards will be removed from Academic Warning. (2) A student who receives a term GPA of 2.0 but does not raise the institutional GPA enough to meet above standards, will remain on Academic Warning. (3) A student who fails to achieve a semester grade point average of 2.0 while on Academic Warning will be placed on Academic Probation.

Ro-103 Grades Academic Probation All students, who fail to meet the conditions to be removed from or stay on Academic Warning will be placed on Academic Probation the next semester of enrollment. There are three possible outcomes from a semester on Academic Probation: (1) A student who raises his/her institutional grade point average to meet the Academic Standards will be removed from Academic Probation. (2) A student who receives a term GPA of 2.0 but does not raise the institutional GPA enough to meet above standards, will remain on Academic Probation. (3) A student who fails to achieve a semester GPA of 2.0 while on Academic Probation will be placed on Academic Suspension. Once on Probation, a student will not return to Academic Warning, but will remain on Academic Probation unless he/she meets outcome 1 or 3.

Ro-103 Grades Academic Suspension Students who do not earn a minimum semester grade point average of 2.0 while on Academic Probation regardless of the cumulative GPA will be suspended for one semester. Readmission on probation will be automatically allowed after one semester of suspension. Students on one term suspension who do not make satisfactory progress after returning from an initial suspension will again be suspended, this time for one calendar year.

Ro-103 Grades Academic Dismissal Students on probation after a one year suspension, who do not make a 2.0 on all work attempted in each subsequent semester of enrollment regardless of the cumulative GPA will be dismissed. Dismissed students are eligible to return only when they have earned an associate degree Dismissed students are eligible for Academic Renewal after a five-year absence from any post-secondary institution.

Ro-103 Grades Gradate students must maintain a cumulative GPA of 3.0 or higher to remain in Good Academic Standing. This can vary depending on the college.
