2017 Gymnastics Online (GOL) Phase 1 – Club Admin Portal: Minor enhancements April 2017

Introduction As part of the on-going program of work to improve Gymnastics Australia’s database and online services, the Club Admin Portal has undergone some minor enhancements based on feedback received from clubs and State Associations. The following document outlines these updates and provides a comparison of what the current functionality of the Club Admin Portal looks like versus the new version due to be released in April 2017. The main areas of feedback that have been received and will be implemented in this round of improvements are: The ability for clubs to edit their athlete’s first and last name The ability to search for an athlete in another club using the athlete’s date of birth (if known) to refine the number of records returned The addition of a transfer status in the athlete transfer search results A more detailed list of changes is provided in the subsequent slides.

Summary of Enhancements Page / Function Reference Enhancement Slide Reference My Details (logged in user) Allows the logged in user to amend their personal details such as first and last name and their mailing address. This includes Club Administrators and Technical Members. 4 Club Admin Home landing page New tab Getting Started provides help on the various tabs available. Latest News & Updates provides up to date information about any changes to GOL, links to the support site or any other helpful documentation. 5 Club Information tab Now includes the Athlete Search function which will list all athlete’s that belong to the club (incl. registered & non-registered athletes). Used to in the Club List tab. 6 Athlete’s Personal Details Ability for the club to update their athlete’s first and last name. 8 Administration tab New tab which now presents the following administrative functions: Club Import Transfer an Athlete (includes registering a new athlete) Club Affiliation Bulk Renew 9 Athlete Search (for transfer requests) Ability for the user to include the athlete’s data of birth (in known) in the search to narrow down the search results. Includes a Status column to determine if a request is already pending. 10 & 11 Reports hyperlink to athlete’s profile page All reports listing an athlete which belongs to the club of the logged in user, will have a hyperlink to the athlete’s profile page. 12

Club Admin Enhancements The following slides will provide a comparison of the changes made to the Club Admin Portal between the current GOL implementation and the proposed updates. Current – Personal Information User Profile (‘Hi, ___)>Personal Information>My Details Page Logged in user was not able to edit their own personal details. Proposed – Personal Information User Profile (‘Hi, ___)>Personal Information>My Details Page Logged in user is now able to edit their details by selecting the pencil icon. My Demographic Information (DOB, gender etc.) & My Activities (Gymsports if applicable) is not editable.

The Proposed – Athlete’s Details Club Admin Home>Club Information tab>Club Athlete Search The Personal Details tab lists all information from the previous Athlete Details tab. This tab now includes Demographic Information (previously Athlete Details) and Athlete Activities.

Club Admin Enhancements Current – Edit Athlete Profile Club Admin Home>Club List tab>Current Club Listing Using the link from the search results to view the athlete’s profile. The first and last name of the athlete is not available to edit. Proposed – Edit Athlete Profile Club Admin Home>Club Information tab>Club Athlete Search Ability to now amend an athlete’s first and last name.

Club Admin Enhancements Current – Handy Links Club Admin Home>Handy links menu Proposed – Administration Club Admin Home>Administration tab All functions listed in the Handy links menu can be accessed from the Administration tab.

Club Admin Enhancements Current – Transfer an Athlete Club Admin Home>Handy links>Add or Transfer an Athlete Proposed – Transfer an Athlete Club Admin Home>Administration>Transfer an Athlete The search now includes an optional Date of Birth of an athlete to refine the search results, and also some changes to the guidance text on how to use this page.

Club Admin Enhancements Current – Athlete Search Results Club Admin Home>Handy links>Add or Transfer an Athlete>Athlete Search If an athlete had a transfer request pending, it would show an empty space in the results. Proposed – Athlete Search Results Club Admin Home>Administration>Transfer an Athlete>Athlete Search (not in your club) The search results includes a Status column which indicates whether an athlete has a transfer request pending.

Club Admin Enhancements Current – Athlete Reports Club Admin Home>Reports tab Proposed – Athlete Reports Club Admin Home>Reports tab A link on the athlete’s Full Name provides quick access to the athlete’s profile page.
