Engagement Requirements & Customization Options 4/20/2018 Engagement Requirements & Customization Options This document outlines the steps for a typical Microsoft Dynamics AX implementation planning process. The tools and resources reflect tested Microsoft best practices. We understand that not all customers are the same. The intent of the engagement is to assist customers with their deployment planning, in order to do so and in order to best address the needs of your customer, please feel free to customize the engagement in the following ways if needed: Choose the engagement length and deliverables that are best fit your customer needs and their eligibility for Planning Services days. Though, using Planning Services days requires delivering an engagement that at the minimum meets the engagement length chosen on the customer voucher and requires delivery of the required deliverables of this engagement length, as listed in this document, at the minimum. If in order to deliver the required deliverables, you need to execute a longer engagement, the customer or you can choose if to cover the cost beyond what is covered by the Planning Services days reserved with the customer voucher. For example if you have a 3 days engagement voucher reserved for you, you have to deliver 3 days engagement and assessment and documentation of one process in LCS, at the minimum, in order to get paid. For a 5 days voucher you have to deliver at the minimum 5 services days and deliver at the minimum an assessment and fit gap analysis for one to few processes. Proof of concept – Microsoft best practices show that more successful engagement includes a PoC, as it better show case the benefits of the solution to the customer and help you create additional service opportunities. We suggest you will include a PoC also in 10 days engagement if - Your customer environment is not as complex, does not have significant number of processes and/or significant number of users You can identify a process, which is important for the customer, but it is complexity allows to implement as part of PoC during a 10 days engagement © 2012 Microsoft Corporation. Engagement Requirements & Customization Options Cont’ 4/20/2018 Engagement Requirements & Customization Options Cont’ You might be able to include PoC in 10 days engagement by - Focus on processes types which are already documented in LCS Implementing a simplified PoC, which demonstrates customer gaps, but does not requires any custom code and does not use existing customer data and demonstrate how the process flow can be implemented in LCS Suggest the customer a longer engagement, which includes a PoC, but covered partially by Planning Services days (up to 15 days, if the customer eligible) and partially by the customer (out of pocket) or you (as a pre-sale effort). Customize the assessment - Edit the Pre-Engagement Questionnaire to more accurately address your customer’s unique scenario and use the Dynamics Lifecycle Services tool to document the relevant or most significant process of the customer Skip a phase if you and/or your customer has already conducted it. Please provide a justification for any skipped steps in your final deliverable. Examples: If the initial steps of the engagement are less relevant to your customer, you can progress to activities which are part of the Analysis or Design phase such as deeper fit gap analysis and more detailed architecture planning or you can start the proof-of-concept early (or even production pilot, depending on the length of the engagement) using LCS hosted environment. Customize the engagement documents or use your own documents if they are aligned with the engagement steps. Regardless of the templates you use, you will be required to attach the documentation you deliver to the customer to the Planning Service completion Report. Based on customer response, plan the envisioning workshop, conduct an initial high-level assessment of the current business process, business needs and ERP solutions in place and identify: General need of the customer for a business solution and top business processes Current system’s challenges, gaps and limitations Top area and processes that can benefit from implementing Dynamics AX Workshop Once you have assessed the completed questionnaire and identified high level requirements and business process work with the customer to identify one to few business processes and conduct an envisioning workshop to document this business process. During the workshop discuss with the customer how implementing Microsoft Dynamics AX can meet the functional requirements for their processes and how they can benefit most from such solution. Explore customer business challenges and goals, review identified business processes and ensure that they can be supported by Microsoft Dynamics AX. Prioritize business processes that can well exemplify the benefits of the solutions, but at a level of complexity that can be accommodated during the engagement you plan to deliver. Use Microsoft Dynamics Lifecycle Services to document the business process flow. Prioritizing structured processes available in LCS can help you simplify the complexity of documentation & implementation. Review high level functional, business and integration requirements to ensure they can be met. Create an action plan and summarize next steps. Create a summary report outlining the findings of the workshop including: documented processes, customer goals, solution concept and functionalities and next steps. Assessment Report required activities & components Minimum requirements against a voucher of 3 days Required Assessment Components Use the provided Assessment Report Template to summarize the results of the business processes, functional requirements and integration consideration assessment of your customer’s current business environment. The Assessment Report should summarize your findings and recommended next steps. Use the Requirement and Processes Review Delivery Guide for more guidance. Create the Assessment Report after you have completed the following required activities (required against a voucher of 3 days or more) and summarize the results of them: Review the customer-completed Pre-engagement Questionnaire Review and discuss the customer’s business processes, vision, current environment and requirements during the Workshop Identify one or few business processes which are suitable to for the engagement length you deliver, document these business processes using Lifecycle Services (LCS) and assess the fit and the benefit for implementing with Microsoft Dynamics AX. Plan next steps for planning the implementation of the identified processes and match them with relevant modules of Microsoft Dynamics AX. Assessment Report Recommendations Recommend business process and/or functional requirements will be supportable and implementable Microsoft Dynamics AX. Recommend which modules will match each process Recommend required next steps for the engagement and prioritize processes to focus on for architecture design review, fit gap and PoC. Highlight any risk factors or technical issues that need to be consider for implementation plan Provide the customer access to the LCS project which documents their processes and provide the ID and name of the project on the engagement completion report.

Microsoft Dynamics Lifecycle Services Guidance 4/20/2018 Microsoft Dynamics Lifecycle Services Guidance Overview Microsoft Dynamics Lifecycle Services provides a cloud-based collaborative workspace that customers and their partners can use to manage Microsoft Dynamics AX projects from pre-sales to planning, implementation and operations. The site provides checklists and tools to help document business process and manage the extended implementation plan. It also provides a dashboard so that you have a single place to get up-to-date project information. How to Use Demo During the assessment phase partner should use LCS Business Process Modeler* and create, view, and modify standard process flows of the customer and how they will be implemented inside Microsoft Dynamics AX. Using the modeler, you’ll be able to better assess customer processes, solution fit and provide the customer with: Standardize process flows Alignment of Microsoft Dynamics AX processes with industry standard processes as described by APQC. Fit gap analysis between users’ needs and the functionality that Microsoft Dynamics AX provides by default. Once you identify and documented 1 to few business process to be implement in Microsoft Dynamics AX you will be able to use the tool to set up the PoC environment in LCS as it includes Windows Azure hosted environments for deploying Microsoft Dynamics AX environments on Microsoft Azure. The hosted environments tool provisions the appropriate number of virtual machines in Azure according to your requirements. These virtual machines have Microsoft Dynamics AX components (and all of their prerequisites) already installed on them. Set-Up Lifecycle Services is available to customers and partners as part of their support plans or SA benefits. You can access it with your CustomerSource or PartnerSource credentials. Business process modeler High-quality, quick analysis phase Define Adaptable Export Title: Business process modeler Timing: 1 minute Purpose: Modeling a company’s business processes vs. the standard processes within Dynamics AX 2012 R2 and later implementations. TechNet article: Business process modeler (Lifecycle Services, LCS) [AX 2012], http://technet.microsoft.com/EN-US/library/dn268623.aspx Overview: Use Microsoft Dynamics Lifecycle Services BPM to create, view, and modify business process libraries and flowcharts and include competitive differentiators for Microsoft Dynamics AX 2012 R2 and later implementations. BPM helps you align your Microsoft Dynamics AX processes using the taxonomy of the American Productivity & Quality Center (APQC). You can perform fit-gap analysis between the business needs and the standard processes in Microsoft Dynamics AX. You can also add new business processes, and create flowcharts for processes that are not already defined in Microsoft Dynamics AX 2012. You can export them to Visio as well as Visual Studio Online or Team Foundation Server to track the development and deployment. And using Task Recorder, you can quickly and easily create training and on-boarding materials to help speed user adoption. Key messages: - Adaptable business process flowcharts are provided. Modify exiting flows (close to 800 OOB as of 9/9/14 rev), or create your own. Required activities include: Validate the level of fit between their organization’s requirements and Microsoft Dynamics AX Review the level of customization and configuration will be required for the identified processes Identify a potential implementation strategy and its associated Project Phases Create a fit gap assessment for the identified processes in the LCS project you created Deliver the customer the fit gap Excel report generated by LCS for the documented processes Requirements & Deliverables Resources: Solution Fit Gap Delivery Guide and Fit Gap Analysis Worksheet Required for a voucher of 5 days or more (additionally to the assessment phase deliverables) Deliverables: LCS fit gap analysis Report

Solution architecture design review phase Required activities & deliverables for any voucher of 10 days or more Required Activities (in addition to the activates included on the assessment phase AND the fit-gap analysis phase) The objective of the high-level Architecture Design review is to show the customer what infrastructure is required to support their Microsoft Dynamics AX business management solution. This phase also focuses on the business process/es identified on the assessment phase. Activities will include: Validation of a prioritized list of requirements in regard to the identified processes Identify potential gaps of customer’s environment when considering implementation of Microsoft Dynamics AX and best approach to solution architecture. High level solution Architecture Review (how Microsoft Dynamics AX will be implemented). Discuss with the customer high level scope of a solution following the suggested architecture Deliver an Architecture Review Summary report, which provides an overview of the design of the specific suggested implementation of Microsoft Dynamics AX solution, how it meets the customer’s needs, and guides them to the next step and budgetary guidance. Requirements & Deliverables Resources: High-Level Solution Architecture Review and Fit Gap Report template Required for a voucher of 10 days or more (additionally to the assessment phase deliverables AND the fit-gap analysis deliverables) Deliverables: Architecture Review Summary .

Benefit Showcase (PoC) phase Required activities & deliverables for a voucher of 15 days Required Activities (in addition to the activates included on the assessment phase AND the fit-gap analysis phase AND architecture design review phase) Proof of Concept The Vision for the Proof of Concept is to demonstrate selected Microsoft Dynamics AX functionalities implementing one to few business process to key Business and IT Users, validating the solution benefits and drive solution acceptance. This will be achieved through the implementation of Microsoft Dynamics AX PoC for 1 to few business processes in LCS Windows Azure-based workspace. It is required to use the LCS Windows Azure-based workspace* that provides a Microsoft hosted online environment for implementing the PoC. The PoC can also be left behind for the customer to use for continued testing and support for gathering stakeholder buy-in. Please consult Deploy Microsoft Dynamics AX 2012 R3 on Azure using Lifecycle Services for guidance. Customize the PoC according to the business processes you chosen to focus on (1 or few) assessment results, customer requirements, and vision to best demonstrate the solution benefit. Customization options – if the time does not allow implementation of a full PoC of one or few processes: Create a PoC using LCS hosted environment that demonstrate some important gaps in their existing processes the customer have, without any customization of code or use of actual customer data Summarize considerations, the chosen scenarios and processes, implementation steps and customer usage, the benefits you showed case the customer, results and next steps. Proof of Concept Guidance & Requirements Overview A proof of concept environment is a required deliverable against a voucher of 15 Planning Services days. Partners must create an environment using customer data related to the identified process, to showcase how the features and functionalities of Microsoft Dynamics AX can be used to meet the customer’s vision, business goals and requirements. Guidance and Requirements It is required that the PoC will be deployed using Windows Azure hosted environment which is included in the Microsoft Dynamics LCS Cloud environment*. Please review Deploy Microsoft Dynamics AX 2012 R3 on Azure using Lifecycle Services to ensure you are familiar with the tool. Minimum required processes: The PoC must include at least one to few processes, preferably for different roles in the relevant organization, according to the size and complexity of the implementation and customer requirements. Required activities: Establish PoC environment in LCS* or other Microsoft Dynamics AX online environment Microsoft Dynamics AX is configured to provide high-level support for the business processes defined and prioritized through discussion with the client; Microsoft Dynamics AX is configured for detailed support for selected critical business processes; A characteristic subset of the Customer data is loaded; The PoC is presented to the customer’s stakeholders to gain consensus in the proposed solution and gather additional requirements feedback; All configuration, or developed interfaces, is left behind as transferable to the implementation project (all generated Intellectual Property (IP) is retained for use in the implementation project); and A PoC report with the findings is delivered and reviewed with the customer.
