Migrating to Microsoft Dynamics 365 4/22/2018 About the Engagement Migrating to Microsoft Dynamics 365 helps customers who are considering moving their CRM (Dynamics or not) solution to the cloud (fully or hybrid) or debating how to go about updating their Microsoft Dynamics 365 solution. It helps them assess the fit of the online solution for their business requirements, analyze the functional gaps of their environment, identify the best migration path, and experience the solution through a PoC that can be used as a data migration template for future planning. The Planning Services engagement enables customers to put their IT investment to work, drive productivity, and improve business agility. It works with customers to identify the right path to get the most out of the latest Microsoft Dynamics 365 version, while planning a smooth data migration and closing the gaps between their current solutions and business objectives and vision. Envision and Assessment Fit Gap & Data Migration Assessment Proof of Concept Assess customer business process requirements and current environment. Deliver envisioning workshop to discuss the benefits of the current version, considerations for online migration, and recommended migration path. Preform functional fit gap analysis to assess the degree of fit of out-of-the-box functionalities to customer business needs, vision and assess data requirements and “what it will take” to migrate customer data to CRMOL. Eligible Customers and Potential Scenarios 4/22/2018 Customers are eligible for this engagement if: They have sufficient Planning Services Days as part of their on-premises Microsoft Dynamics 365 Software Assurance benefits, or if they have sufficient days from the SA benefits purchased for other products. Participating customers of the 15-day engagement will be required to purchase and activate some (at least 10) Microsoft Dynamics 365 licenses. Customer scenarios below represent ideal targets for this engagement : Has a non-current version of Microsoft Dynamics 365 on premises, especially one that is out of support (Support Lifecycle end dates). This customer is a good candidate for rip & replace planning. Has a recent version of Microsoft Dynamics 365 and considers an upgrade to current version. For this customer consider during the engagement assesses if upgrading their on- premises install versus migrating to Online will be more suitable. On most current Microsoft Dynamics 365 version and considers migration to the cloud (or hybrid). The engagement uses one process as a template to plan and assess migration, so that the customer can understand what it will take to migrate to the cloud. Has a competing solution or no CRM solution implemented, but has other Microsoft products with SA, especially those of the productivity suite. The engagement can showcase the envisioned solution, compatibility scenarios with the productivity suite, as well as the benefits of the Microsoft cloud platform. Engagement Requirements & Customization Options 4/22/2018 Engagement Requirements & Customization Options This document outlines the steps for a typical Microsoft Dynamics 365 implementation assessment process. The tools and resources reflect tested Microsoft best practices. We understand that not all customers are the same. The intent of the engagement is to assist customers with their migration planning. In order to best address the needs of your customers, please feel free to customize the engagement in the following ways: Choose the engagement length and deliverables that best fit your customer needs and their eligibility for Planning Services days. Though, using Planning Services days requires delivery of an engagement that meets the length chosen on the customer voucher and the required deliverables associated with engagement of this length, as listed in this document, at the minimum. If you need to execute a longer engagement in order to deliver the required deliverables, you or the customer may choose to cover any additional costs and fees that are not covered by Planning Services days reserved on the customer voucher (such as planning integration with Office 365 and productivity apps). For example, if a 5 days engagement voucher is reserved for you, you must deliver at least 5 services days, the envisioning and discovery workshop, a business and data migration assessments, and a high level fit gap analysis for one process. Proof of Concept – Microsoft best practices show that engagements that include a PoC enjoy greater success, as they better showcase the benefits of the solution to the customer and create additional service opportunities for you. We suggest you include a functional PoC in 10 days engagement if - Your customer environment is not complex, does not have significant number of processes or significant number of users. The excess may then be settled out-of-pocket by the customer, by you as a pre-sale effort, or by a combination of both. Customize the assessment – Edit the Pre-Engagement Questionnaire to more accurately address your customer’s unique challenges. Customize the engagement documents or use your own if they are aligned with the engagement steps. Regardless of the templates you use, the documentation you deliver to the customer must be attached to the Planning Service Completion Report and must cover engagement finding and results similar to what is listed in the template deliverable of the engagement. Based on the customer response, plan the envisioning workshop, conduct an initial high-level assessment of the current business goals and environment, and identify: General need of the customer for a business solution, and processes that can benefit from Migrating to Dynamics 365. System’s challenges, gaps, and limitations that might be solved with Online implementation. Workshop Once you have reviewed the completed questionnaire and identified high level considerations for a CRM solution, schedule a workshop with the customer that includes: An overview of the advantages of Dynamics 365; Bringing attention to relevant new features and functionalities of Microsoft Dynamics 365 (especially ones that might replace custom code), and; Discussing considerations surrounding cloud versus on-premises implementation. In addition, Further explore how implementing Microsoft Dynamics 365 can meet the functional requirements for their processes, and how they can benefit the most from such a solution. Define a vision for a cloud-based CRM solution and discuss considerations and requirements as they relate to the customer environment; gather more information for a functional fit gap analysis. Discuss with the customer how Migrating to Microsoft Dynamics 365 can meet the functional requirements of their processes, and how they can benefit the most from such a solution versus an on- premises upgrade path. Collect feedback on the customer’s concerns, preferences, and requirements. Prioritize business processes that best exemplify the benefits of the solutions, but of a complexity that you can accommodate during the engagement you plan to deliver. Conclude the workshop with an envisioning session. Discuss a suggested migration path, its benefits, and what it will take to implement the suggested solution. Record in a report findings from the workshop, such as customer goals, challenges, solution concept and functionalities, next steps, etc. Business challenges and goals, review important business processes and ensure that they can be supported by Microsoft Dynamics 365 High level functional, business and integration requirements to ensure they can be met. Builds confidence in the proposed Solution before proceeding with the more costly implementation phases

Fit gap analysis phase Required activities & deliverables for any voucher of 5 days or more Required Activities (in addition to the activities included on the Assessment Phase) The objective of the Fit-Gap assessment is to determine the Microsoft Dynamics solution’s degree of fit to the business requirements of a chosen business process. It should also help to determine the most suitable implementation path considering required configuration and customization for the process. This assessment should consider the functional gaps of the out-of–the-box features and functionalities of Microsoft Dynamics 365 (data collection can be done during workshop or additional meetings with relevant stakeholders). Required tasks: Analysis of the legacy systems, review of business and IT requirements, and identify any new requirements. Validate the degree of fit between the customer’s requirements and Microsoft Dynamics 365. Validate the Online solution’s degree of fit and limitations in regard to the customer’s business requirements and goals. Identify risk areas where proposed solution does not map to the requirements. Work out acceptable compromises and devise a potential implementation strategy. Identify one customer business process, which will serve as an example for testing your suggested migration path and create a fit-gap assessment report. Produce an assessment report summarizing the degree of functional fit of the suggested solution, including - A review of “as-is” and “to-be” process-flow fits and gaps, with an emphasis on the gaps. Validation of the “degree of fit” of Microsoft Dynamics 365 to certain business requirements. Review of critical gaps, and explore alternatives that solves them.

High Level Migration Assessment Required activities & deliverables for any voucher of 5 days or more Required Activities (in addition to the activities included on the assessment phase AND the fit-gap analysis phase) The objective of the high-level Data Migration Assessment is to further discuss with the customer the benefits, ROI, and limitations of the different implementation options, as well as what it will take to migrate the customer’s CRM solution to the cloud. To complete your assessment: Present to the customer comparison of the different implementation options Discuss with the customer data migration requirements; specifically, migration to cloud requirements and limitations Identify potential gaps of customer’s environment. Consider the best approach to a smooth migration and data security Compare the different efforts of migrating data to the cloud: rip and replace path vs. on-premises. Also compare the as-a-service models: Implementing Dynamics 365 (as SaaS) vs. Implementing it on Azure (IaaS or PaaS) Analyze the costs associated with each option and the potential ROI of migration path If your findings suggest that the best path for the customer is to first go through on premise upgrade, discuss with the customer (depending on PS days eligibility) switching to Upgrading Microsoft Dynamics 365 Planning Services Engagement instead of completing the online one. Deliver a Data Assessment Summary report as part of the overall Assessment Phase report, which provides an overview of the suggested implementation of Microsoft Dynamics 365 and migration path. Also discusses how the proposed solution meets the customer’s needs, gives the customer budgetary guidance, and recommend next step.

Prioritize processes for PoC. If necessary, encourage the customer to consider an Upgrading to Microsoft Dynamics 365 Engagement or Azure implementation* Highlight any risk factors or technical issues that the implementation plan must account for. Deliver a closing presentation to the customers discussing your report. The report is a required deliverable you must attach to the Planning Services Completion Report *Azure Planning Services are available as well and the customer might benefit from delivery of one of the Azure Planning Services Offering (AZDPS) as part of the process of planning their Dynamics 365 implementation. Partner can only deliver the Azure engagements if they meet the competency requirements of AZDPS offering, CRM and Dynamics 365 competencies do NOT meet these requirements.

Benefit Showcase (PoC) phase Required activities & deliverables for a voucher of 10 or 15 days Required Activities (in addition to the activates included on the assessment phase AND the fit-gap analysis phase AND architecture design review phase) Proof of Concept The objective of a Proof of Concept is to demonstrate what it takes to migrate a process to Microsoft Dynamics 365., PoC also showcases the benefits of online implementation and validates the suitability of an online migration path for the customer. During PoC, create a recommended template approach, which can potentially be used to migrating other processes or as guidance in future planning. The partner will implement a PoC and migrate one identified processes to Microsoft Dynamics 365, highlighting relevant functionalities that exemplify the solution’s benefits, and driving solution acceptance as a result. For 10 days engagements, a conference PoC is required. You must implement in a demo environment an actual process of the customer, creating demo data and records. This implementation uses your Microsoft Dynamics 365 demo environment or a trial version, no licenses/seats need be activated, and no real data is migrated. Critical processes should be used in a conference PoC in order to demonstrate how customer’s requirements for a functional migration can be met with the suggested solution. For 15 days engagements, a functional PoC is required. You will migrate an actual process, along with 1,000 to 2,000 of the customer’s records, to the customer’s Microsoft Dynamics 365 environment. You will activate at least 10 licenses/seats purchased by the customer. Develop a PoC Finding Report, deliver a closing presentation to the customers discussing your report. The report is a required deliverable you must attach to the Planning Services Completion Report PoC Report Requirements Record the following in the PoC Findings Report: PoC implementation considerations chosen scenarios and processes implementation steps intended usage benefits you showed case the customer PoC results, findings, feedback and challenges next steps
