Pushing the Boundaries: Two Diverse Project at Seattle Children’s Maximize REDCap’s Functionality to Support Improved Diagnosis and Multi-Project Program Management Deepthi Nair MS1, Debra Jensen2 1Center for Clinical and Translational Research, Seattle Children’s Research Institute, Seattle, WA, United States 2Maintenance of Certification Program, Seattle Children’s Hospital, Seattle, WA, United States Introduction   Seattle Children’s Hospital (SCH) uses REDCap extensively to support clinical and administrative projects. We are presenting two innovative projects using REDCap to advance diagnostic and program management capabilities at SCH – 1) MOCap project supports multi project program management as well as physician’s “Maintenance of Certification” program, and 2) REDCap Facial Radiographic Image Database project that has improved data capture and clinical diagnosis in the pediatric craniofacial division. MOCap Project Facial Radiographic Image Database Project BACKGROUND SCH’s maintenance of certification(MOC) program provides physicians with an opportunity to learn quality improvement (QI) skills and improve patient outcomes significantly. This is achieved through a mentored participation program in quality improvement. The MOCap project in REDCap involves a Multi-Project Program Management where physicians are provided a platform to manage and track their projects for the MOC program. CHALLENGES Finding a secure site for hosting the images Transitioning from a paper format to a picture/image intensive REDCap form Matching the variables and data formats to existing database RESULTS Developed an image intensive form that reflects the paper format Improved clinical diagnosis Improved data capture, reducing data errors Ready availability of data for analysis FUTURE WORK Use the REDCap mobile application to capture data at bedside. Implement other forms in REDCap in the craniofacial division. REDCap implementation of MOC BACKGROUND The craniofacial division at SCH uses REDCap for the data capture of Craniofacial Microsomia (CFM) condition. CFM includes a spectrum of malformations primarily involving structures derived from the first and second branchial arches. Characteristic findings include facial asymmetry resulting from maxillary and/or mandibular hypoplasia; preauricular or facial tags; ear malformations that can include microtia (hypoplasia of the external ear), anotia (absence of the external ear), or aural atresia (absence of the external ear canal); and hearing loss1. The implementation of this project in REDCap has improved clinical diagnosis and made the data capture process more efficient. In addition, the real benefit of this migration from paper based data capture to REDCap is the ready availability of data for analysis. Figure 2. REDCap record status dashboard for MOCap project. MOC PROJECT LIFE CYCLE Figure 1 shows the project life cycle of the MOC program and the highlighted sections have been implemented in MOCap. Figure 2 shows the Record status dashboard of the MOCap project. CHALLENGES Taking a totally paper-driven process/program and working to integrate/automate forms to improve time and efficiency for participants Bending REDCap to accommodate multiple projects with different teams, yet all using the same forms Figuring out how to auto populate and work with the reminder/invitation system (a new challenge) Thinking sequentially about the project and what could be automated Helping everyone convert from paper to REDCap RESULTS MOCap has helped to automate a major part of MOC process resulting in Significant time saving for physicians Improved administrative efficiency 205 physicians have enrolled in the MOCap project since the project went live, and the physician participation in MOC program has improved by 35%. Easy data extraction and reporting FUTURE WORK We plan to automate more sections of the MOC project life cycle.
