Getting Your Organization Started All registered orgs must have: President Treasurer Full-Time Faculty/Staff Advisor At least SIX currently enrolled WSU students President and Treasurer must attend a training session Update OrgSync Info Move alumni or inactive members to alumni group Add new members to organization portal Constitution Management Read each year to keep up to date It is how org does business. Organization Event Reminders All Organization events must be registered on OrgSync Both on and off-campus events Certified Event Planners Office of Student Activities has introduced an online certification program to assist Student Orgs in their event planning. Every Student Organizations must have at least one CEP, two is suggested CEP will be the only ones that can RESERVE and REGISTER events A CEP can represent up to 2 Orgs CEP will be trained on event planning, university policy and best practices Large events take months to plan! Space fills up fast, submit requests ASAP!

Food Must use WSU dining services first Non-WSU Dining Services food cannot be brought onto campus for an event or meeting unless donated. See the form on OrgSync. Bake sales Selling food or accepting donations, you may need to purchase a temporary food license from Greene County Combined Health District, http://www.gcchd.org or call (937) 374-5600 Food that has to be kept warm or cold and sold needs the license As stated, prepared food cannot be brought onto campus Bake sales are the exception to this rule All food must be individually wrapped with a an attached list of ingredients secured to the packaging. Remember the item must not require heat or refrigeration. Examples are popcorn balls, cookies, cake with nonperishable icing, muffins, bread rolls, pretzels and donuts. Giving away food does NOT require a license, however, safe food handling procedures are important http://www.gcchd.org/ Go Fund Me type opportunities through campus accounting system, or additional fundraising ideas? Serious business-alcohol Any off-campus event sponsored by a registered student organization that uses the WSU name and alcohol is either being served or is within the premises, MUST get approval from the Director of Student Activities, and it must also follow both the alcohol policy listed in the student handbook and the FIPG guidelines available on OrgSync. This includes events held at establishments that serve alcohol, even if the alcohol is not an intended part of the event. Events are REQUIRED to be registered AT LEAST 45 DAYS IN ADVANCE!!!

Travel and risk management

Organization risk management REMEMBER AS PRESIDENT YOU ARE RESPONSIBLE! What would a reasonable person do? Talk to Debbie Lamp Negligence Liability Insurance Evaluates risk using a 1-4 hazard scale Almost all events will be covered under policy Off campus events with hazard 3 & 4 must purchase additional insurance

WSU in accordance to Ohio law does not permit hazing! No student organization, individual student, or alumnus shall conduct nor condone hazing activities. Hazing activities are defined as: "Any action taken or situation created, intentionally, whether on or off the campus premises, to produce mental or physical discomfort, embarrassment, harassment, or ridicule. Such activities may include but are not limited to the following: use of alcohol; paddling in any form; creation of excessive fatigue; physical and psychological shocks; wearing of public apparel that is conspicuous and not normally in good taste; engaging in public stunts; morally degrading or humiliating games and activities; and any other activities that are not consistent with academic achievement, fraternal law, ritual, or policy, or the regulations and policies of Wright State University, or applicable state and/or federal law(s).”

What if we think there has been a hazing incident? “Any individual or organization suspected of authorizing or tolerating the occurrence of a hazing incident will be subject to an investigation by either the Office of Community Standards and Student Conduct and/or the appropriate University department. The investigation may be followed by a formal disciplinary hearing in accordance with the student conduct due process procedures outlined in the WSU Code of Student Conduct.” From the Student Handbook TELL SOMEONE! Any of the professional staff in the Office of Student Activities or Community Standards can help you. The goal is for students to have fun, learn, grow in a SAFE environment.
