1027E form Form is set up with a second page for those clubs that have a greater number of participants If you don’t need or want the second page, simply save only the first page. Then when you print, you’ll save a tree. You can use this pad of 1027E’s’ instead of printing one off the computer 15

Email with Pre-entries Prepare email addressed to DIC Subject line must include Open Day club’s name and your club’s name Sample Subject Line: Oakhurst OD from Olympic Club Attach the completed 1027E to an email On top of 1027E, you will see language that says “Indicate Open Day location and your club name in the subject line of your email” See example on screen (Diablo OD from Marin) As this is the beginning of a chain of emails between you and the DIC, it will help the DIC immeasurably to be able to find your email quickly to send information to you. 24

Email with Pre-entries Subject line must include Open Day club’s name and your club’s name Email must be sent on one of the three days indicated on the Letter of Invitation. It will always be a Tuesday, Wednesday, or Thursday about three weeks before the Open Day 25

What Happens Next? No later than 10 days prior to the Open Day, DIC will send you a list of accepted players by email If under subscribed, ALL players will be accepted. If oversubscribed, some players will be accepted based on an equalization formula. As soon as possible after you send the entries to the DIC (Tues, Weds, Thurs) the DIC will send you a list of accepted players. She will send the list NO LATER than 10 days prior to the OD 27

What Happens Next? No later than 10 days prior to OD, DIC will send you list of accepted players by email You confirm “accepted players” will play by contacting each player via email or by phone Contact the accepted players to determine if they are still playing You can add a substitute for a player who cancels with another player from your club at this point. 28

Summary OD Chair has a list of dates when OD Letters of Invitation are posted OD Chair accesses WGANC Website, prints LOI OD Chair posts LOI with sign-up sheet (1027E) and/or sends LOI to club members via email OD Chair collects sign-up sheet or responses via email OD Chair sends computer-generated 1027E to DIC by email on dates designated in Letter of Invitation DIC sends OD Chair accepted players’ names OD Chair contacts players to confirm interest OD Chair emails DIC confirmation DIC confirms receipt of confirmation by email 32

Open Day Reminders for Players Please post where you post the sign-up sheets and Letters of Invitation. Perhaps you could review this information with your members at one of your meetings. 36

Hosting an Open Day No later than 8 weeks prior to OD, DIC will contact you to schedule an Arrangement meeting Meeting participants may include: Golf Pro Food & Beverage Manager Optional: 18 Hole Ladies Group Captain and Club Manager 39

Hosting an Open Day (cont.) Seven weeks prior to OD, the Arrangement Meeting is held Subjects covered at the meeting: Food Menu Price for Food, Carts or Caddies Time for Start, Volunteers Club Dress Code and Description 40

Hosting an Open Day (cont.) The Letter of Invitation is created by the DIC and reviewed 4. Six weeks prior to OD, the Letter of Invitation is posted on the WGANC website 5. Open Day Chairs print the Letter of Invitation for posting Approximately 4 days prior to the Open Day, the DIC provides the final count of players 41

Eligibility to Compete in OD Qualified WGANC Members Members from the Host Club play if field is under-subscribed with DIC’s approval. Handicap Limit – Index of 40.4 Other Information: 1. Entry Fee– Pay IN CASH at Check-in 2. Dress Code – Specified by Club Keep the chain of emails going by hitting reply If you start a new email, be sure to re-enter the OD club and your club name in the subject line 42
