2011 GUGM - GIL Express – The TIPS Session Sunday, May 06, 2018 GIL Express 2011 GUGM - GIL Express – The TIPS Session GIL Express for Newbies

Avoid Frustrations with GIL Express – Helpful Tips Sunday, May 06, 2018 Avoid Frustrations with GIL Express – Helpful Tips We are going to discuss some problems or pitfalls that can occur with GIL Express. Hopefully these tips will help you!

Processing Issue When sending the item to the Pickup Library, YOU DO NOT CHARGE THE BOOK TO THE PATRON. When the item is processed in Callslip, the item has the status "In Transit". It will always have the status "In Transit" when being delivered through STAT Courier to either the Pickup Library or being returned to the Holding Library

Callslip - Preferences Setting the correct “Preferences” for your Callslip workstation

Sunday, May 06, 2018 Preferences window Default

Sunday, May 06, 2018 Make sure to click the following buttons: Automatically print new request Force Item Search on Process Click on Universal Borrowing Requests and then click Send email for unfilled requests DO NOT CHECK – Send email for filled requests

Sunday, May 06, 2018 Finished Preferences Screen Correct Setup

Callslip – Email Issue Uncheck the “Send email for filled requests” box

Why do I need to uncheck the “Send email for filled requests” box?

Callslip – Callslip.ini How do I reload my Callslip.ini file after an upgrade or to another workstation?

Callslip - Workstations Can I process Callslip requests from any workstation?

Are there any fines for GIL Express items?

There are no overdue fines on GIL Express books at this time. Sunday, May 06, 2018 There are no overdue fines on GIL Express books at this time. Recall fines are charged by some schools for GIL Express books. The University of Georgia and Georgia Institute of Technology currently charge recall fines. Recall fines are $2.50 per day. Patrons (including faculty) are responsible for paying these fines!

Discharging Issue Discharging – Items with the status “Lost System Applied”

Returning Library Item has to be discharged to be put “In Transit” to Holding Library

Sunday, May 06, 2018 Select Holding Library and scan the item barcode Pop-up message appears that - Item is marked as “Lost” Click OK because you do want to discharge the item

Sunday, May 06, 2018 Next you should get a Pop-up message reading – Item is marked with statuses: Lost and the question – Remove statuses? Click “No” – you do NOT want to Remove the “Lost” status

Holding Library Discharge item to remove “In Transit” and “Lost” statuses then forgive Lost Book Fees

Sunday, May 06, 2018 Scan the item barcode Pop-up message appears that - Item is marked as “Lost” Click OK because you do want to discharge the item

Sunday, May 06, 2018 You will now get a Pop-up message asking “Remove statuses?” Click “Yes” because you would want to remove the “Lost” status at the Holding Library

Sunday, May 06, 2018 Notice the status in the FYI box is “Browse” Remember the item was “In Transit” when returned to the Holding Library. This is why you get the status “Browse” when you discharge the item

Sunday, May 06, 2018 Click on the Item button to go to the Item record

Sunday, May 06, 2018 Using the Item Drop Down Menu, select “Outstanding Fines”

Sunday, May 06, 2018 You can now see the total amount owed on this book You also have to option to click on “Patron Fines” to go to the Patron’s Fines/Fees Click on “Patron Fines” so that you can credit these charges to their account

Sunday, May 06, 2018 Important – Always use Posting Type “Forgive” when credited Lost fees for GIL Express items. Do NOT use the Posting Type “Error”. It will remove the fines but will leave the information on the patron’s “My Account” which is very confusing to the patron

Sunday, May 06, 2018 Sign on to your Circulation Reports Click on Run Custom Reports to view GIL Express Reports

Sunday, May 06, 2018 Listing of GIL Express reports available

Sunday, May 06, 2018 Great report for tracking your books through GIL Express You can view all your books with the current status of the book in the GIL Express process You can also sort this report by specific status of your books

Sunday, May 06, 2018 This is a great report to monitor and take actions against your patrons with outstanding GIL Express obligations

It is very important to daily pull GIL Express books off your shelves that have expired. Once a GIL Express “hold” expires, it has the status of “Not Charged” They must be discharged to put them “In Transit” so that another patron cannot request them through GIL Express before they return to the Owning Library.

Be sure to use your university or college name, not library name, in all communication as well as the STAT Courier USG delivery/pickup site codes . You can also email the USG Help Desk at helpdesk@usg.edu. Other messages should be posted to the G2UCUB Listserv. You do NOT charge the book when sending the book to the Pickup Library

Sunday, May 06, 2018 List Etiquette If you have an issue with an error or problem from another school, please email the contact person for that school directly. PLEASE do not post messages that might embarrass another school or individual. You do NOT charge the book when sending the book to the Pickup Library

Patron Information Report Sunday, May 06, 2018 Patron Information Report How can I check to see if one of my patrons has outstanding GIL Express obligations? You do NOT charge the book when sending the book to the Pickup Library

We cannot view a patron’s My Account because of the new PIN. We need to make sure when patrons are graduating or leaving the employment of our University that they do not have GIL Express obligations. Bob Trotter created the Patron Information report which will allow us to see GE obligations and activity.
