WELCOME To WCSSF 2017 ANNUAL MEETING

The WCSSF Who are we? The West Central Suburban Soccer Federation (“WCSSF”) is an inter-club competitive league designed to provide the Recreational Plus Player a competitive experience, while focusing on equitable fair play and good sportsmanship while providing venue for the players to have fun.

The WCSSF The WCSSF has 13 Clubs that participate throughout the year: Ben Davis, Danville, Lebanon, Mill Creek, Montgomery, Plainfield, Putnam, Speedway, TriWest, USAi, Westside, Zionsville, Franklin and Beech Grove. Each of these clubs are their own individual entity with separate bylaws, rules, governing boards, etc. The WCSSF would like to have a representative from each of the clubs on our board. Unfortunately, right now, there are only four clubs represented.

So what’s the WCSSF’s role? The WCSSF works alongside and with the various clubs. The WCSSF wants to help or assist each club to help each club succeed. The WCSSF wants to be a source when questions arise.

The WCSSF wants to be a source when questions arise. The WCSSF ensures that the rules of our league are upheld for the good of all the clubs.  The clubs, initially, are responsible to ensure that the coaches from their club are aware of the rules and understand what is expected. When the rules are not upheld, the WCSSF will contact that club’s Rec Plus Coordinator. The WCSSF feels that it is necessary for the clubs to work with the coaches or team to correct a problem, not just the WCSSF. When problems arise which requires a suspension, sanctions or discipline, the WCSSF will first contact the club and work directly with the club to both correct the situation and to outline the details of the suspension, sanction or discipline.

In addition, for the future, the WCSSF does not want to implement rule changes without first seeking the input from each of the clubs.

What WCSSF expects from your club That you keep in mind we are all volunteers with full time jobs giving of our “free” time for the benefit of others. That we do not have children in the league so do not have anything to gain personally by any decisions that we make. That we be treated respectfully and with consideration.

What WCSSF expects from your club 3. That you as a club monitor your teams adherence to the league rules. 4. That your club makes sure that the coaches are aware of the expectations for them within WCSSF as well as the possible consequences for choosing not to follow those rules. 5. That you have people at your fields who are the “go to” should any problems arise and that the coaches and referees are aware of who that person is at all times.

What your club can expect from WCSSF That the rules stated in the WCSSF rules will be followed without exception. That we will do all we can (the few of us that there are) to support your club in any aspect of soccer that we possibly can. That we will respond quickly and fairly to any issues that arise. That we will treat you and your club with respect as we would expect for you to do with us. That everything we do is with the players longterm growth in mind.

Issues that WCSSF needs clubs to address: Make sure that your rosters meet the requirements outlined in the WCSSF guidelines Make sure that you register your teams on time. March 17th by 11:00p.m. The only people allowed on the Bench are those with a coaches card that must have a picture, be signed by the registrar and be laminated. Please make sure that your assignor is assigning age appropriate referees and that they are dressed appropriately as well as versed in the WCSSF rules.

Current Decisions on the table 1. Determining game winner at tourney process: At present policy is to play two 5 minute halves then go to penalty kicks if the score is still tied. Issue is that the process goes long and there is less time between games and the schedule gets backed up. Proposed solution: Go directly to PK’s without playing the overtime periods. Comments/Discussion (each club will be allowed to comment)

Current Decisions on the table Playing Equal strength at the tourney Teams come with the minimum number of players and then others have to play that way when they have full rosters. Proposed solution: During Tourney play only teams do not have to “play down” Comments/Discussion (each club will be allowed to comment)

February 1st – Registration Opens March 17th – Last Day to Register a team @ 11:00 PM March 20th – 1st Draft of Schedule April 1st – Final Draft posted FYI’s: Easter is April 5th; U19’s – 5 weekends for 8 games; U10-U14 – 6 weekends for 10 games

May 1st – Registration Opens May 21st – Last day to Register a team Adult League: May 1st – Registration Opens May 21st – Last day to Register a team June 11th – Opening Day July 30th – Last Day

Fall Status Quo! – Option #1 July 26th – Last day to register U10, U12 or U14 team August 8th – Final Schedules for U10, U12 & U14 posted August 8th – Last day to register U19 team August 15th – Final Schedules for U19 posted August 21st – Opening Day October 3rd – U10 Jamboree October 9th – 11th -- U12, U14 & U19 Tournaments

Fall Balanced Calendar – Option #2 (U10, U12, U14 – 10 games with 6 weekends; U19 – 8 games with 5 weekends) July 26th – Last day to register U10, U12 or U14 team August 8th – Final Schedules for U10, U12 & U14 posted August 8th – Last day to register U19 team August 14th – Opening Day for U10 – U14 August 15th – Final Schedules for U19 posted August 21st – Opening Day for U19 October 2nd – 4th – U12, U14 & U19 Tournaments October 3rd – U10 Jamboree

Game Scheduling Keep Regular Season Games to Friday-Sunday Weeknights: Leave for practices, school events and rain-outs & emergency make-up dates. Blackout Dates: Must be Submitted with Team Registration or E-Mailed to Scheduler before the Registration Deadline to be Honored.

Game Scheduling Coaches with more than 2 teams: CANNOT be scheduled around any longer. Too many coaches with 2 teams in the WCSSF to make all the games fit in the schedule. Too difficult to fit in 3 games in one day across a 12-Club playing area Those coaches become inflexible and unreasonable in working with other teams to move a conflicted date. * WCSSF will still try to fit in 2 teams as best we can. ..

Game Scheduling Published Schedule: Once Published, it is the team’s responsibility to change with the opposing team. Go into GotSoccer to request a game change: Log into Team Account – Go to Schedule – Click the Game Request Button to the right of the game in question. The opposing team does not have to accept a game change request. May have to offer options of differing dates/times to fit in a make-up.

Game Scheduling Game Scheduling Process: 100% manual Done so in order to incorporate all special requests as well as Club/Team Blackout Dates. Generally have over 300+ “Special Requests” for a 350-375 game season. We try very hard to honor every request. The issues that arise are generally due to the Clubs or Coaches not submitting Requests and Blackouts before the schedule was prepared.

CLUBS Game Scheduling WCSSF NEEDS YOUR HELP!!! General trend occurring lately of the same Clubs submitting less and less Blackouts and Requests at the time of the team registrations and then after the schedule is produced suddenly needing ¼ to ¾ of their schedules modified.

Game Scheduling Please, Please, Please be proactive. Put the time into game scheduling needs PRIOR to the schedules instead of AFTER the schedules are produced. It is significantly easier to accommodate requests and needs as the schedule is being developed instead of after it is complete and all needs and requests for all other teams are accounted for.

Game Scheduling QUESTIONS?

Assignors and Referees Assignor Must Do’s 1. Assign age appropriate referees, failure to have age appropriate referees will mean a forfeit for the home team 2. Be there to check on referees, praise and criticism in equal amounts 3. Communicate concerns and perceptions to referees as it occurs

League Board Members 1. Who is the go to at your field? 2. Are the coaches and referees aware of who their go to is for each game? 3. Is there a board member who is not a coach at the field for each game? This could help to avoid issues. 4. When in doubt capture issues with your phone.
