Introduction In this presentation we will synchronize data from a remote digital repository to Alma. In other words: Metadata is changed in the remote digital repository and then the change is reflected in Alma. In the example here the remote digital repository is Rosetta. The same method, however, will apply for other digital repositories such as Digitool.

The Alma import profile On the Alma side there is an import profile of type “digital” which harvests via OAI. On the Rosetta side there is a publishing process which publishes the records so that they can be harvested via OAI. On a regular basis all updated, new and deleted records are published from Rosetta. On a regular basis all records published in Rosetta are harvested by Alma via the import profile. In this way there is constant synchronization in Alma of any changes in Rosetta.
The Alma import profile Under “Resource Configuration Menu > Record Import > Import Profiles” we have created an import profile of type “Digital” called “Harvest from Rosetta (Van Gogh)”. It connects to the Rosetta remote digital repository via OAI Base URL http://rosetta.exlibrisgroup.com:1801/oaiprovider/request For details about creating the import profile of type digital see https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/Alma_Online_Help_(English)/Resource_Management/060Importing_Records_Using_Profiles/Configuring_New_Import_Profiles/Creating_a_Digital_Import_Profile
The Alma import profile Records will be harvested from here Records will be harvested from this set Records changed after this date will be harvested

The Metadata in Alma and Rosetta Title “The Potato Eaters” is in both Alma and Rosetta. Here is the metadata in Alma. MMSID 99130008400121
The Metadata in Alma and Rosetta Here is “The Potato Eaters” metadata in Rosetta

Changing the metadata in Rosetta Now we will make a change to the record in Rosetta.
Changing the metadata in Rosetta We will change the title in the record in Rosetta.
Changing the metadata in Rosetta Instead of “The Potato Eaters” we will call it “The Hungry Potato Eaters”
Changing the metadata in Rosetta We save the record with new field and commit changes
Changing the metadata in Rosetta Now we will publish it in Rosetta. Typically this would be scheduled to run on a regular basis automatically. We will do it here manually as follows: Data management > Manage sets and processes > publishing configuration > … > more > synch configuration
Changing the metadata in Rosetta View the record in Rosetta via OAI to see that it has been published (this is just to demonstrate what happened, and not a necessary activity). Here is the URL we will use and how it appears in the import profile http://rosetta.exlibrisgroup.com:1801/oaiprovider/request?verb=ListRecords&metadataPrefix=oai_dc&set=alma

Harvesting in Alma and the synchronization Now we will run the import profile “Harvest from Rosetta (Van Gogh)” which we saw earlier Typically this would be scheduled to run on a regular basis automatically
Harvesting in Alma and the synchronization The record in Alma has been updated by the job
Harvesting in Alma and the synchronization In the “View Versions” of the metadata editor we can see that the title changed
Harvesting in Alma and the synchronization The harvesting of the import job knew exactly which record to update because of this match routine in the import profile: ISBN / 024 / 035 method We will see that in our case it is the 024 which does the match
Harvesting in Alma and the synchronization Here we see that the identifiers in Rosetta are like the 024 in Alma Rosetta Alma
