The next slide helps managers identify an employee experiencing problems.
Signs an employee may be experiencing problems Change in work performance and/or in behaviour Reduced productivity Forgetful or shows poor concentration Frequently absent or late Interacts poorly with co-workers Seems indifferent, lack of interest An employee who is experiencing personal problems or emotional difficulties may exhibit some of these signs — please move forward to the next slide to see how to help someone in those situations. The focus here is to offer support to managers through the management consultation or invite the manager to refer the employee to the LifeWorks program. The next slide explains the step-by-step process in helping an employee who is experiencing difficulties.
When an employee is experiencing problems: Observe the employee’s performance. Document work performance. Consult with Human Resources . Develop a performance improvement plan with specific goals and timeframes. Discuss with a Management Consultant at LifeBalance. Meet with the employee to discuss your observations. Do not attempt a diagnosis. Discuss resources needed to accomplish goals, and refer the employee to LifeBalance for support. Schedule a follow-up meeting with the employee. When dealing with an employee experiencing problems, it is important to consult with your HR department regarding your policies and/or resources that may be available through your organization. These are strictly suggestions on how to support or help an employee going through difficulties and how our services can support your performance management practices.
What is a Management Consultation? Service provided by LifeBalance’s Organizational Services team to support managers dealing with work-related issues or concerns Confidential sounding board Help with sorting out complex, sensitive issues Coaching for problem-solving, communication techniques Help with identifying resources Guidance available for when you need to refer an employee to the EAP Management Consults are a confidential telephonic service that we provide to support our organizational clients. They are designed to assist and support managers, supervisors and HR departments through third party objective support in dealing with employee-related concerns. Management Consults are a supplement but not a replacement for the organization’s HR solutions, policies and procedures, and are intended to support the organization’s decision and resolution process regarding employee issues and concerns. Counsellors on our Management Consultation Team offer objective expertise in the areas of employee relations and other business concerns, including those related to employee return to work, absence prevention, depression care, health promotion and substance abuse. Consultations can help supervisors and managers understand complex issues and prepare them for a dialogue when these issues affect the employee’s performance on the job. The next slide is a list of possible concerns that a manager might bring forward to the Management Consultation Team.

Critical Incident Stress Management 24/7 service available by phone to assess a critical incident and provide qualified trauma support and direction. Recommend: Defusing, Debriefing, On-site counselling National network of more than 450 consultants specialized in post-traumatic intervention. Type of issues: Acts of violence in the workplace Workplace accident Mergers or acquisitions Downsizing and reorganization Note: Important to understand if the program owner is comfortable with you sharing information about this service with the audience attendees as there are potential cost implications. Ceridian Crisis Management is designed to help organizations manage workplace risk. Workers affected by a traumatic event and experiencing unresolved feelings are more likely to be absent and unproductive. A critical incident is an event which is outside the usual range of experiences that challenge our ability to cope. Examples include: death of an employee, robberies, workplace violence, natural disasters, mergers/acquisitions/restructuring, terminations. The CCM team will conduct a comprehensive assessment, provide relevant informational/educational handouts via email or fax. Deploy a trauma specialist(s) to one or several locations. The trauma specialist can conduct a defusing, a group debriefing session and/or be available for one-on-one support. They provide information about Ceridian’s confidential Employee Assistance Program and encourage those having difficulty managing their reactions to the situation to access our counselling services. This procedure responds to requests for an onsite counsellor dispatched due to workplace trauma, layoffs etc. or any event that impacts the normal flow of the workplace and disrupts the focus of the employees, and results in reduced productivity, increased anxiety and decreased ability to concentrate on a task. This Psychological First Aid is designed to reduce these risks and help employees and managers move forward effectively. Definitions: Defusing is to make a situation less dangerous, tense, or hostile. A debriefing is a one-time, semi-structured conversation with an individual or a group who has just experienced a stressful or traumatic event. In most cases, the purpose of debriefing is to reduce any possibility of psychological harm by informing people about their experience or allowing them to talk about it.
Types of Referrals Informal Mandated The definition of an Informal Referral is: When an employee talks to you about a personnel or work related issue and there are no performance issues. HR is not likely to get involved at this point, but you are concerned and want to offer support by reminding the employee about the LifeWorks EAP program. The definition of a Formal Referral is: Often in conjunction with other performance management initiatives when there are performance issues. HR is often involved at this point. Our Management Consultation Team would work with you and/or your HR department to help you with your intervention. Present EAP as support. Check the next slide for information on Monitored/Mandated Referrals.
Monitored/Mandated Referrals Consult with your Human Resources department first. Contact a Management Consultant before making the referral. Employee must sign a release of information form. Case numbers are valid for 10 business days. Fax back the signed ROI form. LifeBalance calls the Authorized Contact to confirm that the employee has attended recommended counselling as per ROI form. Upon employee’s completion of counselling through the EAP, LifeBalance conducts a final follow-up. As part of an employee’s performance management plan, a manager or supervisor may require the employee to utilize EAP services. When this type of call is received, the caller is referred to the Enhanced Care Team (ECT) who works collaboratively with the caller to develop a plan for the employee. Managers, supervisors and HR often require confirmation from the EAP that the employee sought EAP service and attended sessions. To facilitate this feedback, the employee must first sign and return a release or information form. While I’ve outlined the steps above, our Management Consultation team will walk you through the appropriate process if a mandated referral is the recommended solution.
