Affiliate and Adjunct Appointment Process Office of Faculty Affairs and Diversity Department of Medicine Spring 2016 | Kate Mehring | dom-ofad@umn.edu

About Without Salary Appointments: Comparing the Two Types ADJUNCT AFFILIATE Primarily community-based, external Makes an academic contribution to the department through research or teaching responsibilities Division administrators often complete appointment request paperwork Not appointed to a track Associated with one of our affiliate sites (Regions, HCMC, VAMC) Required to have “substantial” academic responsibilities and a scholarship development plan Expected to have at least one first or senior-authored publication per year on average for promotion Expected to make progress towards advancing in rank Affiliate administrators complete appointment request paperwork Appointed to a track Possess a terminal degree (MD/PhD) Make an academic contribution to the DOM/Medical School Associated with a UMN Division

Notes If a faculty member has primary responsibility for submitting grades or serves as a site director for a clerkship or residency rotation, they must have either an adjunct or affiliate appointment. The department will decide which type of appointment is appropriate. The LCME expects a faculty appointment if the clinician or research scientist is the primary supervisor of a medical student in any given experience (e.g. clerkship rotation) and has responsibility for evaluating the student. The need for a faculty appointment depends on the level of responsibility, not frequency. Someone who gives lectures or teaches procedures does not need an appointment. A without salary affiliate faculty appointment is not necessary for those clinicians or research scientists who are teaching students. It is at the discretion of the department (or potential faculty member) if they wish to request an affiliate or adjunct appointment. If a faculty member is given an adjunct appointment, they must list their title as “Adjunct Assistant/Associate/ Professor” – the clinical designator (i.e. Clinical Assistant Professor) is no longer allowed. If a tenure track faculty member fails to be tenured at U of M and moves to an affiliate site or becomes a UMP only practitioner, s/he cannot receive an affiliate faculty appointment for a minimum of three years

Complete Process OFAD receives paperwork for (Appt Request Form, Affiliate Scholarship Development Plan, and CV) from affiliate contact for affiliate appointments. Adjunct appointment requests are received from the person requesting the appointment or the appropriate Division. OFAD sends paperwork to Division Administrator for Division Director signature (on appt request form) Once DD signs, OFAD sends paperwork to Dr. Igarashi to approve Once Dr. Igarashi signs, OFAD sends the full packet to Med School Office of Fac Affairs (MS OFA) along with a formal appointment request letter for Dr. Steer’s approval Once MS OFA approves, OFAD prepares formal approval letter and sends via email: RE: Your University of MN Faculty Appointment TO: Faculty Candidate / CC: Division Director, Division Administrator, Affiliate Admin, Affiliate Chief Attachments: Formal Approval Letter, Track Statement (Affiliate Appts), or Guidelines for Affiliate and Adjunct Appointments (Adjunct Appts), HR Information Form (HRIF) NOTE: The appointment is NOT active at this stage. OFAD must receive the completed HRIF before the appointment can be activated. New faculty completes the Human Resources Information Form (HRIF) and returns to OFAD. OFAD then sends HRIF and all completed paperwork to Lindsay Tran (tranx282@umn.edu) in DOM HR to enter into PeopleSoft. OFAD verifies appointment is active in OneStop and HRTS, then sends final confirmation email to faculty along with benefits information. OFAD forwards new WOS faculty information to Cindy West (westx177@umn.edu) to add the new faculty to the appropriate division website.
