Document Scanning: Expenses and Invoices Here you can view the invoice/expense and assign it to a project, cost center and authoriser. Once authorised by the designated person, the invoice/expense can be booked. 02

Booking the Invoice/Expense All information has been populated based on historic data and through the document scanning software. This will be automatically populated in your accounts when booked. An account/transaction code has been added by the system. This will be important when reviewing in your accounts. 02

Viewing the Transaction in your Accounts Here we can see the transaction in the accounts, view the invoice and it’s audit trail. To view the invoice select the external link (Basecone in this example), this will show you a copy of the invoice with it’s audit trail.

Time Entry User i.e. Employee Timesheets A time entry user has reduced access to the accounting system which enables them to post time against the projects they work on. A weeks timesheet can be easily submitted either on a computer or via their mobile phone. This is then submitted for approval by the project manager. 02

Approving a Timesheet Approving the timesheet is simple process; review the entry details (hour or cost type & quantity), tick the row and approve. When approved the cost is reflected in your project card.

Project Overview: Keeping an eye on your budget The project cards give quick, easy to digest information on the progress of each of your projects. By hovering over each one you can see progress, invoices, costs and margins. For more information, click on the name of the project to drill down. 02
