12A Process BY OPUS BY OWNER Pass Fail Text slide 2 months prior to BWOF expiry – request Form 12As from Contractors Organise Site Visit for Annual Audit of monthly checks and checking of Passive Features. Issue Form 12A for Passive Features Contact owner of any non-compliances for their action Collate all Contractor Form 12As Contractor Management – Notify Opus of any changes Monthly checks recorded and documented each month Remedy any non-compliances found during Contractors Maintenance or Annual Audit Issue BWOF Annual Audit Pass or Fail? Common Problems There are a number of common problems that we see regularly that hold up BWOF Issuance Examples of such are: Non approved remedial work precluding the issuance of a form 12A from maintenance providers Owners not having adequate maintenance contracts in place to cover all specified systems on the compliance schedule. Passive Inspections not up to date Passive features being damaged by utility providers Clients been held to Ransom over “Required” remedial work Text slide

How can we work together to make the process seamless? Transparency Communication Work together Ensure there is no gaps in the requirements of the compliance schedule being met Compliance schedule accuracy Ensure sufficient qualified contractors are in place Use of Technology Text + square image slide. On line management system Opus’ BICS portal is available for our Clients to view any information on their Building Warrant of Fitness and the process. Our Clients can view up-to-date information on their buildings, which will show them information like: Form 12As received; Who is holding up the BWoF, how many reminders we have sent and when; Current information held on the Building, Contractors and Client; Documents for download; Form 11s, Compliance Schedules, BWoFs; BWoF due date The next few pages will give you some insight into what kind of information you could expect from our BICS portal Passive features being damaged by utility providers Text slide
