The University’s Continuous Improvement Program

The compliance environment ISO9004 PROV standards Responsible Division of Management (RDM) Quality and continuous improvement environment New mandatory compliance standards issued by our state archives – responsible for the regulatory framework for archives and records Devolution of responsibility in an organisation that is already not very centralised. Around 9 staff for 10,000 staff Our challenge: how to convert compliance standards for recordkeeping into tools that can be used across a devolved system and in a sustainable way by staff without records background

The CIP Overview Designed to allow staff to manage the process individually with support Clearly indicates levels at which Records Services provide structured support Gives the option of support from Records Services for non critical issues as required by the business area AP

Creating the CIP – mapping the standards Used principles in Standards to develop key competencies relevant to University environment Used key competencies to develop continuum of maturity from ad hoc to optimised AP 324 individual requirements across all standards/specs 3 staff x 14 hours overall – brainstorm , writing up and review

Creating the CIP – creating the worksheets Used key competencies to create one worksheet per Standard. Questions to meet PROV requirements Sub questions developed after feedback around language and jargon Developed scoring system – and changed it AP

Creating the CIP – marking and scoring AP

Next steps – for the work unit A series of targeted and practical steps to assist with work planning Allows business units to identify and target specific areas of concern A variety of steps allows for areas to still achieve progress even if unable to allocate significant resources AP Indications of where we are thinking of going next.
