Integrated Leave Management A New Leave Service from DLS University Human Resources
Integrated Leave Management Overview Provides managers and employees with full support and guidance by working directly with a designated Leave Specialist in Disability & Leave Services (DLS) in University HR. Designed to reduce the complexities, delays, and frustrations that can occur during a disability or family leave. This service will leverage the expertise of the University HR Disability & Leave Services organization, which has extensive experience in disability and leave management. Does not replace the role of Human Resources for any issues not directly related to the disability or family leave of absence.
How Disability or Family Leaves Work Manager Human Resources Employee
Manager Role in Disability/Leave Process Refer employee to HR department to begin the process Keep DLS informed of any changes to the employee’s leave, such as return to work earlier or later than anticipated Prepare for the employee’s transition back to work Confirm employee’s return to work if requested by HR or DLS Check in with the employee during the first week back to work Promptly advise HR or DLS if the employee needs assistance transitioning back to work
HR Role in Disability/Leave Process HR Department Obtain basic information about the leave request and email DLS with LOA information Refer employee to DLS Provide Employee Information Card to employee Assist in confirming employee’s return to work if requested Keep DLS informed of any changes to the employee’s leave Early return to work or extension of leave Return to work with restrictions Employee difficulty with transition back to work
Employee Role in Disability/Leave Process Advise manager of need for disability or family leave of absence Discuss leave with HR Sign Request for LOA form and return to HR or DLS Contact DLS Specialist to begin leave process Call or go online to file claim/leave with Liberty Mutual Promptly provide all requested information to Liberty Mutual or DLS Keep DLS informed of any changes to work status or if leave is extended Provide written doctor’s release prior to return to work Advise manager if assistance is needed during transition back to work
Managing Disability and Family Leaves Disability and Leave Services
DLS Role in Disability/Leave Process University HR – Disability and Leave Services Send introductory email to employee confirming all leave details and provide leave resources documents Assist employee with filing claim/leave with Liberty Mutual Answer leave-related questions Manage pay and timecard Coordinate leave & provide information to Liberty Mutual and Zurich (for Workers’ Compensation) Assist with transition from Short-Term Disability to Long-Term Disability at ~ 70 days Keep HR advised with monthly reports
Important Exceptions The Workers’ Compensation process is slightly different and requires additional steps for the manager and the employee. Please talk with Human Resources and your DLS Specialist for details. Integrated Leave Management services are available for regular, benefits-eligible faculty, staff, temporary, casual and contingent employees. DLS does not administer leaves for postdoctoral fellows.
