ARIES Task 2.2 Meeting #2 - 5th Sept 2017 Task 2.2 – A Reminder Task objective: To produce a report on European communications and outreach in accelerator science. To deliver final report by May 2020. 1st stage = Gather informal data from key contacts. 2nd stage = Use data to create a targeted survey for broader reach. Meeting objective: To identify key communications actors in Europe to target for first stage of information gathering. To define next stage. ARIES Task 2.2 Meeting #2 - 5th Sept 2017

ARIES Task 2.2 Meeting #2 - 5th Sept 2017 Action plan Today = Select institutes, define contacts. October 2017 = Create plan for first meeting in Q1 2018. November 2017 = Send invitations. Q1 2018 = Hold first informal meeting. Q2 2018 = Create informal report/database using information gathered from meeting. To be used to form basis of formal survey. Identify survey parameters, write draft survey. Second round of identifying contacts for broader reach. Q3 2018= Circulate draft survey to Task 2.2 members for comments and editing. Create edited draft of survey based on input. Q4 2018-Q1 2019 = Open survey for responses + follow ups. Q2 2019 = Analysis of responses, drafting report. Q3 2019 = Circulate draft. Editing/rewriting of report. This plan allows time for a) a second informal meeting in 2018 if necessary, and b) multiple iterations of editing to allow for early submission. At present -> JT has compiled a list of ARIES Governing Board members, TIARA report respondents, IPPOG and LEAPS members This list is ~200 names -> must be assessed and prioritised.
