Why Have Staff Meetings? Build Team Morale Create and Review Procedures Training Goal Setting Coordinate Schedules Celebrate!

The Key To Success Preparation! What is the purpose for the meeting? What action do you want your staff to take? Will people be motivated and perform better after the meeting? Ask yourself, “Is this meeting really necessary?” “Could the objectives of the meeting be accomplished just as effectively by talking with staff members on an individual basis?”

Setting and Communicating the Agenda ALWAYS have a written and detailed agenda Everyone has a copy of the agenda during the meeting Prioritize the agenda

Define Resources Vendor Resources In Office Resources Reps E-learning Training Programs Statistics In Office Resources Let your employees shine

Define Participant Roles Who should attend the meeting? Time Keeper Time limits set and kept Teacher Moderator Scribe Off agenda (to do list)

Parking Lot When focus is threatened add the topic to the “parking lot” Acknowledges and validates Should be visible for everyone to see Make people accountable “This is interesting but can you help me understand how it relates to the agenda item we’re discussing?”

Make It Important Start ON TIME Social vs Business Is it worth the participant’s time End ON TIME

Inspire Goal Setting Go beyond “what” and focus on “how” Safe zone for ideas Encourage everyone to share ideas Ownership of goals Develop ideas on how to get things done

Frequency of Meetings Consistency Needs

Wrap It Up Schedule the meeting to end 15 minutes before the practice opens People should leave the meeting with a clear sense of direction Do they know what is expected of them? Do they know who to report to? Do they know the goals and deadlines? Plan the follow up – who, what how If the meeting is important enough to have then it’s important to follow up

Conclusion Meetings can be productive and inspiring! PREPARATION is the key!
