CMS Calibration Management System Version 1.1 Private & Confidential

Why CMS ? Impact of Non Calibration Faulty or Questionable Quality Increased Downtime Wastage of Resources & Time Potential Safety Hazard Safety procedure: In case of instruments involving perishable products such as food or thermometers with area of sensitive nature, uncalibrated instruments may cause potential safety hazards. Wastage: If the instrument is not perfectly calibrated, it might lead to potential wastage of resources and time consumed in the operations, resulting in an overall increase in expenses. Faulty or Questionable Quality: If the instrument is improperly calibrated, the chances of faulty or questionable quality of finished goods arises. Calibration helps maintain the quality in production at different stages, which gets compromised if any discrepancy arises. Fines or litigations: Customers who have incurred damage may return the product against a full refund, which is still alright; but if they go for litigation due to damages, you could be up for serious costs in terms of reputation and restitution payments. Increased downtime: Poor quality of finished goods is the first indicator of disrepair in your equipment. Regular calibration programs identify warning signs early, allowing you to take action before any further damage is caused. Version 1.1 Private & Confidential

CMS & Its Features Calibration Management System Automatic Alerts for Upcoming/Pending Calibration Privilege Defined Access to Information One-Click Instrument History Flexible Report Generation CMS Stands for Calibration Management System Some of its important features are : Automatic Alerts for upcoming/pending calibration - Emails are sent to the persons who are tagged to an instrument Privilege Defined Access to Information - You can define what kind of privileges a user can have when creating the user id One-click Instrument History - Get a complete history of the instrument, what was changed, when it was changed and who changed it. Flexible Report Generation - You can define condition against some of the parameters and generate a report. We will see what these fields are during the presentation. Instrument Management View List Lists all the Instruments tagged to you. Owner Options Edit Details Upload Image Delete Image Upload Certificate View/Download Certificate View Update History Delete Certificate You can view all the instruments in the system if “View All Instruments” privilege has been granted. Edit Details - This is only visible if you are tagged to an instrument. You can edit the details of an instrument. The details become live once they are approved by any other user tagged to the instrument. Upload Image - You can upload an image of the instrument. Delete Image - Use this to delete a previously uploaded image. Upload certificate - Upload certificate of calibration. So this can be downloaded or shared during audit. View Update History - This option lets you see the complete change history of an instrument from the time it was added to the system. Delete Certificate - Use this option to delete an uploaded certificate. Version 1.1 Private & Confidential

Instrument Management Add Instrument Fill data in the displayed fields Instrument Name Make Serial No Department/Location Range Permissible Error Unit Calibration Method Master Calibration Certificate No Fill all the above fields when you want to add an instrument in CMS. Instrument Management Add Instrument Example Screens Instrument Added (Owner screen) Instrument Added (Approver screen) Every Change in the status/data has to be approved by another user So once an instrument is added, it needs to be activated by another user (from the assigned user list you selected when adding an instrument). The person who added the instrument cannot activate it. The activate option is only available to the others in the assigned user list. Version 1.1 Private & Confidential

User Management View List Owner Options Lists all the Users tagged to you. Owner Options Edit Delete (Deletion possible only if no instrument/user is tagged against the user) You can view all the users in the system if “View All Users” privilege has been granted. Version 1.1 Private & Confidential

User Management Add User Version 1.1 Private & Confidential Name - Complete Name of the User Email - Official Email id. This will be the user’s login id. You cannot assign privileges that you yourself do not have. Version 1.1 Private & Confidential

Report Management Version 1.1 Private & Confidential View Reports View Reports generated and saved on the system from your organization. Version 1.1 Private & Confidential

Report Management Generate Reports Version 1.1 Private & Confidential View Reports View reports generated by you with an option to delete it. Generate Reports based on condition on the below fields Status Agency Agency Location Calibration Frequency Assigned Users Calibration Date Range Next Calibration Date Range Recall Date Range Version 1.1 Private & Confidential

Report Management Version 1.1 Private & Confidential Generate Reports contd... Press the submit button to execute the query based on the selected field condition. This will display the report on your screen. Press the Save Report button to save a copy of the report on the system. This can be viewed by others from your organization. Press the Download PDF to download a copy of the report as PDF. Version 1.1 Private & Confidential

Email Alerts Alerts are sent from info@aravsystems.com Triggered Alerts Email alerts are sent whenever there is a change in user/instrument status/data/privilege Auto Alerts Emails are sent to the users tagged to an instrument and the calibration agency when it's nearing its next calibration date. A week before the recall date On the day of recall date Every day from the recall date to the next calibration date Instrument “DISABLED” email is sent when an instrument is marked as disabled if its calibration is not completed before the next calibration date Alerts are sent from info@aravsystems.com (Please make sure they do not end up in your spam folder) We have two type of email alerts. Triggered Alerts are sent as a result of a change in the data/status for the instruments or data/privilege/status change of an user. Auto Alerts - These are sent automatically when an instrument is nearing its next calibration date or when an instrument is disabled Version 1.1 Private & Confidential

Approvals Version 1.1 Private & Confidential Approvals are required whenever there is a change in instrument status/data You can check if there are any approvals pending from your side for the instruments you are tagged to when you click on “View List” under Instrument Management. You can also view the changes initiated by you but are still pending approval when you click on “View List” under Instrument Management. Version 1.1 Private & Confidential
