“Property Owners and Facilities Managers can spend significant resources in establishing a commercial relationship for the delivery of services that will last for three to five years. There is usually an expectation that this relationship will continue as it starts throughout the period of the contract. But all too often things change and, before anyone realises it, the service delivery contract has diverged from that originally agreed, and no longer reflects requirements. In most cases this is to the benefit of the Contractor rather than the Property Owner or the Facilities Manager.” The new O3 Going Green programme sets out to change this.

Most property management companies in South Africa have a clause in their air con maintenance programme that the AHUs are to be chemically cleaned once per year, and rinsed with water three times per year thereafter. But water DOESN’T CLEAN - It merely rinses. If water cleaned, then we wouldn’t need soap in our shower or bath. Would we? Furthermore few companies can monitor whether the programme is carried out as prescribed. More importantly, they have no way of measuring the effectiveness of the programme either.

We tested the new O3 Going Green programme in a large shopping mall over a period of 12 months. There are 50 AHUs in the air con system The technicians used a Smartphone to record the “Before” and “After” air flow readings. The contract stated the coils were to be cleaned once per annum with a 1:1 dilution of O3 chemicals, and three times per annum with a 1:15 dilution of O3 – which meant each coil was cleaned 4 times per annum making 200 cleans in all.

Every time the technicians punched an air flow reading into their Smartphones, it was recorded in the new O3 programme. At the end of 12 months we analysed the results: Instead of 200 cleans, the technicians had completed only 82. The readings were converted into a graph, which clearly showed what had happened during the year

There are 41 AHUs. The programme for 2016 started in January, and was due to run to December The contract called for 1 clean per annum using a 1:1 dilution of O3 chemicals, and 3 cleans per annum using a 1:15 dilution To help the contractor, each clean was scheduled over a three month period. .

The three cleans using a 1:15 dilution would each require 4 x 5 litre bottles of O3 chemicals concentrate A total of 37 x 5 litre bottles for the year When we checked with our distributor supplying the contractor, we found: He bought 1 x 5 litres in January 1 x 5 litres in May 2 x 5 litre bottles in September. But he returned the 2 x 5 litre bottles in October. In all he used only two bottles of O3 chemicals concentrate for the year! The Facilities Manager trusted the Contractor implicitly, and “left it up to him” Could this be happening to you?

SETTING UP THE NEW O3 GOING GREEN PROGRAMME The Contractor must identify the contract building Where the building is situated? (town and street address) From this information O3 will link: GPS co-ordinates to the site the site-Technicians - we need their names the site’s Facilities Management the site’s Owner / Landlord

He will also identify all the site’s AHUs, mid-walls, cassettes, consols, evaporators, and condensors by serial number, or any other acceptable form of identification. those units servicing restaurants, fast food outlets, bakeries, or any form of cooking. They will require O3 Alkaline Coil Cleaner instead of O3 Acidic Coil Cleaner From this information O3 will prepare QR tags for each unit in the air con system (excluding chillers)

Gathering the Information After the colour-coded QR tags have been attached, The Technician measures the Length x Height of every unit on site The information, which is linked to the tag, is recorded and sent to O3 Control, by Smartphone.

Establishing a Dataset O3 Control will capture the information, and establish a dataset. Every time the Technician services the unit, he will use his Smartphone to scan the QR tag to establish contact He will record all the “Before” and “After” air flow readings on his Smartphone.

Establishing a Budget All data relating to this identification process will link to: the units on site AHU measurements (length and height), including measurements for all the other units (mid-walls, consols etc) in the air con system From these, the new O3 Programme calculates the area of the AHU in m². to determine the quantity of O3 chemicals needed for cleaning.

O3 uses specially developed chemicals to clean mid-walls, cassettes, consols, under-ceiling units, condensors, and refrigeration units. O3 SmartAir and O3 SmartFinish will do the job quickly, efficiently, and cost-effectively – and they don’t need water. O3 SmartAir O3 SmartFinish

How clean? O3 advocates 1 deep clean every year using an O3 chemical dilution of 1:1, and three cleans using an O3 chemical dilution of 1:15. Water doesn’t clean. Chemicals clean Water is only ever used to rinse off the chemical. We must save this precious commodity

How Clean? -The Benefits The New O3 programme keeps the coils and fins in pristine condition for 12 months of the year It leaves a protective film, which extends the life of units O3 can prove it saves energy it also saves vast quantities of water. The new O3 programme records every detail of the various cleans

How Clean? The Clean Using the camera on his Smartphone, the technician points it at the QR tag . He will automatically be linked to the O3 Web-site GOING GREEN Programme: it will Identify the building where the coil is situated It will Identify the coil in the Programme He records the appearance of the coil by taking a picture on the Smartphone. The picture is timed and dated, which will be proof that a clean is about to take place

He takes the “Before” air flow readings with his anemometer, and records them on his Smartphone. 2 . The readings are automatically sent to O3 Control

The air flow readings are taken in the following manner: Start near, but not in the corner top left. Obviously there would be fewer readings on smaller coils

He then applies the O3 chemical

Uses his Smartphone camera to capture the amount of dirt coming off the coil. Mere words cannot describe the amount of contamination the O3 chemicals will remove. Pictures will The pictures are timed and dated, and are a record of the clean. They also allow us to see whether a chemical is being used

Every picture tells a story This was a case where the panels in the coil were offset, making it difficult to clean to the core of the coil. The only way to clean the coil was from the top using a 1:1 dilution The contaminants came pouring out Contaminants draining into the pan. The pan overflowed What words can describe this result.? Only pictures show what a good job the technician had achieved with O3

O3 Acidic Coil Cleaner or O3 Alkaline Coil Cleaner Is applied No matter how often a condenser is cleaned with water, it will never be as clean as when O3 Acidic Coil Cleaner or O3 Alkaline Coil Cleaner Is applied Spray 300 ml of O3 Chemicals in a 1:5 dilution’ Leave on for 5 minutes Then rinse down with no more than 4 litres of water. The unit will be clean The O3 also leaves a protective coating to prevent rust And extend the life of the unit The cost is less than R4 per unit Words can’t explain the difference Pictures can

After the rinse-down, the technician takes pics of the coil on his Smartphone Before Because the pictures are timed and dated we will have proof that the clean was done. There is no better way for a Contractor to show the Facilities Manager, and the Owner, how well the clean was done

How Effective? 24 hours later, the technician records the “After” airflow readings, and sends them to O3 control Obviously there would be fewer readings on smaller coils

The programme records all the data onto a spreadsheet. The data is also transposed onto a coil image. This enables the contractor , or Facilities Manager( wherever they may be) to “see” the results of the clean on the coil. The top figure is the “Before” reading and the lower is the “After” reading In this case, where there has been no improvement, we would ask the technician to re-clean that area. It’s just another check O3 builds into the programme to ensure maximum benefit from the coil clean

The next slide shows the “Before” and “After” air flow readings taken at another mall. We use colour-coding to differentiate the results achieved Red is for improvements in air flow of more than 40% , The higher the improvement the dirtier the coil to begin with Yellow is for improvements between 20%-40% Green is for less than 20%. It indicates that the coil was in a reasonably good, clean condition at the start of the clean, The target improvement is less than 10%. It shows the coil is in pristine condition

We realise of course that the Facilities Manager and the Contractor do not have time to trawl through hundreds of readings. They don’t have to! That’s our job. O3 Control analyses all the data, and prepares a report, which is submitted to the Facilities Manager and the Contractor The report will highlight any problem areas, which need attention. It will also compare readings after each clean It will show by easy-to-read graphs the progress of the O3 programme month by month.

How Much? It is essential that a Contractor should know in advance what the cost of chemicals will be for a contract. O3’s programme does this for him, including detailing the cost of the different types of chemicals needed for the job. O3 creates an estimate of chemicals required by chemical type (either Acidic or Alkaline coil cleaner) for each AHU, or O3 SmartAir and O3 SmartFinish for mid-walls, consols, cassettes, and hide-aways

From this O3 creates a total budget by chemical for the entire building O3 also creates a budget by chemical (Acidic Coil Cleaner or Alkaline Coil Cleaner) for each clean i.e. a 1:1 dilution once a year, and a 1:15 dilution three times per year. the budget automatically works out the number of bottles (concentrate) required to clean by type.

Helping the Contractor with his stock-holding Every time the Contractor orders chemicals for a particular contract, he, or his technician, will be required to submit a purchase order to our distributors, either Metraclark or TecsaReco, stipulating against which contract they are ordering. In this way our distributors and O3 keep a record, which will allow the Contractor to see what quantity of chemicals are being used on site against the established budget. It’s a check, which we think is essential.

O3 Helps the Contractor to plan ahead The 10-day Alert 10 days before any clean is due to take place: O3 will alert the contractor that a clean is imminent It will inform him whether it is a 1:1 clean or a 1:15 clean From the budgets O3 has prepared for him, he is advised what quantities of each of the chemicals will be required to do that particular clean. Metraclark or TecsaReco will follow up to ensure the stock is on hand It means tighter stock controls – and less stock-holding for the Contractor O3 leaves nothing to chance.
