Address by Chairperson Committee Responsibilities To promote the interests of all U3A members Plan what our U3A should do and what we want it to achieve To manage the budget and ensure enough funds are available for a varied and balanced choice of groups for all our members To make balanced and informed decisions re planning in the long, medium and short term

THE ROLE OF THE VOLUNTEER CO-ORDINATOR (1) To develop a participation and volunteer culture across all membership by encouraging new and existing members to become actively involved in their U3A by: Meeting and greeting members at monthly meetings Organising one-off events Organising study days and other activities

THE ROLE OF THE VOLUNTEER CO-ORDINATOR (2) To develop a participation and volunteer culture across all membership by encouraging new and existing members to become actively involved in their U3A by:  Ad hoc involvement as the need arises Maintain a database of volunteers Encourage and motivate volunteers to maintain their continued support

28TH March Event - Keeping Your U3A Vibrant AIMS AND OBJECTIVES   To promote the self-help ethos of the U3A. To promote and encourage active participation in Our U3A. To continue to develop a great experience for all U3A members. To develop an understanding of the essential work of the Committee and the role of its Trustees.

28TH March Event - Keeping Your U3A Vibrant Invitations plus questionnaires were sent to 40 new members plus 160 established members. 23 of the 160 accepted the invitation. (Only 13 signed the register on the day of the event.) An additional 5 members attended after the event was advertised and the invitations extended to all membership at the monthly meeting. 18 members attended the event. 83 completed and returned the questionnaires.

28TH March Event - Keeping Your U3A Vibrant     83 completed and returned the questionnaires. Of the 83 members who returned questionnaires, 13 indicated that they would be willing to volunteer. The returned questionnaires indicated that members were pleased with their U3A and believed it to be a vibrant organisation.

28TH March Event - Keeping Your U3A Vibrant REASONS GIVEN FOR NOT VOLUNTEERING Family commitments. Other volunteering commitments. Ill Health. Age related issues. Still in employment.

28TH March Event - Keeping Your U3A Vibrant We asked:- How do we keep our U3A Vibrant? What can I do to help meet the challenge? Where do we go from here? Delegates discussed:- Full Groups New Groups Group Leaders Committee Roles Monthly Meeting Stokesley Library

28TH March Event - Keeping Your U3A Vibrant     WAS THE EVENT SUCCESSFUL? Increased our volunteer base from 10 to 29. Identified a possible new committee member. Possible 5 new groups.

28TH March Event - Keeping Your U3A Vibrant   WHAT DID WE LEARN? We are not going to create a volunteer culture overnight. The reasons why people don’t volunteer. When hosting this type of event the Committee should focus on new members in order to harness their initial enthusiasm.

Communication within the U3A Aims To inform and encourage members To ‘market’ our Group/s

Communication within the U3A How The Website The Newsletter Within the groups A new magazine?

Communication within the U3A Thoughts for discussion How do we encourage use of the website? Do we need a newsletter or just a link to the web site. Do we need a more vibrant Newsletter/ Magazine What do we do about the 80 odd members without email/computer?

Group Co-ordinator Notes Every 2 months I send out requests to all group leaders for any information to changes to the upcoming monthly meeting schedules. Thanks to those who do respond It takes quite a bit of time and effort to organise the replies and generate custom monthly diaries – and I am not sure these diaries are viewed.

Group Co-ordinator Notes In future only the standard diary will be included on the website. If you wish to highlight any changes then please include these on your group webpage. If you do not have a webpage, please let me know and I will create one for you and update it if you wish

Globe Library The Stokesley Globe Library will be formally opened by authoress Philippa Gregory on the afternoon of Thursday 15 June The organisers would like to show some library memorabilia in a locked display case within the library. Could group leaders help put out a message to U3A members asking if anyone has photographs or other items relating to the library in its present or earlier locations Anything provided would be taken good care of and returned to the lender within a week after the open day There is a similar message on the website with a link to Peter Chandler
