Reviewing online claims for OCR Nationals A step-by-step guide for assessors

Introduction This guidance explains how to process online claims for OCR Nationals using our secure extranet, Interchange (https://interchange.ocr.org.uk). For getting started with Interchange, see our quick start guide at www.ocr.org.uk/interchange.

1 Receiving a claim You will receive an email informing you that one of your allocated centres has submitted a claim. The email provides you with the centre number and qualification details to allow you to identify the claim.

2 Sampling: locating the claim Log in to Interchange, hover over ‘Assessors’ in the left-hand menu and click on ‘Request a sample’. You will see a list of your allocated centres. Select the appropriate centre and click on ‘Ok’.

3 Sampling: choosing the qualification Choose from qualifications listed for that centre. You will see a list of the claims submitted for that qualification. To view the claim, click on ‘select’. Claims are listed by submission date – oldest first. The date and time of the email will help you identify the claim. Please be aware that the centre may submit more than one claim.

4 Sampling: selecting the sample Select candidates for sampling. Following the sampling guidance in your VM handbook, select candidate(s) to be included in the sample. Check the box in the unit column for the candidate you have chosen. Once all candidates/units have been selected, click ‘Save’ to save your claim, then click ‘Submit to centre’. Unit columns You can filter the claim shown by units, centre assessor and centre grade to help you make your selection. Please note if you use this method, you must click ‘Save’ after making any amendments before changing to show another unit, assessor or grade.

5 The moderation visit Carry out your moderation visit as set out in the Instructions for Visiting Moderators for OCR Nationals.

6 Creating the visiting moderator report Once you have completed the moderation, you must complete a visiting moderator report. This is a paper-based report that must be completed at the centre, after the moderation visit and signed by you and the centre contact. The white copy of the report must be left with the centre. Refer to the Instructions for Visiting Moderators for OCR Nationals for information on what to do with each copy of the form.

7 Reviewing: starting the review Once you have completed the moderation: If you are happy with the whole claim, follow the process explained in step 10a. In the event that you are unhappy with the whole claim, follow the instructions in step 10b and, if you suspect malpractice, see step 11. If, however, you are unhappy with part of the claim and wish to withdraw or amend a unit or grade, you should follow the instructions in step 10c, step 10d or step 10e. IMPORTANT: You cannot review a claim in stages – the whole claim must be reviewed in one sitting. If you allow your Interchange session to time out before submitting the claim, you will lose any changes you have made. If you are unhappy with part of the claim, you can amend the grade or withdraw a unit. You cannot withdraw individual candidates.

8 Reviewing: locating the claim Log in to Interchange, hover over ‘Assessors’ in the left-hand menu and click on ‘Review claim’. You will see a list of your allocated centres. Select the appropriate centre and click on ‘OK’.

9 Reviewing: choosing the qualification Choose from qualifications listed for that centre. You will see a list of the claims submitted for that qualification. To view the claim, click on ‘select’. Claims are listed by submission date – oldest first. The date and time of the email will help you identify the claim. Please be aware that the centre may submit more than one claim.

10a Reviewing: if you are happy with the whole claim If you agree with all the decisions of all the centre assessor(s) in the claim, click on ‘Confirm all centre claims’. This will confirm the whole claim in one action. All units will show as ‘Reviewed’. Next, confirm that there are no issues with the claim by selecting ‘No’ next to ‘OCR Review of centre required’, then click on ‘Submit to OCR’ and the claim will be processed. Click ‘confirm all centre grades’ if you wish to confirm the original centre claim without change IMPORTANT: The claim can’t be submitted to OCR until you see the yellow ‘Reviewed’ message for each unit. If you select ‘Yes’ in error, no certificates will be produced. Only select ‘Yes’ if you suspect malpractice (see step 11).

10b: Reviewing: if you are unhappy with the whole claim If you disagree with all the decisions of all the centre assessor(s) in the claim, click on ‘Withdraw all centre claims’. This will withdraw the whole claim in one action. Select ‘No’ next to ‘OCR Review of centre required’ (unless you suspect malpractice – see step 11) and click on ‘Confirm withdrawal’. NB: This option is usually used on the rare occasions that there has been a complete misunderstanding by every centre assessor of the criteria for the qualification. Click to withdraw the whole claim. Do not click on ‘Confirm all centre claims’ – this will confirm the centre assessor’s decisions as if you have not made any changes.

10c: Reviewing: amending a unit To confirm or withdraw a particular unit in the claim, navigate to the unit you wish to review and tick either the ‘Confirm all’ or ‘Withdraw all’ box, then click ‘Update’. This will confirm/withdraw every grade for this unit for all centre assessors. Tick the ‘Confirm all’ box to confirm all the centre assessor(s) grade(s) for this unit if you agree with every grade in this unit. If you make changes within a claim you must confirm all remaining units individually, remembering to click ‘Update’ for every unit as you go along. Tick the ‘Withdraw all’ box to remove all the centre assessor(s) grade(s) for this unit if you disagree with every grade in this unit. IMPORTANT: ticking a box under any of the assessors’ names will affect all grades for all assessors. Click on the arrow next to a unit title to expand and view details of the claim for that unit.

10d: Reviewing: amending a grade If you disagree with the decision of a particular centre assessor for one or more units, you can amend the centre assessor’s grade(s). Navigate to the unit you would like to amend, click the radio button in the Pass, Merit or Distinction column you wish to amend and click ‘Update’ to confirm the change. You can change all candidate unit grades up or down from here. Do not tick ‘Confirm all’ or click ‘Confirm all centre claims’ – this will confirm the centre assessors’ decisions as if you have not made any changes. Do not tick ‘Withdraw all’ or click ‘Withdraw all centre claims’ – this will remove all grades. If you make changes within a claim you must confirm all remaining units individually, remembering to click ‘Update’ for every unit as you go along. Click on the arrow next to a unit title to expand and view details of the claim for that unit.

10e: Reviewing: withdrawing a grade from the claim If you disagree with the decision of a particular centre assessor, you can withdraw a specific grade. Navigate to the unit you would like to amend, then tick the ‘Withdraw claim’ box for the grade you would like to withdraw. This will withdraw this specific grade for this unit only for this centre assessor. Click on ‘Update’ to save the changes. Click on the arrow next to a unit title to expand and view details of the claim for that unit. Do not tick ‘Confirm all’ or click ‘Confirm all centre claims’ – this will confirm the centre assessors’ decisions as if you have not made any changes. Do not tick ‘Withdraw all’ or click ‘Withdraw all centre claims’ – this will remove all grades.

11 Reviewing: malpractice If you suspect malpractice, review the claim as normal, following the relevant steps from step 7 to step 10e. You can confirm withdraw, or amend grades for all units. Before submitting the claim, select ‘Yes’ from the ‘OCR Review of centre required’ drop down menu and click ‘Submit to OCR’. This stops the claim going through and you should follow the normal malpractice procedures. Further information about malpractice can be found in the Instructions for Visiting Moderators for OCR Nationals. IMPORTANT: Select ‘Yes’ from the dropdown menu before clicking on ‘Submit to OCR’

12 Viewing the details of a claim You can view the details of a claim and check its status by hovering over ‘Assessors’ in the left-hand menu and clicking on ‘View claim history’. Select the relevant claim from the list and click ‘View’. Any withdrawn candidates/units will be indicated by ‘X’ (except where the whole claim has been withdrawn, in which case ‘X’ will not be displayed). Green ticks indicate candidates and units selected for sampling. Bold grades are those that will be certificated, grades in brackets are those originally claimed by the centre The centre assessor’s initials will appear underneath each grade.
