Using Microsoft Word to Create APA Style Headers & Page Numbers By Barbara J. Hampton, J.D., M.L.S., Reference Librarian Ryan Matura Library, Sacred Heart University

Refer to Sec. 8.03, Publication Manual of the American Psychological Association, 6th ed., for rules for specific items in your paper: Order of manuscript pages Typeface Margins Line spacing Indentation Page numbers & running heads See sample paper, Figure 2.1 NOTE: These screen shots illustrate MS Word 2013 [PC]; similar tools can be found on earlier versions and Mac versions

1. On first page, click on the "Insert" tab at the top of the Word program, then choose the Header tool.

2. Choose the "Blank" style from the drop-down menu.

3. In Design tab, check the box labeled "Different First Page.”

4. On first page, in header area enter first page header with label “Running Head: SHORT TITLE”

5(a). On first page, with the cursor at the end of the Header text, click on “Insert Alignment Tab” tool in Design tab

5(b). In pop-up Alignment Tab box, select Right alignment, then click OK; insertion point/cursor moves to right margin

6. Click “Quick Parts” tool in Design menu; then select “Field” option in drop-down menu

7. In Field pop-up, scroll down field names to Page and select. 8 7. In Field pop-up, scroll down field names to Page and select. 8. In center column Field Properties box, select 1, 2, 3, option, click OK

10. Repeat process on second page 10. Repeat process on second page. Click in header area above line; if line is not visible, double-click in space at top of page to activate header space.

11. Enter SHORT TITLE at left; insert right alignment tab; use Quick Parts tool to create page numbers (will automatically start at “2”).

The procedures shown in this slide set are recommended as efficient and easily navigable. If your results are not as you are expecting, review the steps above and try again. Consult a reference librarian for additional assistance. There are other tools and sequences that also create the required headers and page numbers.
