Welcome to the Name Badge Assembly & Check-In Webinar July 19th

Name badges

Name badge assembly Name badges and Lanyards will ship separately from all other guests materials in a box marked with a pink label titled, ‘Summit Name Badges’ Assembly will consist of attaching the lanyards to the name badges Name Badges and Lanyards should be kept in a secure location until Thursday morning

Guest & express check in Guests WRITE their name with permanent marker Laminated schedule on back Bill Hybels

Download the qr reader app “QR Check-In” for Apple and Android Find it in the App or Google Play store It’s a mobile phone App (so it will look different on iPad/tablet) On iPad, must search iPhone only App Store Google Play Store

Once the app is installed… ANDROID APPLE kindness Main Screen Settings Settings  http://ticket.willowcreek.com/lss Security Code must be ON App password: kindness

Allow app’s access If you used the APP last year then you will see a link in the text box which can remain the same If you are a first time user, add the THIS EXACT LINK http://ticket.willowcreek.com/lss Turn ON ‘Security code to append to URL’ or ‘Enter Security Code’, and click on the text box. Enter kindness

SCANNING TICKETS Once the settings are confirmed, the QR code can be scanned from the ticket to check in the registrant.

SCANNING EMPTY REGISTRAIONS If ticket is an empty registration, it will say “EMPTRY REGISTRION” where the name would be. If empty, scan as usual and have the guest fill in their information on the bottom portion of the ticket and turn it in. The check-in volunteer keeps the edited ticket to be returned to WCA

Testing tickets http://ticket.willowcreek.com/LinkGenerator.aspx Enter a 7-digit registration number from your registration report on Summit Central in the ticket generator Hit Generate Link – ticket link will appear on the same page Click on ticket link to see a ticket

Tickets for express check-in

Express check-in options All guests will have received their tickets by email 1st week of August Guests arrive with their printed ticket Use Mobile device at door Only collect tickets with edits Option 1 Collect all tickets at the door Scan the QR codes during 1st session Save tickets only if edited Option 2 Sort them by number or last name Check them in by hand on Summit Central Option 3

Express check-in situations Check them in with QR Check-In App or collect ticket Arrives w/ticket Check them in with QR Check-In App or collect tickets Save corrected portion of ticket to return to WCA Arrives w/ticket – empty registration Send to Guest Check-In/Registration Solutions No ticket, but has pre-registered

Printed tickets

Tickets for express check-in; empty registrations If a guests arrives with a ticket that says, “PLEASE ADD NAME”, they’ll need to fill out the form on the bottom of the ticket Empty Registration Ticket

Guest Check-In Setup 300 or less registrations 300 or more registrations *Consider combining your Guest Check-In with your Registration Solutions table *Have a separate Guest Check-In area *Base your number off common queue lines on your final registration count – 4-8 lines *More details related to table set-up and how to check guests in w/o tickets will be covered in the Registration Solutions Webinar *Each Guest Check-In station will need a roster or computer for checking in guests

Guests who arrive w/o a printed ticket If a guests has already registered but forgot their ticket, Express Check-In volunteers should direct these guests to Guest Check-In Tables Guest Check-In tables should use printed rosters from Summit Central (Available on the Guest Check-In Page) Common queue lines- no need for Alpha signage

Registration solutions Guests arrives w/o a printed ticket and are filling an empty registration or are taking another’s place and does not have the printed ticket… Direct them to Registration Solutions! Details of handling this type of registration issue will be covered in the Registration Solutions webinar

Completing guest check-in Set up markers on tables nearby to allow guests to hand write their own names as shown. Guest writes their own name here with permanent marker Bill Hybels

Recording attendance

OPTION 1 OPTION 2 OPTION 3 Recording no shows No shows will automatically be recorded trough the check-in app Use mobile device at door Collect bottom half of tickets only when they have edits OPTION 1 Collect all tickets at the door Scan the QR codes during 1st session Save tickets only if edited OPTION 2 Sort them by number or last name Check them in by hand on Summit Central OPTION 3 No shows will automatically be recorded through the check-in app EM must go to SC and check the attendance box for each guest – unchecked guests are NO SHOWS
