How can Spreadsheets help? Converts data from an outside source and creates usable import data file One time setup so that the spreadsheet can be used multiple times Redundant information is entered in one place Quickly converts formats that are different from our format
Spreadsheet Setup Input is the file you are obtaining from an outside source Setup is where you create information that is not in the Input file that is needed for the Import file File Out is where everything is collected to export to your import file
Reviewing Cash Receipts We will take a quick look at an existing template that we have created Describe in more detail how the Excel document was created Describe the 3 tabs and what was done to make them work This process can be used on several other documents that need to be converted to one of the many import formats
Cash Receipt Import Program: FCIMP01S.FMX Import Cash Receipt file to Excel Create Set Up tab Mark out ‘required’ Columns Create Receipt Layout for CR3 Create formula’s to pull from File In and Setup Copy formulas for each every line in the receipt file. Export Layout to CSV/TXT file

Cash Receipt –In Import or past the Cash Receipt in to the File In tab Make any modifications to the receipt that is needed. Create a column for Line Number for each line of the receipt

Cash Receipt –Setup When creating the Setup tab Create a column with all import fields Highlight Required fields Enter Data in column B Enter in static information that will be used on each line of the import Link to static data on the File In tab (ex Address) that will be used on each line

Cash Receipt – File Out Line 1 is your Header. Line 2 you enter in formulas to look at the file in and setup tabs File Type: =IF('File In'!A9>" ","CR3"," ") This reads as IF there is data on the File In tab, Column A9 then our File Type will be CR3 This will be the base for all Columns of the spreadsheet Make sure every ‘required’ column has a formula File – Save As to create your CSV document
