X4 D’s of Email Processing: Theory Do It After reading the email, take any action require and then either delete the message or file the message in a subfolder Delete It After reading the email, if you do not need to retain a copy of the email, delete it. Delegate it If the email requires action that another person will need to handle, delegate the action item. Forward this message or convert to a task! Delete or file away! Defer it If the email requires action that you will be responsible for, but the action cannot be completed within 2-5 mins, either Flag the email for follow up and then file away or convert to Task (or Calendar item).
