Program Management Jeff Coggin – Executive Director of the Illinois Indians Board The Indians are a 501C3 non-profit which is managed by its Board. Board is responsible for administrative management PlayBall USA is a supplier of baseball services to the Illinois Indians. Indians Board of Directors made up of parent volunteers

Why Play for the Indians? Partnership with PlayBall USA All players receive PlayBall USA membership including unlimited access to all facility assets Program starts in November with optional training sessions Multiple training sessions each week Training time devoted to baseball skills plus strength and conditioning Team practices start in January Once a week in January/February (8 weeks) Twice week in March (5 weeks) leading to season opening 18 total team practices PlayBall USA Head Coach assigned to each team Head Coach responsible for all baseball operations Supplemental training opportunities through PlayBall USA Individual training lessons Strength and conditioning programs

PlayBall USA New Facility 2.9 miles from current location 25,000 square ft. facility (compared to 9,500 currently) Space for infield, long toss, 60 yard sprint

Head Coach Position College level players Transition from playing to coaching Coaches interviewed and selected during off season Coaches start with team in January Training sessions in November/December will allow opportunity for on the job coach training and development Observation of coach in training sessions will aid in placement with right team/age level The head coach is responsible for ALL on-field baseball related decisions for the team. He will also run the team practices and implement Play Ball USA training methods.

Team General Managers Team Management/Administrative Positions Team GMs – Parents or other volunteers who manage the administration for each team. Head Coach – Paid professional coach, specific to each team, who is responsible for all baseball decisions. Why the separation of duties? Communication and administration is most efficient at the team level Baseball coaches focus on player development and team success, not administration Team GMs focus on administrative and communication needs. Team GMs may structure team administration as they see best, but will stay away from baseball decisions and influence.

Team GMs Responsibilities These functions may be best served by dividing the responsibilities amongst a group of people Schedule – Establish and maintain the team schedule Web site schedule/maps Frequent communication with team regarding schedule (tournaments, rain outs, etc) Attend league meetings Home field availability and umpire scheduling Reschedule games as needed Scorekeeping Manage team home page Uniforms and spirit wear – Manage uniform process from initial order through payment and delivery. Assist with field preparation as needed Attend periodic training meetings and Indians Board meetings

Team GM Selection Team GMs and Assistants selected during team formation process Selection process will include interviews with program management Let us know as soon as possible if you are interested in one these positions Email board@illinoisindiansbaseball.com Team GMs best attributes: Previous experience in managing youth sports teams Stable employment situation with a flexible schedule Experienced communicator, organizer, leader and manager References from past experience or bring players to Indians program

Year Timeline August / September October November / December Tryouts completed, roster invitations ongoing $350 payment confirms roster spot Complete all necessary forms Team GMs interviewed and selected Fallball programs available through the PlayBall USA October Team meetings Initial uniform and spirit wear orders made Golf outing with proceeds towards new PlayBall USA Grand Opening November / December Training sessions start Training sessions led by professional coaches Multiple sessions each week, holiday breaks

Year Timeline January / February March April - July Teams practice once per week Second and final uniform and spirit wear orders made March Teams practice twice per week Initial season schedule published April - July League and tournament play begins, 40-45 games total Practices scheduled between gaps in games No Summer Vacations, mandatory participation in all Indians activities Out of town tournaments Season ends by July 29, 2012

Uniforms and Equipment Uniform and equipment costs are in addition to Indians player fees Budget $300 to $400 for required uniforms and equipment Indians players are required to: Wear complete team uniforms and use required equipment PlayBall USA discounts Returning players can use previous year uniforms/equipment

Financial Information Player fees $1,850 cash discount price $350 initial payment to secure roster spot Remaining amount split in to equal monthly payments over 8 months starting October 1 and ending on May 1 Each player required to sell one $150 sponsorship by February 1 Details are on payment contract There are no refunds of any kind for any reason

Financial Information Where the money goes: 30% Coaches (Head Coach, Assistant Coach, Off Season coaching) 20% Tournament and league entry fees 35% PlayBall USA membership and facility rental (clinics and practices) 5% Umpires and field rentals 10% Administrative expenses

Financial Information Items not covered in Indians player fees: All uniform items and baseball equipment Personal training lessons – purchased separately from PlayBall USA Tournament gate fees – charged either to the team or individually Entry fees for special tournaments. Our 12u team may go to Cooperstown Dreams Park which will cost approximately $1,000 per player for the entry fee. The entry fee includes player/coach room and board for the duration of the tournament. This fee does not include travel expenses associated with getting to Cooperstown or any travel expenses of the parents who stay in Cooperstown during the tournament. Travel expenses for out of town tournaments. Each team should make at least one out of town trip requiring a hotel stay. During these out of town tournaments, the parents of each team are expected to purchase a hotel room for the coach and share the expense equally.
