Academic Policy Hot Topics New Administrators Orientation: August 4, 2016

Types of Policies University of North Carolina General Administration Policy: The Code/Policy Manual Responsible: UNC General Administration University Policy Responsible: Office of Legal Affairs Policies most often originate via UNC General Administration, state or federal legislation, or other administrative action Academic Policy Responsible: Faculty Council and/or Office of Academic Affairs Policies most often originate via UNC Charlotte faculty and administration http://provost.uncc.edu/policies There are three types of policies Each policy has a ‘responsible party’ The responsible party manages the policy including review, updates, and implementation Each type of policy may originate from different sources Academic policies go through review every five years; the review schedule is found online at the Academic Policies and Procedures website

Recent Policy/Procedure Changes Withdrawals (Undergraduates) “Undergraduate students may receive a grade of W for no more than 16 credit hours over their academic careers.” Readmission of Former Students Includes single Forgiveness Policy (replaces former Two-Year Rule and Associates Degree Rule) Student Complaint Resolution Log Units that receive complaints from currently enrolled students related to the mission must log the complaint and its resolution Submission of Final Grades Faculty Council: “Support the Provost in directing Department Chairs to include chronic failure to turn in course grades or chronic lateness in grade reporting in faculty annual evaluations.” Late grades: Whereas, individual faculty who chronically do not submit grade reports or who chronically submit late grades have negative, often dramatic effects on students, such as: • Student graduation from the University may be delayed; • Suspension/Probation determinations are delayed or processed incorrectly; • Student course registrations may be dropped based on incorrect data; • Students may be excluded erroneously from Dean’s and Chancellor’s lists; • Inaccurate Satisfactory Academic Progress (SAP) is calculated, which impacts students’ eligibility for Financial Aid in subsequent semesters; • Unnecessary delays occur in processing Official Transcripts for students; • Access to student housing may be suspended; and • An efficient, automated process (with on time grade reporting) may become a time consuming manual process FORGIVENESS POLICY Undergraduate students who have a break in enrollment from UNC Charlotte for a minimum period of 24 consecutive months or undergraduate students who have a break in enrollment from UNC Charlotte for a minimum of one regular semester and earn an Associate of Arts (AA), an Associate of Science (AS), or an Associate of Fine Arts (AFA) degree are eligible for readmission with forgiveness.  Students may be readmitted one time only under this policy.

Recent Policy/Procedure Changes, cont. Academic Standing (formerly Academic Probation and Suspension) Good Academic Standing: 1) cumulative GPA of 2.0 AND 2) cumulative ratio of earned to attempted credit hours of 2/3 Good Academic Standing Warning (do not meet 2/3 ratio) Registration Add/drop period shortened to 8 calendar days Tenured Faculty Performance Review Requires a five-year plan and set of goals with related milestones

Recent Policy/Procedure Changes, cont. Guest Access Portal (GAP) Provides access to FERPA-protected student education records Allows students to choose: to whom access is provided what information can be seen how long the access will last Students create guest accounts and assign view only access to specific pieces of information Final grades Midterm grades Registration status and holds Financial aid awards Unofficial transcripts Payments/account summary Student information Student schedule Does not allow access to student counseling, health or conduct records Students create a passphrase for guests who wish to speak with the University

What to Watch For: Upcoming Policy/Procedure Changes Course and Curriculum Management: Acalog/Curriculog Electronic academic program and course approval system for creating, modifying, and accessing degree programs, courses, and catalog information Curriculog is the only process for course/curriculum changes Special Faculty Appointments Outlines minimum procedural and eligibility requirements for appointment and promotion of faculty in special faculty appointments Course Numbering and Cross Listing To require enforcement at the department/college level Department/School: Establishment, Name Change or Relocation Outlines minimum guidelines
