CallSprout Communicator Guide

Voice Conference: Opens the Voice Conference Module. Group Chat: Opens the Group Chat module. Envelope: Opens the Voicemail module where you can listen to an audio clip of a voice message. This icon blinks if you have any new voice messages. Megaphone: Opens the channels module. This module allows you to broadcast messages to entire departments. Fax: Offers a choice to send a new fax or view received faxes. Video: Opens a webcam preview window. Online Self Care: Allows you to change your password Park: Opens parked calls module. Directory: Shows all your Communicator contacts. Contacts: Shows all saved contacts and syncs with Microsoft Outlook Contacts Favorites: You can make a favorites list. Directory List Purple Star: That contact has been selected as one of your “favorites” (to select a contact as a favorite, right-click the contact and select “add to favorites”). Green Phone: That contact is “available” – at their desk and available for you to call or message. Red Phone: That contact is not available – away from their desk, on a call or otherwise unavailable.

Instant Message: To instant message someone just double click on their contact information and it will open a chat module. You can also send files that way. Please see video for example.

Chat Module Features Group Chat Module Emoticon Icon: Allows you to use Emojis File Icon: Allows you to share a file Bell Icon: Lets the other person know you need their attention Font Icon: Change font Color Palette Icon: Change font color Phone Icon: Call the person you are chatting with Video Icon: If you have a webcam, video calls the person you are chatting with Word Bubble Icon: Shows your chat history with the person you are chatting with Person Icon: Shows the directory module Tab Icon: Shows a different view of the chat module 10 9 1 8 2 3 7 4 6 5 Group Chat Module To begin a group chat, open the group chat module by clicking the “Group Chat” icon (please see #7 on slide 2) Drag and drop contacts into the Group Chat Module and click “start” Once you have clicked “start,” the chat module opens (please see diagram on far left)

Placing a call There are many ways to place a call using CallSprout Communicator: Dial the number with your keyboard. Click each number with your mouse to dial Drag and drop a contact as seen in the video to the left

Phone Module in Detail The phone module allows you to place audio or video (if you have a webcam) calls to your contacts, or dial any telephone number. Calls can be made using your desk IP phone or the built-in softphone (CallSprout Communicator). When you drag and drop a contact into the Phone Module it calls the recipient instantly and your phone will begin to ring on your desk. To finish initiating the call, pick up your desktop handset. When a phone number is entered in manually by either using your keyboard or clicking the numbers on the module, click on the “call” icon (located in the bottom, left of the module) to place the call. When a voicemail message is available, the “Voicemail” icon will flash. Click on the “Voicemail” icon to check, listen to and manage your voicemails. The “Paperclip” icon, in the upper right hand corner of the module, will attach the phone module to the main CallSprout Communicator window.

Call Transferring While on a call, click “Transfer” (as shown above). The above module will appear after selecting “transfer.” Either drag and drop the contact you would like to transfer the call to or enter the destination number with your keypad. Then select the type of transfer you would like. Blind Transfer: Transfers the number immediately Supervised Transfer: Allows you to speak to the recipient before transferring the call. For example: “Hi Delilah, I have Max on the other line and he’s looking for the TPS reports. I will transfer him to you now.”

Conference Call Module This module allows you to initiate conference calls with your contacts. Drag and drop contacts onto the conference module to begin a conference call. Click on the green “plus” icon to add a landline or mobile number manually to the conference. To remove a contact, click on the “x” next to their name. Select one of the available conference rooms from the drop-down menu. Click on the “conference” button to initiate the conference call. Click on the “close” button to end the conference call. Voicemail Module This module allows you to manage and listen to your voicemail messages. New voicemails will appear in the “new messages” tab. Listen to any messages by selecting them and pressing play or by double clicking the message. Select the Red X icon to delete a message. After a voicemail message has finished playing, a new window will pop up and ask whether you would like to delete the message, move it to the “old messages” tab, play the message again or call the contact that left the message.

Recent List The “Recent” List is a log of all recent calls (dialed, received and missed). Within the “Recent” list, tabs are used to display contacts you have recently dialed, received calls from and missed calls from. Double click any number to call it. To clear your history, click on the “X,” this will clear details of all dialed, received and missed calls.
