A guide to understanding Treasury Board

What is Treasury Board? Treasury Board is one of the branches of CUA Student Government Association (SGA). Treasury Board is made up of: Head Treasurer, this year is Maddy Quidzinski 8 voting board members Secretary Treasury Board and OCA’s relationship Megan Reilly, OCA Assistant Director and Advisor to Treasury Board

What does Treasury Board do? Allocate Student Activity Fee Money from the undergraduate student activity fee is provided by students paying their individual student activity at the beginning the year. Voting As a whole, Treasury Board votes to either allocate in full, partially fund, table the request, or not at all for each event.

How does Treasury Board work? The full board meets on a weekly basis, this year on Mondays at 8pm in Pryz 331. Typical Meeting: A club or organization presents to the board. Make sure to have hard copies (10) of your budget request, including quotes from vendors if possible. Have presentation accessible (Google Drive, email attachment, or thumbdrive are all acceptable) The Board has a detailed discussion The Board votes on the allocation The club or organization is made aware of the board’s decision via email within 24 hours.

See SORC.cua.edu for a detailed finance guide How to Access TB Funds Once your event/budget has been funded, you will see these funds go into your account on the Nest within 3 business days To spend money from your account, submit a Purchase Request on the Nest with details of the order What to include: Vendor Name and Address Total amount to spend Invoices or Website links for online orders Contracts for any performers/speakers to be paid See SORC.cua.edu for a detailed finance guide

Treasury Board Liaisons The eight (8) voting members of Treasury Board will serve as liaisons to various clubs and organizations. Each liaison will introduce themselves to their clubs/orgs at the beginning of the year by either email or in person, providing them with information. Although liaisons are no longer required to have office hours, they are more than willing to meet by appointment with their clubs or organizations to help them with presentations or forming requests.

Funding Requests Funding Requests: A club or organization can submit an unlimited amount of funding requests to the NEST anytime throughout the year. What can you request? Money for food for a meeting Funding for an event Honoraria and travel costs for a speaker/performer Travel funds for an trip, retreat, or conference Operating supplies for a club/organization What to include: Itemized list of all projected expenses List of all sources of revenue, including fundraised money Purpose and description of activity Contribution to the CUA community

Operating Budgets Operating Budgets An operating budget for a club or organization can be submitted throughout the year, but preferably at the beginning of the semester. What to include: Itemized list of regular expenses that are not associated with a specific purpose (e.g. office supplies, advertising for regular meeting, etc) Any additional explanations

Treasury Board Bylaws Treasury Board follows a set of bylaws that we expect all clubs and organizations to follow. Also included in the bylaws are the eligibilities for clubs and organizations as well as what you can and can not request for. Important Bylaw: Article 5, Section 1. An organization must fill out a funding request form on the NEST five (5) days prior to the next scheduled Treasury Board meeting.

How to put in a request Steps to submit a funding request: Log into the Nest Go to your organization's Finance tab At the top right corner there will be a button that says “Create a Funding Request” Follow the link and fill out the Funding request form carefully.

How to book a presentation slot Steps to booking a presentation time: Go to www.facebook.com/cuasga and select the “Treasury Appointment” tab. Choose the “Allocation Presentation” option. Select a day and time that is most convenient for your whole group. Follow the rest of the steps and conform your appointment.
