Primo - functional review call - Getting started with Primo 44NHSS LEONARD WRIGHT | TRAINING & IMPLEMENTATION CONSULTANT

Q1 Will we have access to our test Primo environment to do some user testing, user education Yes. In project plan the implementation server front end will be available to you 12th December However given the scope of this project and maybe the early delivery of Alma today this may be early. Back office you have access when you get the production and sandbox environments (31st Jan)

Q2 Can you show us how to embed the Primo search box on our host library website? Yes. The key is deciding the scope, view name New UI: https://knowledge.exlibrisgroup.com/Primo/Product_Documentation/New_Primo_Interface/New_UI_Customization_-_Best_Practices Old UI slightly different (have to use dlsearch syntax)

Q3 As we are providing access to the old Primo UI (for users of IE 10 and before) if someone accesses this version on IE11 or another browser can we set up a redirect to the new UI automatically? With the custom.js in new UI you could in theory do this. Cambridge are testing this – watch this space

Q4 Is the login ‘Guest’ link top right of the new Primo UI configurable, e.g. can we call it Login? Actually not out of the box!! All other labels are configurable using code tables. New UI ones have nui as part of their name. Cambridge have workaround to change the label.

Q5 How does Primo handle duplicate records for Alma resources, e.g. if we have a few records in Alma for a book or a journal? The best question and dedup is a topic not in the online training on its own but is in normalisation section but will be part of the workshop The short answer is if 2 works are decided by Primo to be deduplicates then 1 dedup record is created and delivery gives both. Basically for Alma match is on MMSID, then other identifiers to create candiates. Then matched on metadata like ISSN, long title etc. You can adjust this e.g to prevent dedup of certain resource types e.g maps See https://knowledge.exlibrisgroup.com/Primo/Product_Documentation/Technical_Guide/030Duplicate_Detection_Process

Q6 How does Primo display an item with lots of holdings on Alma, e.g. a popular book?

Q7 How does Primo display items where we might have several versions, e.g. a print and an electronic version of a book or journal? If they are deduped

Q7 - continued How does Primo display items where we might have several versions, e.g. a print and an electronic version of a book or journal? Alternative is have print and e as separate records (as long as they are separate in Alma) but you can FRBR them

Q8 What are all the different “Get it” options listed in the video for the article which is available in full text? Get it = Alma setup

Q9 Is the phrase ‘full text available’ in View It tab configurable? Yes

Q10 Is term ‘source’ in detailed display configurable? It is source of metadata, not of online item. For Primo central not configurable due to licensing For local records yes. Either writing constant value (e.g Library Catalogue) into normalisation or a code ($E44NHSS_ALMA) and translate using code table. Or you can choose not to use source field in local records.

Q11 What are the key differences to what a logged into Primo and non-logged in user will see? Primo Central all collections will be searched Personalisation will be complete e.g sign in to see request options won’t appear

Q12 “Expand My Results” is based on the collections we activate? Is this correct, i.e. it’s not all of the billion records in Primo? Correct. Clicking expand goes from showing results from gold area to include purple results Primo Central collection Science Direct Primo Central collection Science Direct full text subscriptions of Library

Q13 Can we choose to have the default display to users to include more than just full text? Does anyone else do this? Presume the majority of institutions display the full text with option to “Expand My Results”? Yes. The normal option is full text only and then expand collections. But can be other way around

Q14 Can an individual user set the Primo search to search everything (e.g. our own materials as well as Primo Central) while the default for the organisation is just to search for our own materials? They will need to change scope

Q15 Are there any key features of the old UI which have yet to be included in the new UI and what are the timescales for these? Is browse search available for example? Most key features are in new UI now. https://knowledge.exlibrisgroup.com/Primo/Product_Documentation/New_Primo_Interface/010Frequently_Asked_Questions Is updated with latest rollout plans. NB dates in this are not a commitment but a guideline

Q16 Can you summarise some of the main enhancements to the new UI? Do you mean compared with old UI? https://knowledge.exlibrisgroup.com/Primo/Product_Documentation/New_Primo_Interface/010Frequently_Asked_Questions

Q17 The Intro to Primo video states that Primo uses a “proprietary algorithm to determine how relevant each result is to the search term” can you say a bit more about how this works? Pending more information

Q18 Ranking by ‘popularity’ – how is popularity determined? Is it possible to suppress this option? https://knowledge.exlibrisgroup.com/Primo%2FKnowledge_Articles%2FHow_does_Popularity_sort_calculation_work%3F Yes - the view wizard brief display tile

Q19 Is the sort results feature configurable? Some is / some isn’t. Depends what you are wanting to change

Q20 Can you configure what facets you display and the order of facets in search results and can you rename facets? Yes, yes, yes! Configuration = creating values in the normalisation Order = views wizard Rename = code table

Q21 & 22 Is the choice of nodes to display in any facet configurable? How is it determined? Do all facets offer the option to include or exclude each node? If not, which do not?

Q23 Are all classifications available as facets? Can more than one classification appear as a facet? Can this facet be suppressed either for institution or by library or campus? Not out of the box. You would have to create separate local facets. These would only appear in criteria for their results appear. Facets are enabled per tab and per view

Q24 In search results how are Library holdings prioritised where the item is held in multiple libraries? If a patron is logged in does their local library appear first? All users belong to the same institution. I think there is ability to sort alphabetically

Q25 Will virtual browse offer different classifications e.g. same bib but held in libraries using different classification schemes? It works by the next number in the sequence rather than by scheme. tbc

Q26 Can you demo saving and managing results on the new UI? DEMO Also a lot covered here http://knowledge.exlibrisgroup.com/Primo/Product_Documentation/Highlights/030Primo_November_2016_Highlights#Export_to_RIS_Format

Q27 What options are available to offer for exporting saved citations? Is this configurable? Can options be added or suppressed? http://knowledge.exlibrisgroup.com/Primo/Product_Documentation/Highlights/030Primo_November_2016_Highlights#Export_to_RIS_Format

Q28 Presentation talks of IP recognition and off-campus access to e-resources. How much information about authentication requirements can be presented? How can it be configured? Would changes be instantly available or only after indexing? Is this information held in the Primo index and editable, or does it come from the weekly transfer of information from Alma? Off-campus Primo users are identified as that as their IP is not defined with Primo setup. The flag is sent to Primo Central. Also to Alma the IP of user is sent and Alma decides what to offer them in real time.

Q29 Display uses US terminology – is this configurable (e.g. checked out not on loan) Yes all labels can be changed. If you plan on a lot I can send you excel with all labels in

Q30 Is there a requirement for Ex Libris customers to share their data on Primo Central Index? Clarification from DB: I think what was meant here is do other Primo customers share any of their local resources and are these accessible by other customers?  No local resources are accessible by other customers unless they have signed agreements that their repositories go into Primo Central.

Q31 Can you change the name of the Primo Central scope? Yes all scopes can be determined by you and their labels Eg

Q32 Is there a way of indicating on Primo display which source collections in Primo Central use vendor URLs and which use holdings data and link resolver? No

Q33 When activating collections to make your own full-text available, the guidance states that you are unable to activate certain collections unless you have a subscription. If this was the only collection available how would you make your resource(s) available or does this rarely occur? Are these collections searchable when you “Expand My Results”? Subsciption can be required for delivery. You can activate these Subsciption can be required for search. You can activate these only if you subscribe Alternative coverage No unless you have activated that collection in Primo Central

Yes. The holdings file for Primo Central comes from Alma. Q34 If we identify any of our e-subscriptions that are not available when we activate collections can we catalogue these in Alma to make them available on Primo or are there any restrictions on this? Yes. The holdings file for Primo Central comes from Alma.

Q35 How are normalisation rules created initially and amended? From Alma marc template so delivery categories and availability, dedup etc are already configured (although you can add to them if you so wish) You will find more amending in training about normalisation rules

Q36 Will deadline for changes to holdings data in Alma for inclusion in weekly Primo indexing be known and stable? Export of holdings is an automated Alma job and you can see it from Alma. You can also run additional export. But Primo Central normally is picking up holdings files from Thursday morning

Q37 Are links to Amazon and WorldCat configurable or suppressable? At institution/campus/library level? Configurable and suppressable. At institution, data source level or view level. Common UK sites change is to move amazon.com to amazon.co.uk (a 30 second job)

Q38 The option to request digitisation – can we suppress this if we don’t want to offer this or can we configure this per Campus? Please ask Stephen

Q39 Can screen readers detect if an item in results has been selected? It should do. When you get the front end please test this and if you have issues open a salesforce case as accessibility is a core component in the design of the new UI

Q40 Is there a facility to help choose colours/get official coding when editing CSS? We generally recommend using web developer toolkit See New UI training See https://knowledge.exlibrisgroup.com/Primo/Product_Documentation/New_Primo_Interface/New_UI_Customization_-_Best_Practices https://docs.google.com/document/d/1z1D5II6rhRd2Q01Uqpb_1v6OEFv_OksujEZ-htNJ0rw/edit?usp=sharing

Q41 Are there plans to update the training videos for the new UI or can customers adapt current videos using Ex Libris content? When new UI is fully developed training will be updated

Any Questions?
