Pause for Cleanup: MarcEdit in Real Life Pam Swaidner Manager, Cataloging and Metadata Indianapolis Public Library Indiana Library Federation Conference November 10, 2016

This is not a workshop on all of the wonderful functionality of MarcEdit, but a practical look at how we use it at IndyPL The desired outcome of this talk is that you will feel empowered to use MarcEdit for everyday workflows without feeling like you have to be a programmer to use it!

Batch editing vendor records Shared System catalog migrations MarcEdit at IndyPL Batch editing vendor records Shared System catalog migrations Cataloging Special projects Database cleanup

Automated Task Lists Task automation is a way for non-programmers to created defined task lists that can be executed automatically If you need to perform the same edits over and over … automate! Anything you can do in the MarcEditor can be automated as a task

Task Creation Options Replace All Add New Field Delete Field Field Edit Edit Subfield Edit Indicator Swap Field Copy Field Add Task List RDA Helper Linked Data Build New Field

My Automated Task Lists Select the task you want to run and click on it.

Vendor Records at IndyPL Midwest Tapes (DVDs, Audiobooks) Baker & Taylor (High demand adult fiction) OverDrive hoopla OneClickDigital EBSCO Gale (GVRL, GDL) Follett (Shared System)

Baker & Taylor High Demand Titles

Everyday Cataloging Most of our material doesn’t come with packaged vendor records and still needs to be cataloged individually We were making the same edits over and over for our DVDs, so we looked at what we were doing and created a task list

IndyPL Steps for Cataloging DVDs Before Task Automation After Task Automation Find record in OCLC Assign call# Check for RDA fields and add if not present Add GMD if not present Delete subjects we don’t use and can’t automatically delete on import Add initials in 945 field Import to Horizon Find record in OCLC Assign call# Export to MarcEdit Run task list Import to Horizon

DVD Cleanup

In 2015, the Library changed its domain name Special Projects In 2015, the Library changed its domain name imcpl.org became indypl.org This affected some of our eResources OverDrive eBooks OverDrive eAudiobooks NetLibrary (EBSCO) eBooks

We Extracted the Records from the Catalog What we HAD to do What we ALSO did Replace imcpl.org with indypl.org in 856 field Reimport and overlay existing bibs with edited records Record type corrections in LDR Changed call# to new standard Deleted 33X fields Ran the RDA Helper to add the correct 33X fields And yes, we also changed the domain name

Task List for eAudio Cleanup

McFadden Lecturers at IndyPL The Marian McFadden Memorial Lecture is an annual author lecture series named after Marian McFadden, Director of Public Libraries from 1945-1956. We added the following subject heading to all bib records for each lecturer 650 \7$aMcFadden lecturer [date].$2local

Shared System Shared System members use the IndyPL catalog for their catalog and item records There are 49 member libraries, including 32 elementary schools, 3 middle schools, 12 high schools, and 2 museums, all sharing with 23 IndyPL locations Students and teachers borrow from their school libraries, IndyPL, and other schools. IndyPL patrons can use museum books on site, and borrow from school libraries

Shared System Catalog Migration If a new member has an existing automated catalog, their MARC records are migrated into the IndyPL catalog Records can come from different vendors Some are from Z39.50 sources They run the gamut from very good records to … not so good Regardless of what they look like we try to import the cleanest and best records possible

Typical Cleanup Before Catalog Migration Copy 440 to an 830 Replaced 440 with 490 Fix some pre-ISBD punctuation in older records Add RDA elements if they’re missing Replace incorrect indicators

Recent Catalog Migrations Lawrence Township Schools Beech Grove Public Library 15 schools 107,000 bib records 214,000 item records 49,000 bib records 51,000 item records
