HOW TO RUN EFFECTIVE MEETINGS Rhancha Trick Director of Business Development

Monthly Meetings

Types of Meetings Conference Calls Skype Google Hangouts In Home Meeting Hotel Restaurant Fitness Center What’s important??? Consistency!

T.R.I.M: Purpose of meetings Train, Recognize, Inform, Motivate! Reward your people Create Team Spirit Create a sense of belonging and encourage friendships Positively influence them

Choose a Meeting Focus A product component should always be on the agenda Finding new clients Sponsoring/Mentoring Bookings (1/1 appointments with clients or herbal hours) Sales skills Asking for Referrals

Monthly Meetings Be Consistent Schedule meetings at the same time every month (example every 1st Monday of the month at 7:00 p.m.) Offer a monthly meeting. Associates will expect and plan ahead. Pick a Location Try always holding your meetings at the same place. Confusion will be avoided. (Someone’s house, a restaurant…) Get everyone involved Delegate. There are many tasks in order to plan a meeting. Large and small make up a successful meeting. Delegating shows your Associates the confidence you have in them. Ex.: Have an associate teach on a different topic

W.I.T. Have a Whatever It Takes attitude about keeping all meetings POSITIVE Associates come to meetings to be inspired and leave feeling better than when they walked in Dynamite meetings FIRE up your team They are Fun They are Informative Fill them with Enthusiasm

What’s in it for you? Associates who attend meetings have a higher retention & success rate Associates feel supported and more connected to the company Associates will be energized and have increased loyalty after each meeting they attend Associates will hear and share success stories from others; proof of what’s possible

Nature’s Sunshine Meeting Planner Date, Time, Place 1- Welcome Everyone 2- Announcements/ Monthly Promotions 3 –Product Focus 4- Sharing the Business Opportunity 5- Recognition 6- Training Program 7- Business Basics 8- Ending the meeting with a positive quote/motivation 9- Reminder of the next meeting

Opportunity Event Hold an opportunity event before your meeting Give associates a challenge to bring at least 1-2 new people at each opportunity event and invite them to attend the monthly meeting

Recognition

Recognition A behaviour that gets rewarded gets repeated! Recognize EFFORT; Reward RESULTS What is the difference between Effort & Results? Sales Recognition (Ex.: highest increase in sales, increase in average order) Monthly Incentives (Who is on track for : I-Inspire, Rising Star, Conference, next level promotion, beat your personal monthly best, etc.) Best of the Best (Top 3 in your Organization, Leadership Development)

Recognition Ideas Personal goal achieved Associate with most consistency Signing up your Very First Associate Brought a guest to a herbal hour, meeting or event Most contacts made in the last week/month Highest sales New Manager Associates who sponsored others in the last month Most herbal hours in calendar month Who booked tradeshows?

What Should I Use for Prizes? Nature’s Sunshine Business Supplies Product Business basket Gift certificate (ex.: spa/restaurant/movies)

RECOGNITION IS LESS ABOUT THE MOMENTO THAN THE MOMENT!

Team Challenges & Tips

Team Challenges & Tips When you get your team together, you will have to handle challenges right then and there. Types of Situations & Tips: You experience difficulty starting a discussion: Ask a challenging question to the group and wait for answers Ask for their opinions The attention of your team begins to wander Change the topic of conversation Vary your tone of voice or clap your hands to draw attention When other individuals dominate the meeting Ask for their cooperation (politely or in private) Ask others for opinions or comments

Team Challenges Tips When associates will not talk Build their confidence by recognizing them on an achievement and ask them to share Assign tasks When discussion drifts to other topics or small groups begin speaking amongst themselves Summarize what’s been discussed, before moving onto the next topic Ask direct questions to the ones causing disturbance

Checklist

Pre-Meeting Checklist (regular meeting) This meeting checklist with a few simple meeting rules will help you have effective and efficient meetings. There are three stages around meetings: preparation, the actual meeting and follow-up. Neglecting the preparation and follow-up make the actual meeting a waste of time Secure the location Send out reminders / invitations Create an agenda Prepare sign-in sheets & nametags Prepare product or business supplies for draws Prepare samples of products to be tasted

www.fiverr.com - $6.95 for whatever you want Graphics & Design Digital Marketing Writing & Translation Video & Animation Music & Audio Programming & Tech Advertising Business Lifestyle Gifts Fun & Bizzare Other

Preparation Define a clear goal Select associates that will have a role at the meeting Decide on the form of the meeting (phone, skype, live…) Set the date, a start and end time Designate one person to take notes during the meeting. It’s ok to have a different person at each meeting taking on this task.

Ground Rules Ground rules create a productive environment where everyone can contribute in a meaningful way. No cell phones No side conversations Attendance means participation

Actual Meeting Start on time Repeat the goal of the meeting Follow the agenda and stay on time Stay focused At the end of the meeting: Summarize all decisions and tasks Remind them of the next meeting (date, time, location) End on time Take pictures of the meeting and post on your Facebook page

Follow-Up Distribute meeting notes as soon as possible after the meeting File your notes in a place where you can easily find them If associates left the meeting with tasks to do, follow-up and ask them if they have any questions and where they are at in the process

Even if you have 1 person on your team, have a meeting and run it like you have 10 people in the room. If you build it, they will come 
