PDS FACILITY SCHEDULER SCHEDULE LIKE A PRO MAY 31, 2017 1:40-2:50 P.M. HEATHER LEARN

INTRODUCTION Before we start setting up Schedules, there are a few things to set up before hand. Facility Features Charges Facilities Organizations Calendars Currently the recent version is 8.0G

FILE SETUP FOR CHARGES AND FEATURES You can add features to your facilities. Go to File>Setup>Facility Features. You can set up 18 different Features Charges are under File> Setup>Charge/Payments Once these are setup we are ready to define our Facilities

DEFINE FACILITIES AND ORGANIZATIONS Verify that you have all your Facilities and Organizations are in the program. After the Facilities and Organizations are ready, our next step is to schedule your events! We can Check Availability prior to scheduling any events to verify there would be no conflicts.

SCHEDULING WIZARD SECTION From this screen you have several options of how you would like to schedule your event(s). Simple Events are one time events, recurring is an event that happens more than once. Packages are for events like a Wedding Past history helps to use same events from last year(s) Online Registration allows others to go online and set up an event.

SIMPLE EVENTS WITH CONFLICTS When setting up a Simple Event, if there is a conflict, it will show in the color fuchsia under Event Dates (you can double click to load event details. If you choose to continue the scheduling process it will show seven options for how to schedule this new event. If there is no conflict you may continue to set up the event, facility, charges, and which calendar to show this on.

EVENT PACKAGES-SET UP AND SCHEDULING You will want to set up the Event package first. For example if you will host a Wedding you may need to set up the Interviews, Counseling, Rehearsals, etc. All of these can be set up through the package and scheduled through the Event package wizard. You will then be able to see the status of all the events for this package.

ONLINE EVENT REGISTRATION The Event Online Registration is a new wizard-with this process you can create an online form that parishioners can use. There are two options, Check and Register Events and Create Web Registration Form. The second option, Create Web Registration Form, creates an event registration form for your parish's website. When users complete the form, their registration information is saved to our secure web server. This process creates a Read Me file, as well as HTML, CSS, and JavaScript files.

MULTIPLE FACILITIES AND ONLINE FORMS Any time you are scheduling an event you can choose the Multiple Facs button to schedule more than one facility. Once you have your Online form on your site and people start using it, you will be able to bring in the events to schedule.

GROUPS AND THE ALL GROUP When you add subgroups to the Facility it changes it to a (Group). You can select the group or just the individual facility when making schedules. The facilities within the group, when scheduled, will show as a conflict during the Scheduling Wizard The All group is defined by the program and represents all the facilities in your data base. This is an easy option for when you need to schedule the entire Parish to be closed or in use

LIST OF SCHEDULED EVENTS SCREEN Under Events, on the left side of the screen>List of Scheduled Events; this shows all Events scheduled in the program. Click on Quick Filter to find certain Events from this screen by name, Calendar Name, and the Groups

CALENDARS Under the Calendar tab you will see: List of Scheduled events Daily Schedule Weekly Schedule Monthly Calendar Yearly Calendar But Before you look at the calendars, take a look under File>Setup>Initial Setup. These should all be filled out if you need them too!

DAILY, WEEKLY, MONTHLY, AND YEARLY CALENDARS Under Calendars you can select which Calendar to view & load any events to see them. Under Event Reports>Calendar Reports you can select to print these calendars as well. There is a Quick Filter to quickly find an event, or Organization name.

MASS SCHEUDLES AND INTENTIONS Mass Intentions can be added to scheduled Masses and filtered as well Mass Schedule option will schedule all of your masses at once.

EXPORT TO GOOGLE CALENDAR You have the option to export your calendars to your Google Calendar. Under Events>Reports>Calendars and select Export to Google Calendar. If you do not have a Gmail account set up you can do that through the program You can choose to keep or delete Existing events on your Google Calendar (would recommend having a separate Gmail account for the calendars)
