Academic Writings and Citation Styles In academic writing, whenever we use someone else’s works, ideas, theory, quotes, methods, data, etc. we must cite the original source Citation styles are the rules that govern on how we format these citations There are many different citation styles set up by different academic bodies or publishers. The most commonly used ones include the APA style, MLA style and the Chicago style

Create a personal database online In short, RefWorks is a web-based software that helps you organize your citations and prepare your reference list / bibliography: Create a personal database online Import citations automatically from Library catalogues, online databases or web pages you find on the Internet Organize and manage references Generate in-text citation, bibliography or reference list in the citation style of your choice, including APA, MLA, Harvard, Chicago style and more RefWorks -- an online research management, writing and collaboration tool -- is designed to help researchers easily gather, manage, store and share all types of information, as well as generate citations and bibliographies. Use it anytime, anywhere, any devices where there is internet access.

First Time User: Create Your RefWorks Account Library Home Page  E-Resources  RefWorks Icon (http://www.library.ln.edu.hk/cgi-bin/luaccess?dbname=refworks ) Click Signup for an Individual Account on the Left Panel Fill in required information – Must use Lingnan Email address

Direct Export -- Library Catalogue Use the Export to RefWorks button at the full display of a library record:

Direct Export -- LexisNexis (1) At the result list or article display screen in LexisNexis Academic, look for the icon for Direct Export to RefWorks

Direct Export -- LexisNexis (2) If you have already logged in to RefWorks, the results from LexisNexis Academic will be immediately transferred to RefWorks, otherwise, you will be asked to log in. After import is completed, enter LexisNexis Academic as Database and today’s date under Retrieved Date; then click Edit Fields.

Direct Export – LexisNexis (3) (Global Edit) Now click View Last Imported Folder and select Global Edit

Direct Export – LexisNexis (4) (Global Edit) Select Source Type under Field to Add Data. Then choose All in List , set Change Field To as Electronic and click Add

Direct Export -- ProQuest At the Search Results in ProQuest, select which citations to keep by marking the check boxes Click Export Choose Export directly to RefWorks If you have already logged into RefWorks, the selected ProQuest records will be imported to RefWorks immediately; if you haven’t logged in, you will be asked to login first. Under “Globally Edit Fields for Imported References”, add the name of the database (e.g. ABI/Inform or Academic Research Library) and also today’s date (for APA Style, enter month, date and year: e.g. 9/28/2008) and then click “Edit Fields” Then click “View Last Imported Folder” and select “Global Edit” If you are using online full text, then change the Source Type to electronic (follow the last steps in the LexisNexis session above); if you need to get the full text from print copy, there is no need to change the Source Type

Direct Export -- ProQuest Click Export dirertly to RefWorks If not already logged in, you will be prompted to do so before exporting citations into your RefWorks database

Import by Copy-and-Paste -- Emerald (1) At the Results List, mark the Check Boxes and Click Go button to add to the marked list Select Marked List in Emerald and Choose Download (ASCII) Select All (Ctrl-A); Copy to Clipboard (Ctrl-C) Now, switch to the RefWorks Window (or open a new window and login to RefWorks) Select References  Import Select Emerald for Import Filter/Source option and All Databases for Database option

Import by Copy-and-Paste -- Emerald (2) Paste (Ctrl-V) Clipboard contents to the Input Area called Import Data from the following text and Click the Import button Under “Globally Edit Fields for Imported References”, use Emerald as the name of the database and enter today’s date and then click “Edit Field” Click “View Last Imported Folder” and select “Global Edit” to change the Source Type to Electronic (follow the last steps in the LexisNexis session above);

Import by Copy-and-Paste -- Multiple Records from Library Catalogue (1) Search Library Catalogue by keywords / subject / author / title, etc. Save multiple records on results list or Mark individual records on single record display Click Marked List button to view previously saved / marked records. Choose MARC Format and Output to Screen Click Submit button Ctrl-A to select all; Ctrl-C to copy to clipboard

Import by Copy-and-Paste -- Multiple Records from Library Catalogue (2) Now Switch to the RefWorks Session (or open a new window and login to RefWorks) Select References  Import Select Import Filter/Data Source = MARC Format Select Database = All MARC Formats Select Import Data from the following text and paste (Ctrl-V) the clipboard contents to the input area below Click Import

Add Web Pages to RefWorks -- RefGrab-it (1) RefGrab-it is a plug-in to be installed to your web browser. It helps to gather web page information to RefWorks. It’s available under Tools after you login to RefWorks Installation and instructions: http://www.refworks.com/Refworks/BookMarklet.asp http://www.refworks.com/RWSingle/help/Using_RefGrab-It_to_Capture_Web_Page_Data.htm

Add Web Pages to RefWorks -- RefGrab-it (2) 1. Download RefGrab-It within RefWorks under the Tools pull-down menu. 2. Right click on RefGrab-It to bookmark link. 3. Select Add to Favorites

Add Web Pages to RefWorks -- RefGrab-it (3) A hot-link appears after the RefGrab-it link is installed. To cite a particular web page, first open it in the web browser and then click the RefGrab-it button. A separate window will pop up. Click the Import button to transfer the information to RefWorks.

Create Records Manually At RefWorks Menu  References  Add New Reference Choose the desired output format in View fields used by (e.g. APA style) Choose Ref Type (e.g. Web Page, Journal, Book, etc) Type in the citation information and click “Save Reference” Click on the Green check mark next to the field names to view the meaning of the fields and required input format

Organize Records into Folders The Folders option is located at the menu bar below the Refworks Logo at the upper left screen Under Folders, create your new Folder View All References or Last Imported Folders; Select the records you want and use the Put in Folder option to store the selected records in the desired folder

Creating a Bibliography There are two options to create a bibliography Simply create a bibliography from selected records directly within RefWorks Use Write-N-Cite to create in-text citations

Create a Bibliography from Selected Records Directly within RefWorks Select Bibliography Select desired style from the Output Style drop-down menu Click the radio button of Format a Bibliography from a List of References Select desired format from the File Type to Create drop-down menu. Click the radio button next to All References or References From: and select the desired folder from the drop-down menu Click Create Bibliography NOTE: if the bibliography does not pop up in a new window, read the instructions. Look for and click the link called Download it
