BITSAA International Out of Blue Initiatives (OoBI) Guidance Last Updated: April 2015

OoBI Guiding Principles Our vision and mission are aligned towards helping all BITSians in a positive manner We will entertain all authentic requests for help (financial and non-financial) from any BITSian in any part of the world/universe Every OoBI request will be dealt with by a specific SWAT team CXOs + Coordinator OoBI (member of Ops team) will be permanent members of SWAT team 2-3 BITSAA leaders and relevant chapter leaders may be included in the SWAT team on case-by-case basis Coordinator OoBI will announce and notify the SWAT team Any fund raising initiatives and/or projects with direct interface to BITS Pilani administration arising out of OoBI will require full board approval We need to secure commitment of regular updates from the direct beneficiary or their representative for OoBI

Within 48 hrs of receiving the request OoBI Launch Process Within 48 hrs of receiving the request OoBI request Can come from any BITSian via any medium – web, email, phone, personal contact …. Verified by OoBI Coordinator / a designated active member Initiative live for execution SWAT Team meeting OoBI go/no-go decision Verification and sponsorship enable authenticity of the initiative Involvement of OoBI Coordinator or a designated active BITSAA member acts as a forcing function to build out and strengthen the community SWAT team concept enable rapid response and delivers a message of professionalism combined with empathy for the cause Any positive ROI from the OoBI will be an additional advantage

OoBI Types BITSAA International’s involvement will depend on the type of OoBI and ability of the organization to provide support/help. Type Recommended BITSAA International Involvement Ordered by Priority, Efforts/Resources Reqd. & Likelihood of Uptake by BITSAA Personal (Injury, death, natural calamity) “Full Force” Awareness - Website, volunteer drives, emails Fundraising - Initiate team to reach out to our donor list, set target and pursue aggressively Solicit help from other organizations (where applicable) Professional (e.g. Campus placement) “High Enthusiasm” Awareness – Website, emails Coordinate with Fundraising and Tech teams to contact highly placed BITSians at specific organizations Others (e.g. student treatment issues on campus etc) “Cautious Optimism” Understand detail and root cause Increase / enable platform for dialogue with authorities

OoBI Communication Maintain a regular page on www.bitsaa.org about the OoB initiatives guidelines Send updates once a quarter to BITSAA Universe via newsletter about OoBI happenings BITSAA had helped / is helping in Comms-team owned channels will be used to broadcast OoBI support to BITSian Universe as an when required
