If you haven’t already… Submit a signed participation agreement to the attention of Christie Thomas Fax: 773.553.6211 GSR: 38 Complete the School Profile Survey (Both forms are available at the CPS SOAR wiki.)
Process – automated schools Provide your data by May 2nd. Check your CPS email regularly! If the vendor has questions throughout the process, we will contact you via email. If you are unable to respond to the email within a week, DLIS will make a decision regarding your data.
Before you export your data… Delete all items marked lost or missing Update brief records with an ISBN
Export your data Exporting your data takes just a few minutes. Steps for most automation systems are on the wiki at: http://cpssoar.wikispaces.com/Data+migration Be sure to submit a titles and items count for your export. Any changes made in the catalogs for automated schools will not be reflected in the new catalog.
Submit your barcode samples Instructions are on the wiki at: http://cpssoar.wikispaces.com/Data+migration Submit samples for each barcode type, e.g. 4-digit, 5-digit, 10-digit. Samples should have a barcode scan in the first column, and a typed entry in the second.
Process – non-automated schools Send your MARC record vendor disks/files to the DLIS by May 2nd. Complete your retrospective conversion by August 1st.
Data entry Order barcode labels if you have items that do not have barcodes on them. Enter your data using MARC Set Go! Schedule a ReCAP date with Christie, or one-on-one training with Joe. It takes about a minute per book.
ReCAP What you get: one day, from 8:30 – 3:30 of a team of consultants assisting with data entry Team can enter ~1000 items in one day Librarian and Library must be released for the day, and the librarian must participate. Equipment--Workstation SOAR requires one dedicated workstation in the library for circulation use. It must be in place in the library by your training dates. CPS workstations specifications can be found at: http://ots.cps.k12.il.us/policy/downloads/NetworkStandards.pdf See TechXL for purchasing.
Equipment—barcode scanners SOAR requires at least one barcode scanner. Barcode scanner order forms are available on the DLIS wiki: http://cpslibraries.wikispaces.com/SOARIntegratedLibrarySystem Your existing barcode scanner may work!
