PRESENTATION FOR 3rd DEGREE COMPULSORY SECONDARY EDUCATION STUDENTS 3.0 PRESENTATION FOR 3rd DEGREE COMPULSORY SECONDARY EDUCATION STUDENTS PLANNING WORKSHOP

What is planning a project? It’s elaborating plans with the available elements. These plans must be based, defined, oriented, assessed and controled. The fact of planning has allowed Mankind to solve almost the total amount of our problems. Planning is one of the key functions in the companies and organizations. It appears as the projection of the objectives, intended to achieve with the appropriate methods. 3.0

WHAT ARE THE FEATURES OF A GOOD PLANNING? REALISTIC P TIME MESURABLE FLEXIBLE Planning a certain manufacture must establish the objectives to achieve, taking into account the way the company works, the teams components behaviour and the economic budget. MOTIVATING COMPREHENSIBLE EFFICIENT PARTICIPATIVE AGREED 3.0

WHAT ARE THE FEATURES OF A GOOD PLANNING? REALISTIC P L TIME MESURABLE FLEXIBLE Planning must contain specific tasks to be followed through time until finishing the building. The sum of each task must not exceed the time limit of the project. MOTIVATING COMPREHENSIBLE EFFICIENT PARTICIPATIVE AGREED 3.0

WHAT ARE THE FEATURES OF A GOOD PLANNING? REALISTIC P A L TIME MESURABLE FLEXIBLE The fitting of the project tasks must be possible because probably some unexpected events could appear during the execution. MOTIVATING COMPREHENSIBLE EFFICIENT PARTICIPATIVE AGREED 3.0

WHAT ARE THE FEATURES OF A GOOD PLANNING? REALISTIC P A L N TIME MESURABLE FLEXIBLE Team components have to be motivated in order to be able to finish the project in the best conditions. MOTIVATING COMPREHENSIBLE EFFICIENT PARTICIPATIVE AGREED 3.0

WHAT ARE THE FEATURES OF A GOOD PLANNING? REALISTIC P A N L N TIME MESURABLE FLEXIBLE Generated documents have to be understandable and comprehensible to every one in relation with the building of the project. MOTIVATING COMPREHENSIBLE EFFICIENT PARTICIPATIVE AGREED 3.0

WHAT ARE THE FEATURES OF A GOOD PLANNING? REALISTIC P A N L N I TIME MESURABLE FLEXIBLE The planning to implement must be done to be able to put it in practice from the very first moment until the last minute of the project building. MOTIVATING COMPREHENSIBLE EFFICIENT PARTICIPATIVE AGREED 3.0

WHAT ARE THE FEATURES OF A GOOD PLANNING? REALISTIC P A N N L N I TIME MESURABLE FLEXIBLE The planning must be count with the participation of all the members of the company. All the ideas discussed in group must be considered. MOTIVATING COMPREHENSIBLE EFFICIENT PARTICIPATIVE AGREED 3.0

WHAT ARE THE FEATURES OF A GOOD PLANNING? REALISTIC P A N N L N I G TIME MESURABLE FLEXIBLE When the planning has been finished, it must satisfied to all the members of the company. MOTIVATING COMPREHENSIBLE EFFICIENT PARTICIPATIVE AGREED 3.0

WHEN PLANNING IS STARTED, SOME DATA ARE ALREADY KNOWN SUCH AS... HOW TO PLAN? WHEN PLANNING IS STARTED, SOME DATA ARE ALREADY KNOWN SUCH AS... MATERIALS TO USE TOOLS THE AVAILABLE BUDGET THE AVAILABLE TIME 3.0

HOW TO PLAN? 3.0 MATERIALS TO USE With the list of materials we know how to assemble the parts and how much the material costs 3.0

HOW TO PLAN? TOOLS Knowing available tools, the determination of the tasks will be easier. 3.0

ANY HUMAN WORKS INVOLVES A COST HOW TO PLAN? THE AVAILABLE BUDGET Although in your project, the labor workforce cost will not be considered as a cost, you have to take into consideration that tasks have to be done through the best possible way , economically but without loosing quality. ANY HUMAN WORKS INVOLVES A COST 3.0

THE FLOW DIAGRAM OR THE PROCESS DIAGRAM HOW TO PLAN? THE TIME TO MANUFACTURE OR DELIVERY TIME IT’S COMPULSORY TO KNOW HOW MANY TASKS HAVE TO BE DONE. TASKS CAN BE LISTED BUT SYMBOLS AND GRAPHICS , IN THE WAY OF A DIAGRAM, CAN BE USED AS WELL: THE FLOW DIAGRAM OR THE PROCESS DIAGRAM 3.0

THE FLOW OR PROCESS DIAGRAM Observe how each figure contributes with information!! Squares inform of a task: screwing, assembling, cutting, etc. Circles are meeting points for the different paths that converge on the same point. Diamonds are decision points, points of quality control or inspection times. They usually have two possible answers (yes / no) (Accept / Reject), etc. Arrows are transitions between tasks and might indicate the transportation of material as well. The termination of a flow diagram must be specified with an explicit message. End of activitiy 3.0

THE TIME TO MANUFACTURE OR THE DELIVERY TIME THE GANTT DIAGRAM THE TIME TO MANUFACTURE OR THE DELIVERY TIME IF THE TASKS TO BE CARRIED OUT ARE KNOWN, THEN IT’S EASY TO DISTRIBUTE THE WORK TO DO AMONG THE MEMBERS OF A TEAM AND THE TIME EACH TASK TO LAST CAN BE FIXED. A GOOD TOOL TO SHOW THIS INFORMATION IS THE GANTT DIAGRAM Tasks Week Task 1 Task 2 Task n 3.0

TRY TO PLAN BY YOUR OWN In order to plan an easy example, let’s use: The flow diagram The Gantt diagram Tasks Week Task 1 Task 2 Task n 3.0

An example TRY TO PLAN BY YOUR OWN 3.0 We are intending to plan the manufacture of a wooden table. A team of 3 members will be used and we are going to organize them by assigning a name of RESOURCE MEMBER 3 MEMBER 1 MEMBER 2 3.0

Now, they have to think of the tasks to do and when to do TRY TO PLAN BY YOUR OWN The team has just designed the table and has made the list of materials Now, they have to think of the tasks to do and when to do 3.0

APPLYING THE FLOW DIAGRAM TO THE ASSEMBLY OF THE TABLE Preparing materials Unavailable materials purchase Tasks to make the table could be represented in the same flow diagram Marking the board Cutting the board Marking the legs Cutting the legs Assembly FINISHED PRODUCT YES Reinforcement fittings Inspection . Are there errors? Drying Varnishing NO 3.0

APPLYING THE FLOW DIAGRAM TO THE ASSEMBLY OF THE TABLE … and afterwards the stages are drawn one by one into the GANTT diagram, listing consecutively the tasks.. 3.0

HOW TO PLAN BY GANTT DIAGRAM … and using the estimated time to execute each task, a group of people are designed to make each task as well as determining the execution time. The amount of people assigned will depend on the complexity of each task. 3.0

HOW TO PLAN BY GANTT DIAGRAM For instance, one the member 3 has finished to mark the board, he will be available to start marking the length of the legs, while members 1 and 2 are cutting the board. 3.0

HOW TO PLAN BY GANTT DIAGRAM Thus, it’s intended to relate in the same diagram…. TIME RESOURCES TASKS 3.0
