One critical area of investment for XML in Office is in the area of file formats. XML-based file formats enable the direct integration of the content stored in documents with other applications and systems. The portability of the data traversed between documents and systems via XML is a critical part of the long term success of the Office System. In 1996, we introduced the current .doc, .xls, and .ppt binary file formats. These were designed in 1994, and were offered to meet the needs for a compact binary file format for this period of time. As technology has matured, however, the demands of the file formats have grown along with the capabilities of the surrounding technology. In Office 2000, we began to introduce XML into office by introducing XML-based document properties. In Office XP, SpreadsheetML was introduced as the first Office XML-based file format. This enabled Excel users to store data in an XML-based format, and enabled direct access to spreadsheet contents without using Excel. In Office 2003, Microsoft made large investments in XML. WordML was introduced, as well as support for custom-defined Schema, enabling XML-based tagging of content using a taxonomy that makes sense to your organization. There are many other XML investment areas in Office 2003, including InfoPath, which makes extensive use of XML in many areas. The Office 2003 Reference Schemas for Word, Excel and InfoPath file formats were also made available as an open, royalty-free license to help developers integrate the Office file formats more easily. For the next version of Office, additional investments will be made in XML, and we will begin the transition to a full XML-based environment. A new reference schema for PowerPoint will be introduced, enabling PowerPoint files to be fully described using XML. This opens a new world of possibilities in the area of managing slide contents and reusing slide information. Additionally, new XML-based file formats will be the DEFAULT file format for Word, Excel and PowerPoint. We’ll go deep into these details in this presentation. Our investment in XML based file formats will enable improved integration of business data with Office documents, as well as enabling the developer community to fully integrate Office documents into their solutions. This will clearly illustrate the difference and purpose for each. (click once to forward the animation) The XML reference schemas are information specific to the application that describes the presentation of the document. This would contain formatting and style information, such as bold, italic commands as well as tables, columns, etc. The reference schemas for Word 2003 and Excel 2003 are fully documented in the Office 2003 Reference Schemas, which have an open, royalty-free specification from Microsoft. Custom-defined schemas are different in the sense that they are more aligned to the TYPE of data stored within a document, and represent a “logical” tagging structure for content. This can be used to represent the business information in a document, like company name, or “price”. This type of logical tagging structure is what enables the deep integration of the data stored in documents with back-end systems. In fact, using custom-defined schemas, developers can tag content inside documents using exactly the same data structures that exist in these back-end systems. This enables seamless integration between Office documents and the LOB systems.
