Assess Survey Invitations Basic Assess User Site Access Training & Candidate Survey Invitations (Approx. 5 ½ minutes) Welcome to another OutMatch training! In this tutorial, I am going to show you how to invite candidates to take the Assess survey through your Assess user site.

What is Assess and who is it for? Assess is a computerized system that produces work-related assessments for clients who are looking to select, promote, place or develop internal candidates such as Managers, Supervisors and Professionals Two secure websites Survey Site - designed to allow applicants to complete the survey online User Site - designed to allow you to process results & test via paper and pencil Candidate Completes Survey Process Reports For your Assess surveys, there are two sites that are important to remember. The survey site, which is the site where applicants complete the survey online, and the user site, for you as an administrator to process and access results. Candidates can take the survey online at any computer with an internet connection, and reports are immediately available within your user site once the survey is completed. Test candidates online via any computer connected to the web Process reports online via any computer connected to the web

The Assess User Site Login Page https://www.bigby.com/systems/AssessV2/system/login.asp Secure access to the site with User ID and Password Each authorized user has their own User ID and Password sample_account lllllll To begin the survey invitation process, the first step is to log into your Assess site. To log in, you must access the Assess site link and enter your User ID and password. If you do not have a password or have forgotten your password, email our client services team at clientservices@outmatch.com.

Invitation Options There are 3 key ways to invite candidates: Add the candidate to your dashboard and invite directly from your dashboard Use the general invitation email and send direct from the user site Copy and paste the invitation email into our personal mailbox or careers site and send from there There are three key ways to invite a candidate to take the Assess survey Adding a New Candidate on the home page and then invite the individual from the dashboard Sending an email from the Survey Administration page By having the hiring manager sends an email that includes the links and instructions necessary to take the survey

Invitations Direct from the Dashboard Let’s explore the first option – inviting the candidates directly from the Assess User Site dashboard.

Adding New Candidates Enter your candidate’s First Name, Last Name and Email (optional) and click on ‘Submit’ Inviting candidates from your dashboard allows you to track the progress of a specific individual. But, before inviting people to take the survey directly from your user site you will need to add them to your dashboard. To add a candidate, just click on the “Add new Candidate” near the top left corner of your candidate list. Fill out the candidate’s information and then click submit. You will get a confirmation message that the candidate has been successfully added to your dashboard. Here’s a quick tip - before entering a new candidate, make sure to search the candidate list to make sure there is no existing record for that person. You don’t want to add the same candidate more than once.

Confirmation Candidate is ‘Added’ Return to the Home page and your new candidate will appear at the top of the list. Please note – the candidate has NOT been invited to take the survey yet. You will need to click on the icon to initiate the survey Now, return to your home page. The candidate you just added should appear at the top of your candidate list. Remember – at this point though – your candidate has still not been invited to take the survey. You will need to do that by clicking the computer icon.

Edit & Send Request – Candidate Code Select ‘Email Instructions’ and a browser will pop-up with an editable copy of the invitation Type the candidate’s email address in the ‘To’ line Add or edit an email in the ‘From’ line Make any necessary edits to the message Select ‘Send Email’ Note: Because this individual is being invited from your dashboard, you will be able to view survey progress This approach DOES send the candidate a unique candidate code

Survey Completion Notifications Once the candidate has completed the survey, the administrator will receive an email notification with the link to access the report. Once candidates have completed a survey, the administrator will receive an email notification with the link to process the report. You don’t need to have this email in order to process the report, but it is helpful to receive the confirmation email if you don’t want to be constantly checking on the status of a survey within your user site.

General Survey Invitations Let’s explore the ways you can send a general survey invitation.

Navigate to the Survey Administration Page Select “Email Instructions” and a browser will pop-up with an editable copy of the invitation To send ‘general’ invitation links – in other words – to send survey links that don’t require unique passwords – you will need to click on ‘Survey Administration’ link at the top of your dashboard.

Generic Invitation Instructions Administrators can also invite individuals to take the survey directly from their own email accounts. Copy the survey URL, Short Account Name, and User ID Paste that information with brief instructions into an email Send to a single candidate or send to a group of candidates On the next page, you’ll find he information that the candidate needs to access the survey. It is included in the printed instructions and the emailed instructions. Note that you can choose to email instructions directly from the Assess system or copy them and paste the instructions and information into an email.

Edit & Send Request – No Candidate Code Type the candidate’s email address in the ‘To’ line Add or edit an email in the ‘From’ line Make any necessary edits to the message Select ‘Send Email’ Note: This approach will not automatically add the candidate to your dashboard and will not generate a unique candidate code If you select ‘Email Instructions’, a browser will pop-up with an editable invitation email. Update the email and add multiple candidate names. Note though – even though you are using specific candidate emails, this candidates will not display on your dashboard until they being taking the survey.

Resuming Those cover the basic options to inviting candidates to complete the survey. Here though is an important tip if a candidate is disconnected for any reason or needs to discontinue and resume the survey at a later time.

Survey Resume To resume a survey, candidates will need to have their unique candidate code and the last name they registered with Access that information by navigating to the candidate’s profile page by clicking on the candidate’s name. Note: Survey responses are automatically saved as a participant progresses through the survey Candidates are encouraged to complete the survey in one sitting. However, occasionally, candidates will need to stop and resume the survey later. This is possible but requires a candidate to have a candidate code and the instructions to resume. You can look this up on the candidate’s profile page. Please note that Survey responses are automatically saved as a participant progresses through the survey; candidates will automatically resume past the last completed page.

Accessing the Candidate Code Email the candidate the original survey invitation (with the survey URL and login information), last name used to register for the survey, the candidate code, and brief instructions for resuming (see next) To look up the candidate code, access that information by navigating to the candidate’s profile page by clicking on the candidate’s name. Once you’ve clicked on their name, you will see the candidate code.

Candidate Actions to Resume Candidates should access the survey with the same Short Account Name and User ID used to initiate the survey the first time, and when prompted, should select ‘Enter Candidate Code’ Email the candidate the original survey invitation (with the survey URL and login information), include the brief instructions for resuming the survey along with the candidate code and a reminder that they should use the last name they used to register for the survey in order to resume. After the candidate code and name are entered, they will re-access and renter the survey to their last completed page. 7F41A1B9
